Getting started with Studio

How admins set up their company's AI environment in Studio: expert agents, custom agents, and knowledge management.

Studio is the admin space where you design an AI experience that fits your company. You can configure which agents are offered to whom, which internal and external services are loaded as knowledge, and how admin permissions are granted. No separate installation is needed: you can open it straight from flex on the web, and the menu is only visible to members who have admin permissions.

💡 The menus you can reach in Studio depend on your plan.

  • Starter plan: Usage menu only

  • Growth / Enterprise plans: Full menu, including Agents, Company knowledge, Connector policy, Permissions, and AI users

  • Settings > Permissions: Studio admin permission (grants access to every feature in AI Studio)

  • Assigned as an Admin under AI Studio > Permissions: access to that feature (menu) only

Setting up expert agents

By default, only Performance Coach and Help Desk are visible to all AI users. Every other agent appears in the list only after you set a sharing scope for it.

[How to make an agent visible]

  1. Go to [Studio] > [Agents] and select the expert agent you want to configure.

  2. Check that the enable toggle is on. (💡 Note: Performance Coach and Help Desk are enabled by default. For HR Mentor and flex Product Guide, set both the enabled state and the sharing scope before use.)

  3. Set the sharing scope. (Choose one: individual members, by organization, or company-wide.)

⚠️ Even when an agent is enabled, it won't appear in members' lists unless a sharing scope is set.

Creating custom agents

You can create and share custom agents built for the way your company works. (Up to 50 per company.)

[How to create and deploy a new agent]

  • Create manually

    Build the agent you want yourself.

    1. Go to [Studio] > [Agents] and select [+ New agent] > [+ Create manually].

    2. Set basic information such as the agent's name and description.

    3. Write detailed instructions for how the agent should behave.

    4. Connect company knowledge, or add agent-only knowledge and starter questions, as needed.

    5. Check how the agent behaves in Preview inside the builder.

      *You can ask up to 5 questions in a single conversation.

    6. When everything is ready, set who can use the agent and save.

  • Create with AI

    Describe the agent you want, and AI builds it for you.

    1. Go to [Studio] > [Agents] and select [+ New agent] > [Create with AI].

    2. Enter a description of the agent you want to build.

    3. Write detailed instructions for how the agent should behave.

    4. Connect company knowledge, or add agent-only knowledge and starter questions, as needed.

    5. Check how the agent behaves in Preview inside the builder.

    6. When everything is ready, set who can use the agent and save.

💡 Note: Connector calls, AI artifact generation, and web search don't work in Preview, and conversations aren't saved.

📂 Company knowledge: uploading files

  1. Go to [Studio] > [Knowledge documents] and select [Upload file].

  2. After uploading, assign a category to the document.

  3. Use the more menu to the right of the file in the list to switch it between enabled and disabled.

    • Enabled: AI agents use this file's knowledge when generating answers.

    • Disabled: It isn't used in agent answers.

Upload limits and supported formats

  • Size and length: Up to 20 MB and 100 pages per file. (800 KB for txt and md.)

  • Supported file types: PDF, DOCX, PPTX, XLSX, images, and more. (Text is extracted from image files with OCR and indexed automatically.)

  • Available categories: Recruiting, Employee journey, Attendance, Time off, Payroll, Expenses, Goals, Growth and reviews, Training, Compensation, Benefits, Work, Organizational principles, Organizational culture, Compliance, Meetings, Schedules

🔗 Company knowledge: connecting external services

  1. In [Studio] > [External service knowledge], select the service you want to connect (Jira, Google Calendar, and so on).

  2. Sign in with that service's admin account and complete OAuth authorization.

  3. Once the connection is complete, an initial sync runs, and later changes to the source data are reflected automatically. (💡 Note: Data from connected external services can't be edited or deleted inside flex.)

⚠️ If you disconnect a service, the data loaded from it is deleted along with it. Reconnecting starts the sync over from the beginning.

✨ Agent knowledge

  1. Materials that only one agent needs can be uploaded directly in the [custom agent builder].

  2. Uploaded materials are used only as that agent's own knowledge and aren't shared with other agents.


FAQ

I want to connect an external service such as Slack or Notion, but I don't see the option.

External services are disabled by default. An admin has to enable the service under Studio › Connector policy before members can connect it.

I get an "unverified app" warning when I try to connect my Google account.

Your company's Google Workspace admin needs to register flex as a trusted app in the Google Admin console. For setup steps, see the Google connector prerequisites section.

I want to turn off Performance Coach notifications.

You can turn notifications off under Settings › AI in the mobile app, or in app settings on the desktop app.
