Voice summaries for meetings and 1:1s

How to record conversations in meetings, 1:1s, and tasks, generate AI summaries, and how the monthly time cap works.

Voice recording captures a conversation and converts it to text. Both the recording and the transcription run on your own device, so they don't cost anything. Once a recording is finished, select [Summarize with AI] to get the conversation at a glance. (Voice summaries do count against your monthly time cap.)

Using it in meetings (mobile app)

You can only record while you're marked as attending the meeting, and attendees are notified when recording starts.

  1. On the meeting detail screen, select [Voice recording].

  2. While recording, you can pause and resume as needed.

  3. When you're done, select [End recording]. The conversation is converted to text and saved.

  4. Once the conversion finishes, the [Summarize with AI] button becomes available.

⚠️ Only one person can record a given meeting. If your battery setting isn't set to unrestricted, a long recording may be cut short, so check it beforehand.

Using it in 1:1s (mobile app)

The steps are the same on the 1:1 detail screen. Recording, ending, and summarizing all work as they do for meetings.

💡 Writing your agenda in the 1:1 notes beforehand makes the AI summary more accurate.

Dictation (desktop app)

Use this to take notes out loud or think through something while you work.

  1. In the right panel of the task detail screen, select the [Dictation] tab.

  2. Select the record button, and what you say is converted to text in real time. (A recording indicator appears in the top navigation bar.)

  3. When you stop recording, the result is saved as a markdown file and automatically linked to that task as reference material.

  4. Select [Summarize with AI] on the saved file to generate a summary.

💡 The first time you use it, downloading the speech-to-text model can take a few dozen seconds. Korean and English are supported.

Viewing a voice summary

After a recording is finished, select [Summarize with AI] and AI analyzes the conversation and generates a summary. In meetings and 1:1s, you can also add the summary to your notes.

⚠️ AI summaries are based on the actual conversation, but some details may differ. Check anything important yourself.

Retention, deletion, and privacy

  • Retention and deletion

    • Voice recordings are kept only for a set period, and you can't open them once that period expires.

    • You can check the remaining retention period under 'Recording info' on the meeting or 1:1 detail screen.

    • If you delete a recording yourself, its AI summary is deleted along with it.

  • How your data is handled

    • Recording and transcription both run on your device, and the original audio is never sent to a server.

    • Only at the AI summary step is the transcribed text sent to a server.

About usage

Voice summaries draw on a monthly time cap that everyone in the company shares.

  • The time cap is drawn down when you select [Summarize with AI], by the actual length of the meeting.

  • Recording and transcription (STT) on their own don't count against the time cap.

  • Even when several people attend the same meeting, it's counted once, for the length of that meeting. (The same rule applies to dictation summaries on desktop.)

  • Even after the time cap is used up, recording and transcription keep working without limits.

FAQ

The voice summary isn't working.

Check the following in order.

  1. Make sure the voice recording has fully ended. The 'Summarize with AI' button only becomes available after the recording is complete.

  2. Check whether your company's monthly voice summary hours (the time cap) are used up. Admins can see usage under Studio › Usage, and the time cap resets on your monthly billing date.

    Note: Even when the time cap is used up, voice recording (STT) keeps working.

Dictation doesn't start right away in the desktop app.

The first time you use it, downloading the speech-to-text model can take a few dozen seconds. Progress is shown while it downloads, and dictation starts automatically once it's done. After that, it starts immediately.

Does recording stop if I switch apps during a meeting?

On the mobile app, recording continues in the background. That said, if your battery setting isn't set to unrestricted, a long recording may be cut short, so check your battery settings beforehand.
