I Want to Change a Member's HR Information. How Do I Do It?

There will be many changes when managing members' HR information.

In this guide, we will explain how to change various HR information for members and the precautions to keep in mind!

I want to change the organization, title, job function, position, rank, or organization head status.

  • Click the [Change] button at the top right of the member's profile HR Information tab.

  • Click [Effective Date] at the top left and select the date to apply the changes.

    • If you change the effective date to a future date, it will be processed as a [Scheduled Information Change] and the HR information will automatically change on that date.

  • If there are job functions, positions, ranks, or organizations to change, click the corresponding tab to change the information.

    • If [Organization Head] is checked, the member will be appointed as the organization head of the Growth Group.

  • Click the [Add Organization] button on the right to issue an appointment to a concurrent organization. If you want to change the primary and concurrent organizations, change the organization order as shown in the image below. The organization at the very top is automatically considered the primary organization.

  • If the effective date is set to a future date, the HR information change reservation is set as shown below.
    ​Click the [Edit Reservation] button to modify the information scheduled to change or delete the reservation.

I want to change a member's employee number and hire date basic information.

  • Click the [Basic Information] section's [Change] button on the right of the member profile to change the member's employee number and hire date information.

    • Please note that changing the hire date may affect work records, leave usage records, remaining annual leave, etc. It will be recalculated based on the changed hire date, so please proceed with caution!

I want to change a member's salary and payment information.

  • Go to the member profile → Click the [Change] button on the right of the employment, wage, and payment information to change the member's contract information.

  • When changing a member's wage contract information due to salary negotiations, etc., enter the contract start date and contract amount as shown below, then click the [Set Payment Items] button on the bottom right.

    • Contract start date: This refers to the start date for the annual salary or monthly salary to be paid to the member.
      Usually it is the hire date or January 1 of the year the salary negotiation took place.

  • After entering the wage contract information, when changing the payment information, if you match the effective date of the payment information with the wage contract effective date, the system will automatically calculate the ordinary hourly wage, base pay, etc. based on the salary information entered for that date.

I want to change a member's work type or work type effective date.

  • To change a member's work type, click the [Change] button at the top right of [Work Information].

  • When changing [Work Information], please carefully select the [Effective Date]!

    • For fixed, staggered, and schedule work types, set the work type change effective date to the 'Monday' when the cycle begins.

    • For monthly flexible work types, change the work type aligned with the 1st of each month when the work cycle begins.

  • If the work information effective date is set to a future date, a change reservation is set so that the work information is changed on that date. After confirming the effective date, click [Change].

Can I bulk change members' information all at once?

  • Click the left [Members] → [HR Information Management] → [Appointments] tab, then click [Issue Appointment] at the top right.

  • You can bulk change members' organization, title, rank, position, and job function information. You can also issue appointments for organization head status!

  • After changing information, click [Issue Appointment] at the top right to view all appointment records at once in the [Appointments] tab. Additionally, for completed and scheduled appointments, you can hover your mouse to write an announcement directly from the appointment information via [Write Announcement].

    • [Completed]: Appointment processing completed

    • [Canceled]: Appointment canceled

    • [Scheduled]: Appointment date set to a future date, with pending appointments

FAQ

I need to change a member's hire date, but it says I can't because there is a previous appointment!

If there are appointment records prior to the hire date you want to change, it is determined that the change is difficult because there are change records for organization, rank, title, etc., since the member did not exist before the hire date.

In this case, you can change the hire date after modifying the appointment records using the following method.

  • Go to the member's [Profile] and click [Information Change History] at the top right.

  • Then, check the initial appointment record, click the three dots on the right - Edit, and re-issue the appointment with the date aligned to the hire date you want to change.

I'm trying to change the work type, but it says it cannot be changed!

When changing the work type, if there is leave registered after the selected effective date, the work type change will not proceed! Since leave usage periods follow the prescribed working hours per member, if a regular worker changes to a part-time worker and there is leave registered before becoming a part-time worker, the leave usage hours for full-day leave and half-day leave, etc. will differ. Therefore, if there is leave registered in advance, the administrator should cancel the leave first, change the work type, then re-register the leave.

Where can I download member information?

You can quickly download member information registered in flex as an Excel file. You can select and download only filtered member information, and when downloading, multiple types of information can be downloaded as a single Excel file with each type separated into tabs rather than individual files. Management permission for [Member Personal and HR Information] download is required.

How can I check the information change history per member?

In the Information Change History, you can view and manage the history of changes to member HR information, employment contracts, wage contracts, work information, leave of absence records, etc. at a glance. For more details, please click the guide on the right! Member Information Change History

Can I download member profiles as PDF?
