Permission Settings

How permission groups work in flex, how to add custom permission groups, and detailed descriptions of every permission category.

Permission settings are one of the most important steps in using the flex product. Depending on the permissions you hold, they affect a wide range of areas including menu access, information access, and configuration.

Permissions are broadly assigned in three group units: Super Admin, Team Lead, and All Members. You can also set up custom permission groups as needed to grant permissions according to purpose.

Permission Groups and Member Permissions

  • In [Settings] → [Permission Settings], you can view the Super Admin, Team Lead, and Default permission groups.

    • Super Admin: Members who belong to the Super Admin permission group and have been granted all company permissions.

    • Team Lead: Members marked as [Team Lead] during an HR appointment.

    • Default Permission: All members who do not belong to a specific permission group.

  • In the [Member Permissions] tab, you can search and look up which permission group each member belongs to.
    Clicking a permission group name lets you view the list of permissions assigned to that group.

Adding a Custom Permission Group

  • If there are members who need permissions for their job responsibilities but are neither Super Admins nor Team Leads,
    you can assign and manage permissions via [Add Permission Group].

  • After entering the group name and description, click [Add] in the top right to select members to add to the permission group.

    • Once you've set up a permission group (for example, "Payroll Manager"), select the permissions to grant to that group, then click the [Save] button at the bottom.

Detailed Permission Descriptions

What are View permissions and Manage permissions?

For members, attendance, and leave, View permissions let you set the scope of viewable information.

For example, if you grant [Member Basic Personal Info View] permission to Hong Gil-dong, the HR team lead,

and set the scope to [My Organization Only], they can only view the basic personal info of members in the HR team.

To grant a [Manage] permission, the

[View permission for the same information must also be granted].

Company Information

Company Basic Information Management

In [Settings] → [Company Information] from the left menu, you can manage the company's basic information (name, representative name, phone number, business registration number, address, etc.).

Company Document Management

In [Documents & Certificates] → [Company] tab from the left menu, you can add and manage documents or links to share with members.

Company Holiday Settings

In [Settings] → [Days Off] from the left menu, you can manage the list of holidays used by the company and set the types of days off available.

Company HR Information Management

In [Settings] → [HR Member Information] from the left menu, you can manage the company org chart and HR information such as position, title, job function, and grade.

If you use the performance management feature, the Company HR Information Management permission must be granted to activate the Competency Management menu.

Company Org Chart Trend View

In [Members] → [Org Chart] from the left menu, you can view various metrics showing the organization's current status. Note: Even with only the [Company Org Chart Trend View] permission, users can view total contracted monthly salary by organization, so be careful when granting this permission.

Company Seal Settings

In [Settings] → [Company Seal] from the left menu, you can set the company seal used on certificates and contracts.

Company Work Location Settings

In [Settings] → [Work Location Settings] from the left menu, you can set work location information used for GPS-based work registration restrictions.

Company Onboarding/Offboarding Checklist Template Management

You can manage onboarding/offboarding checklist templates for items to check during joining or leaving. Note: Template management must be granted together with [Member Onboarding/Offboarding Checklist Management] permission. Administrators with this permission can

manage checklist progress and templates for members scheduled to join or leave in [Member Management] → [Onboarding/Offboarding] tab from the left menu.

Certificate Issuance Policy Management

In [Documents & Certificates] → [Members] from the left menu, you can manage the approval policy for certificate issuance. Note: Policy management must be granted together with [Member Certificate Issuance Management] permission.

Administrators with this permission can configure certificate approval settings in [Documents & Certificates], and can issue certificates for members or view issuance history.

Document Storage Settings

In [Settings] → [Document Storage Settings] from the left menu, you can set the types of documents to collect from members, such as resident registration certificates and various certificates.

Member Personal Information

Member Basic Personal Info View

Administrators with view permission can view the resident registration number, address, bank account, etc. of members within the set permission scope.

Member Basic Personal Info Management

Administrators with manage permission can edit, approve changes, or download personal information for 'all' members.
Click the [Edit] button in the top right of Member Profile → Basic Information tab to change each member's basic information.

Also, in [Settings] → [Approval Policy Management] → [Member Information] tab, you can configure changes made by members to their basic information to require approval before taking effect.

In [Member Management] → [HR Information Management] → [Bulk Information Change] tab, you can bulk-change basic information.

Member Family Information View

Administrators with view permission can view family information for members within the set permission scope.

Member Family Information Management

Administrators with manage permission can edit, approve changes, or download family information for 'all' members. Click the [Add] button in the top right of Member Profile → Family Information tab to add, edit, or delete family information.

Also, in [Settings] → [Approval Policy Management] → [Member Information] tab, you can configure changes made by members to their family information to require approval before taking effect.

Member Career/Education View

Administrators with view permission can view career and education information for members within the set permission scope.

Member Career/Education Management

Administrators with manage permission can edit career and education information for 'all' members, or download it with member information. Click the [Add] button in the top right of Member Profile → Career and Education tab to add, edit, or delete information.

Also, in [Settings] → [Approval Policy Management] → [Member Information] tab, you can configure changes made by members to their career/education information to require approval before taking effect.

In [Member Management] → [HR Information Management] → [Bulk Information Change] tab, you can bulk-change family information via web or Excel.

Member Document View

Administrators with view permission can view submitted documents related to members and their family members within the set permission scope.

Note: To view family documents, you must also have the [Member Family Information Management] permission.

Member Document Management

In Profile → [Documents] tab, you can edit and download all member documents including confidential documents.

Also, in [Settings] → [Approval Policy Management] → [Member Information] tab, you can configure changes made by members to their documents to require approval before taking effect.

Member HR Information

Member Employment Information View

You can view basic HR information, work information, awards/disciplinary records, and change history for members within the set permission scope. Special notes include parental leave reduced work hours, single tax rate for foreigners, student loan repayment, and income tax reduction information if applicable.

Member Employment Information Management

You can view, edit (delete), and download basic HR and work information for all members. There are additional permissions that must be granted to assign this permission.

Member Contract Information View

You can view employment contract, salary contract (including comprehensive contract hours), and probation period information for members within the set permission scope. You can also check members' contract information change history.

Member Contract Information Management

You can view, edit (delete), and download contract information (employment, salary contracts) for all members.

Member Payment Information View

You can view salary payment information and change history for members within the set permission scope.

Note: This permission cannot be granted alone — [Member Contract Information View] must also be granted.

Member Payment Information Management

You can view, edit (delete), and download salary payment information for all members.

Member Salary Information View

You can view pay stubs for members within the set permission scope.

Member Education and Competency View

You can view certifications, foreign language skills, in-house training, and in-house career information for members within the set permission scope.

Member Education and Competency Management

In Member Profile [Growth] & [Education] tabs, you can edit language, certification, and training information, or download it with member information.
To download, [Member Employment Information Management] + [Education and Competency Management] must both be granted.

Also, in [Settings] → [Approval Policy Management] → [Member Information] tab, you can configure changes made by members to their certification information to require approval before taking effect.

Member HR Note View

You can view [HR Notes] in the member profile within the set permission scope. HR notes cannot be viewed by the member themselves — only administrators with view or manage permission can see them.

Member Onboarding/Offboarding Checklist Management

You can assign and edit onboarding/offboarding checklists for all members.

Member Certificate Issuance Management

In [Documents & Certificates] → [Members] tab from the left menu, you can issue certificates for all members and view issuance history.

Member Invitation Management

You can invite new members and manage invitation status.

Member Invitation Template Management

You can edit email templates for inviting new members. This permission must be granted together with [Member Invitation Management].

Attendance

Attendance View

You can view work records for members within the set permission scope in [Member Attendance]. Even with full-scope permission, the attendance view shows the permission holder's primary organization first, so you need to filter by all organizations using the [Organization] filter in the top right.

Member Attendance Approval View

You can view attendance/leave approval documents for members within the set permission scope.

Attendance Edit

You can edit work records for members within the set permission scope. If [Self Only] is selected, members can only edit their own work records. When this permission is granted, the [Recurring Schedule Registration] button is displayed.

Member Real-Time Work Record View

You can view real-time work records (thin graph) for members within the set permission scope.

In-progress real-time records (records for currently clocked-in members) can be viewed with the basic attendance view permission alone. Real-time record view permission is needed to view already closed or expired past records.

Member Real-Time Work Record Edit

You can edit real-time work records (thin graph) for members within the set permission scope.

Note: When an administrator with real-time work record edit permission modifies the real-time graph, no approval is generated — so it is not recommended to grant this to members. Also, real-time record editing is only possible after work has ended. Editing is not possible while the widget is active (recording in progress).

Member Attendance Statistics View

This permission grants access to [Attendance Management] → [Attendance Dashboard] and the ability to download member work records as Excel. To grant this permission, [Attendance View] and [Member Leave View] must also be granted.

With the above permissions, if Hong Gil-dong in the HR team is granted Attendance View & Leave View with scope set to [My Organization Only],
Hong Gil-dong can view work data for their organization.

Shift Work Management

In [Attendance Management] → [Shift Work Management] from the left menu, you can set shift schedules and work schedules for members within the attendance edit permission scope, and manage the company's shift list.

This permission should be granted together with [Attendance View], [Attendance Edit], [Leave View], and [Leave Edit] permissions.

Work Type and Policy Settings

In [Settings] → [Work Types] and [Work Settings] from the left menu, you can set work types and company work policies for members.

Also, in [Settings] → [Approval Policy Management] → [Attendance] tab, you can bulk-configure and manage approval settings for company work policies!

Overtime and Compensatory Leave Management

In [Attendance Management] → [Compensatory Leave Payment] tab from the left menu, you can grant and manage compensatory leave based on overtime for all members.

Holiday Substitution Management

In [Attendance Management] → [Holiday Substitution] tab from the left menu, you can process and manage holiday substitutions for all members.

Attendance Closing Management

In [Attendance Management] → [Attendance Closing] tab from the left menu, you can close registered work records for all members.

Leave

Permission Name

Member Leave View

You can view leave usage history for members within the set permission scope.

In individual member profiles → Leave Overview, you can view each member's leave status and usage history.

Member Leave Edit

This permission must be granted together with [Member Leave View]. You can access [Annual Leave Details] for members within the set permission scope. Also, in [Attendance Management] → [Leave Management] from the left menu, you can grant custom leave or annual leave, and upload past leave records used by members.

With this permission, you can edit leave schedules registered by members. Note that when an administrator cancels a member's leave, no separate approval is generated.

Leave Balance and Usage History View

This permission must be granted together with [Member Leave View]. You can view leave balances and usage history for members within the set permission scope in [Attendance Management] → [Leave Management].

You can view leave history and current balance, and download members' leave usage history as Excel.

Annual Leave Policy and Promotion Management

This permission must be granted together with [Member Leave View] and [Custom Leave Management]. You can set your company's annual leave policy and promotions, and manage individual members' annual leave promotion history.

Also, with this permission along with [Custom Leave Management], you can bulk-configure and manage approval settings for company leave policies in [Settings] → [Approval Policy Management] → [Leave] tab.

Custom Leave Management

You can set up and manage the company's custom leave types.

Workflow

Workflow Form Management

Via [Workflow] → [Document Form Management] in the top right from the left menu, you can edit and manage the company's workflow forms.

Also, in [Settings] → [Approval Policy Management] → [Workflow] tab, you can bulk-configure and manage approval settings for created workflow forms.

Company Document Storage Management

You can view and download all workflow documents created in the company.

Also, workflow documents can only be deleted by an administrator with Company Document Storage Management permission.

Approval

Electronic Contract

Electronic Contract Management

This permission allows full management of all electronic contracts in the company — you can request electronic contracts, cancel requests, and view & download all members' electronic contracts.

Requested Electronic Contract Management

This permission lets you send contracts to members and manage only the contracts you have sent. Without full contract management permission, an administrator with only requested contract management can only see the contracts they personally sent.

For example, Hong Gil-dong with only Requested Electronic Contract Management permission can view and download only the contract sent by Hong Gil-dong to Heo Jun.

Payroll

Payroll

This permission allows you to manage payroll templates and process payroll. For smooth payroll processing, it is recommended to grant [Member Employment Information Management], [Member Contract Information Management], and [Member Payment Information Management] together.

Retirement Income Management

This permission allows you to manage retirement income information and process severance pay. To grant this permission, [Payroll] and [Member Salary Information View] must already be granted.

Social Insurance Management

You can manage social insurance eligibility and contribution/reporting history for all members.

Certificate Issuance

This permission lets you download employment income certificates such as pay stubs, withholding tax receipts, and withholding tax ledgers for members.
To grant this permission, [Payroll] and [Member Salary Information View] must already be granted.

Payroll File Management

This permission allows you to upload and delete payroll-related files in the Payroll - Data Management tab from the left menu.

Payroll Data Migration

This permission allows you to migrate past payroll results from before you started using flex.

Year-End Tax Adjustment Management

You can view and edit member information and deduction data for year-end tax adjustment processing.

Year-End Tax Adjustment Installment Management

This permission lets you view and edit year-end tax adjustment installment information after year-end tax adjustment is completed.

Pay Item Management

Access [Settings][Pay Items] within the Payroll category from the left menu to manage items paid to members.

To grant this permission, [Member Payment Information Management] must also be granted.

Deduction Item Management

Access [Settings][Deduction Items] within the Payroll category from the left menu to manage deduction items.

To grant this permission, [Payroll] and [Member Salary Information View] must already be granted.

Payroll Settings

You can change company information, social insurance settings, public certificates, calculation settings, and more for payroll processing.

Tax Filing Management

You can prepare and manage withholding tax and local income tax returns and receive income payment statements.

Income Management

You can register and manage business, miscellaneous, interest/dividend, and non-resident income.

Business Location Settings

You can set the business location for local income tax filing.

HR Accounting

You can delete recognition messages. Note: Feedback can only be viewed by the members who exchanged it.

Integration Permissions

This permission lets you integrate flex with your security solution (SECOM/CAPS).

Open API Settings

This permission is available with an API subscription — it lets you issue and manage tokens for using the flex Open API.

Insights

Insights View

You can view Insights information for members within the set permission scope. Note: Sensitive information such as salary may be exposed when this permission is granted — exercise caution.
• Behavior may differ depending on the target scope:
◦ All members: Can view all scopes of Insights
◦ My organization + sub-organizations: Only team leads can view Insights for their organization and sub-organizations

View Including Member Information

You can view detailed information referencing members' HR information, personal information, work and leave information in Insights. Note: Sensitive information such as salary may be exposed — exercise caution when granting.

Without this permission, only totals and averages across the organization can be viewed. With this permission, detailed data per member can be viewed — exercise caution when granting.

Security

OTP Two-Factor Authentication Settings

You can set OTP as the secondary authentication for login and handle tasks such as resetting OTP per member.

Allowed IP Settings

You can configure whether flex is activated only from specific IP addresses.

Login Settings

You can set login password options and use various login management features. You can also configure whether to allow login for members on leave.

SSO Settings

This feature is activated with an SSO subscription — you can edit Single Sign-On settings integrated with services such as Okta and MS Entra ID.

Other Permissions

Subscription Payment Management

In [Settings] → [Payment Management], you can change subscription services, view billing charges, and manage payment methods.

Audit Log View

You can view and download important records from using the flex service as an information processing system.

Estimated Quote View

This is a feature that requires a separate group insurance application — you can view and download group insurance product information and estimated quotes.

Permission Settings

In [Settings] → [Permission Settings], you can configure permission groups and permission links, and grant permissions to members.

Recruitment Permission Settings

Recruiter and evaluator permissions can be managed on the Recruitment page.


FAQ

How can I check who the (Super) Admin is in our company?

In the left menu, go to [Settings] → [Permission Settings] → select the [Super Admin] permission group or any custom permission group tab to see which members are included in that group. If a member is in that group, they already have all company permissions granted.

The admin has left the company and I want to transfer (Super) Admin permissions to a new admin.

If the existing (Super) Admin has left and you want to add a new admin to the permission group, go to [Settings] → [Permission Settings] → click on the [Super Admin] permission group or the custom permission group, remove the existing permission holder from the group, and add the new admin as the permission holder.

If a member does not have the Member Personal Information View permission, what information can they see?

Even without [Member Personal Information View] permission, you can still see a member's name, contact number, and email in the basic member profile. This is viewable without permission to support collaboration between members.

If a member belongs to both the Default permission group and a custom permission group, how are permissions applied?

If a member belongs to both the Default permission group and a custom permission group, both sets of permissions are applied. Note that there is no priority order between them.

Can I restrict (or require approval for) members changing only their bank account information?

Currently, we do not provide a feature to restrict changes to specific fields like bank account information individually or require approval only for those.

[💡 Alternative: Use Basic Information Change Approval]

Instead, you can control overall personal information changes by members. In [Settings] > [Approval Policy Management] > [Member Information] tab, if you configure 'Basic Information Change Approval', an approval request notification will be sent to the administrator whenever a member changes their personal information, including bank account details, allowing you to review and manage the changes.

What is the difference between Attendance Edit permission and Real-Time Record Edit permission?

  • Attendance Edit permission: Allows editing of the recognized work graph (thick bar) used for compensatory leave and payroll calculations.

  • Real-Time Record Edit permission: Allows editing of real-time records (thin line).

The two permissions operate independently and do not affect each other.

If I don't have Real-Time Record View permission, can I not see real-time records at all?

No. In-progress real-time records (records for currently clocked-in members) can be viewed with the basic Attendance View permission alone.

Real-Time Record View permission is needed to view already closed or expired past records. By default, this is only granted to Super Admins — if other admins also need to view past real-time records, please grant it separately in [Settings] → [Permission Settings].

You mentioned no approval is generated when editing real-time records — how should we manage this?

Currently, no approval process is generated when editing real-time records (planned for future improvement). Therefore, it is recommended to grant Real-Time Record Edit permission only to the administrators who truly need it.

Real-time record editing only changes the real-time record (thin line) independently of recognized work (thick bar), so it does not affect the recognized work hours used for payroll calculations.
