Pick the agent that fits what you need and start a conversation: reviewing goals and getting coaching, guidance on designing HR programs, questions about internal policy, or questions grounded in labor law.
Starting a conversation
The Agents menu can look different depending on your company's settings. If the agent you need isn't in the list, contact your admin.
On mobile, select the [Agents] tab at the bottom. On the desktop app, select [Agents] in the sidebar. You'll see the catalog of agents you have access to.
Select an agent to start a new conversation.
Type your question or request in the conversation window.
To pick up an earlier conversation, select it from the conversation list below the catalog.
Example: using the Help Desk agent
⚠️ If you switch to a different agent mid-conversation, a new conversation starts. The previous agent's conversation doesn't carry over.
Expert agents
These agents come with flex and are ready to use without any setup.
Agent | What it does |
Performance Coach | Works with you on setting goals, checking progress, and talking through blockers. It messages you first every weekday morning and on Friday afternoons to check in on where things stand and how your energy level is. Coaching conversations aren't shared with your organization lead. |
Help Desk | Answers questions about policies and programs using company knowledge, and looks up and analyzes flex product and third-party data. (For example: meeting summaries, summaries of issues in a Slack channel, time-off and attendance policy questions, benefits eligibility checks.) |
HR Mentor | Provides general guidance across the HR lifecycle, best practices, and answers to questions grounded in labor law. |
flex Product Guide | Explains how to use flex, both for admins and for members. |

💡 To build your own agent, ask an admin to add you under Permissions > Agent creator. You can then create agents in Studio > Agents. [📚 Related guide: Getting started with Studio]
Connecting external services
Connect Slack, Gmail, Google Calendar, Notion, and others so agents can draw on that data during a conversation. Each member connects services individually, and you can only connect apps your organization allows.
Mobile app: connect from connector settings in the Agents menu
Desktop app: connect from Settings › Connectors
💡 If you don't see a connect button, your company admin has that service disabled. Ask them to enable it in the connector policy.
Slack connector prerequisites
In the Connector policy menu, turn on the toggle that allows Slack connections.
Once it's on, members can connect their own Slack account to AI agents.
Connector policy > Slack > turn on the allow Slack connection toggle
Installing and connecting the Slack app
To let flex's AI agents search and read Slack, you need to connect your own Slack account.
💡 Prerequisite
An admin has to turn on the Slack connection toggle in [Connector policy]. (See: Slack connector prerequisites)
How to connect your Slack account
In the flex app (iOS/Android or desktop), go to the 'Agent' tab and select an agent.
Mobile: 'Agent' tab at the bottom of the app → agent
Desktop: 'Agent' tab on the left → agent
Select 'Connectors' → Slack.
Mobile: select the [Settings] icon at the top right of the Agents tab
Desktop: select the '+' button to the left of the prompt box
On the Slack permission screen, choose the workspace you want to connect and select Allow. This installs the flex app in that workspace (the first time only). Depending on the workspace's settings, admin approval may be required.
Searching private channels and DMs may require additional consent under Slack's policies. If a consent request appears, approve it.
Disconnecting: you can disconnect at any time from the same path ('+' → Connectors). The connection token is discarded as soon as you disconnect.
How your data is handled
flex reads Slack data in real time only at the moment of a request, and it doesn't store what it reads or use it to train AI. Write actions such as sending a message or creating a canvas run only after you approve them each time, and anything AI writes is marked "from: flex". For more detail, see the documents below.
Google connector prerequisites
To use the Gmail and Google Calendar connectors, your company's Google Workspace admin has to register flex as a trusted app before members connect their own accounts. If this step is skipped, member connections may be blocked or show a warning screen.
⚠️ Note
This setup requires Google Workspace super admin permissions. If you don't have them, pass the steps below to your IT contact and ask them to configure it.
How to set it up
Sign in to the Google Admin console (admin.google.com) with an admin account.
In the left menu, go to [Security] > [Access and data control] > [API controls] > [App access control].
At the bottom, select [Configured apps] > [Configure new app].
Copy the flex client ID below into the search box and search for it.
700643037757-d3sjbb0557iko85vi0qgt8ado8csjqud.apps.googleusercontent.comSelect the flex app in the search results.
Review the data access scopes the app requests, then choose one of the following.
[Trusted] (recommended): Simpler to set up, and any new permissions flex adds later apply automatically.
[Specific Google services]: Choose this to keep permissions to a minimum. You have to select all four items (Calendar, Gmail, Google Workspace Admin, Google Sign-In), and an admin has to update the setting again whenever flex adds a permission.
Confirm your selections and select [Finish].
💡 Once this is set up, members can connect their Google account (Gmail and Calendar) to flex safely, with no warning screens.
Good to know
Notifications: Agent notifications are a Performance Coach feature only. You can turn them on or off under App settings > Notifications > AI on mobile, or in app settings on desktop.
Conversation memory: Agents don't remember conversations from earlier sessions. To continue one, reopen it from the conversation list. You can also run several independent conversations with the same agent.
Confirming external actions (HITL): Anything that changes the state of an external service doesn't run automatically. A confirmation request appears in the conversation first, and the action runs only after you approve it. If you have requests you haven't reviewed yet, a red dot appears in the conversation list.
FAQ
Can other people on my team see my agent conversations?
Can other people on my team see my agent conversations?
Only you can see your conversations with an agent. They're never shared with other members, including admins. For Performance Coach, the coaching conversations themselves aren't shared with your organization lead either. Only aggregate information, such as a summary of goal progress patterns, is passed on.
A specific agent isn't in my list.
A specific agent isn't in my list.
There are two main reasons. First, you may not be included in that agent's sharing scope. Ask your company admin to add you. Second, the agent itself may be disabled. An admin has to enable it under Studio > Agents for it to appear in the list.

Agents and Tasks are only available to members an admin has designated as AI users. Ask your company admin to grant you access. (Admins can set this under Studio > AI users.)
I can't create a custom agent.
I can't create a custom agent.
Check two things. First, whether you have permission to create custom agents. If not, an admin has to grant it under Studio › Permissions. Second, whether your company has passed the limit of 50 custom agents. If you're over the limit, you need to delete an existing agent before you can create a new one.
I've used up my AI usage and can't use Agents or Tasks.

Once your personal monthly credit limit is used up, Agents and Tasks are unavailable until your next billing date. Voice recording and voice summary keep working. To raise the limit, an admin needs to apply through [Contact us about the Intelligence tier] under Studio › Usage. Self-serve upgrades aren't supported, and requests are handled after they're submitted.
