I Don't Know What Permissions to Grant to Members and Organization Heads!

Updated today

Permission settings can basically only be configured by members who have been granted the [Permission Settings] permission.

If this permission has been granted, even non-super administrators can check the organization's permissions and configure member permissions.

Permission Groups and Member Permissions

  • In [Settings] → [Permission Settings], you can check the Super Administrator, Organization Head, and Basic permission groups.

    • Super Administrator: Members belonging to the Super Administrator permission group

    • Organization Head: Members marked as [Organization Head] during HR information appointments

    • Basic Permission: All members who do not belong to a specific permission group

  • In the [Member Permissions] tab, you can search and look up which permission group each member belongs to. Clicking on a permission group name will show the list of permissions assigned to that group.

Adding Custom Permission Groups

  • If there are members who are not super administrators or organization heads but need permissions for work purposes, you can assign and manage permissions through [Add Permission Group].

  • After adding the permission group name and description, click [Add] at the top right to select members to add to the permission group.

    • If you have set up a permission group called Payroll Manager, select the permissions to grant to that group and click the [Save] button at the bottom.

What permissions should I typically grant to members?

  • By default, we recommend not granting any permissions to members. However, if you want members to edit their own work hours, please grant only the [Work Edit] [Self] permission!

What exactly is the [Work Edit] permission?

It refers to the permission that allows members to edit their own work schedules. When this permission is granted to members, they can directly edit and register their own work schedules. With this permission, members can also register [Recurring Schedules].

You can grant the permission to edit their own work hours while also setting it so that [Approval] is triggered when editing work schedules.

For more details, please refer to the guide below.

I want to give members permission to share (view) work and leave with each other!

Note that in the Home Feed bottom right [Calendar] or mobile schedule calendar, members can share schedules with each other even without work or leave viewing permissions! For more details, please refer to the guide below.

  • Go to [Settings] → [Permission Settings] → [Basic Permission] tab and grant the [Member Leave Viewing] permission.

    • If the work information viewing permission is granted, members can view each other's work status under Work → Member Work on the left menu.

    • If the leave information viewing permission is granted, members can view each other's leave information. However, sensitive leave names such as miscarriage leave may be exposed.

  • Once configured, you can check the following.

    • In the left menu [Attendance Management], you can check other members' leave balance status and leave usage history.

    • Click the arrow next to [Members] → [Profile of the Member You Want to View] → [Annual Leave Balance].

    • After clicking the arrow to navigate, you can check the leave usage history under [Usage History].

I want to give members permission to add their own [Education and Qualifications]!

  • Without any special permission, members can add language and qualification details from their own Profile → [Growth] tab.

  • For [Education] items, by default only administrators with [Member Education and Competency Management] permission can add education details for members. If you want to give members the permission to add their own education details, please grant this permission to them as well. However, please note that members with this permission can view and edit other members' career, education, and training information.

What permissions should I typically grant to organization heads?

When granting permissions to organization heads, just remember one thing: [Access Scope]!

[Access Scope] refers to the scope of permission to access other members' information.

If only [Own Organization] is selected, the organization head can only view information for members in their own organization.

If [Own + Sub-Organizations] is selected, the organization head can access information for members in their organization as well as members in sub-organizations.

  • Organization heads are typically granted permissions to view work and leave information for members in their organization.

If you grant contract and payment information viewing permissions to organization heads, sensitive salary information for individual members may be exposed. Please grant permissions according to your company's internal regulations.

  • Additionally, we recommend granting the [Member Attendance Statistics Viewing] permission under feature-specific permissions.

With this permission, organization heads can check and manage the attendance of members in their organization or sub-organizations. The attendance dashboard can be viewed not only on PC but also on the mobile app, allowing organization heads to actively manage attendance!

I want members to edit work schedules only with organization head approval. Is there a way?

You can grant members the work edit permission while setting the work policy's approval policy to organization head approval to manage this.

If members do not have the work edit permission, they cannot record or edit work, so please grant the work edit permission so members can modify their own work records and have them recorded through organization head "approval."

If you want to set up work policy approval settings, please refer to the guide below!
