Adding Members

If you are introducing flex for the first time or need to add a new hire, you can add members using the 'Add Members' feature. When you need to register one member at a time, use 'Add One Member',

and when registering many members at once, try the 'Bulk Add via Excel' feature!

Only administrators with [Manage Member Invitations] permission can add members.

Adding One Member

Before adding a member and sending the invitation email, please confirm that the email the member will use is active (able to receive emails) before sending the invitation email. If the account does not exist, the flex server may block the account and the invitation email may not be received.

  • You can send invitations from the left menu [Members] → [Add Members] → [Add One Member].

  • You can simply register a member by entering only the required information: name, email, hire date, and work type.

    • Company Email: Please enter the company account (email) that will be used to log in to flex.

    • Personal Email: You can add a secondary email. (e.g., [email protected])

  • Optional information is divided into three categories: HR information, employment contract information, and wage contract information.

    • Enter HR Information: Employee number, job function, job title, organization / position information

      • It loads the job function, job title, job level, and organization information added in HR Information.

      • If the member being invited holds concurrent positions, you can set up concurrent positions through [+Add Organization].

      • Click ⭐️ before Organization / Position to set the primary organization, and click ✅Organization Head to select whether they are an organization head.

  • Enter Employment Contract Information: Employment contract start date, employment contract end date, employment type, probation information

    • Employment Type: Please select the employment type such as regular, contract, dispatched, or non-registered executive.

    • If there is no probation period, please leave the probation information field empty.

  • Enter Wage Contract Information: Wage contract start date, wage contract end date, contract amount, income classification, comprehensive wage contract, contract-included allowance information

  • Once you have finished entering the information, click the Complete button at the top right.

  • You can send the invitation email right away via Send Invitation Email, or pre-register the member before inviting them through [Invite Later].

Adding Multiple Members

When adding multiple members, you need Manage Member Invitations + Manage Member Invitation Templates + View Employment Information + Manage Employment Information permissions.

  • Click [Members] → [Add Members] → [Add Multiple Members].

  • Click the [Input Info Settings] button at the top right to select the member information you want to enter, such as HR, personal, and contract details. During the input process, you can check what information has errors and why the errors occurred.

  • In [Input Info Settings], you can pre-enter the following information to register and invite members.

Input Field Name

Description

Name

Please enter the member's name (legal name).

This is a required default setting when registering a member.

Email

Please enter the email the member will use to log in to flex.

When registering the email the member will use to log in to flex, please verify that the email is a valid (active) email. If the email is not active, it will be considered invalid and the member may not receive emails such as invitation emails later.

Hire Date

Please enter the member's hire date.

Group Hire Date

If the member has a group hire date, please enter the group hire date.

Organization, Position, Org Head

Please set the member's organization (team).

You can set the member's position and organization head status within the organization.

Concurrent Org, Position, Org Head

Please set the member's concurrent organization (team).

You can set the member's position and organization head status within the concurrent organization.

Job Function

You can enter the member's job function.

Job Title

You can enter the member's job title.

Job Level

You can enter the member's job level.

Mobile Phone Number, Country Code

You can enter the member's mobile phone number and country code (e.g., +82).

Date of Birth

You can enter the member's date of birth information.

Resident Registration Number

You can enter the member's resident registration number.

Home Address

You can enter the member's home address.

Nationality Information

You can enter the member's country of residence, visa status, and nationality code.

Payroll Account Information

You can enter payroll account information.

Disabled Person, National Merit Recipient

You can register the member's disability type and degree, and national merit recipient information.

Leave of Absence Information

You can register leave type, period, whether to include in tenure, and salary payment rate.

Personal Email

You can enter the member's personal email in addition to the company email.

Annual Leave Policy

You can select the annual leave policy to apply to the member.

Company Name

If you have a nickname culture, you can enter a company name.
When a company name is entered, the nickname always takes priority.

Employee Number

You can enter the employee number.

Resignation Information

You can register the resignation date, employment insurance loss reason, and flex usage end date.

When registering resigned employee information, you can activate the resignation information to register.

Hire Type

You can enter new hire or experienced hire information.

English Name

You can enter the member's English name.

Work Information

You can register the member's work type, applicable day-off type, and overtime compensation policy.

  • Click the [Excel Upload] button at the top right to upload an Excel template and bulk register members.

  • If you have member information organized in an Excel file, you can copy and paste Excel columns to quickly register members.

  • The downloaded Excel template only includes fields for information that is in use in [Input Info Settings].
    If job level information is set to unused in Input Info Settings, you cannot enter job level information in the template.

  • Click the [HR Info Settings] button at the top right to directly set HR information such as organization and job level.

  • Once member information registration is complete, click [Add Members] at the top right to send the invitation email right away via Invite Members, or pre-register the member before inviting them through Invite Later.

  • You can check the invitation email template and requested information to be sent to the member.

  • Click the [Settings] button at the top right to change or add the invitation email template or requested information.


FAQ

When registering members via Bulk Add via Excel, can I register information other than HR information?

  • That's correct. Other information can be changed in bulk through the 'Bulk Information Change' feature.

I want to register a foreign member. How do I handle bank account identity verification and resident registration number entry?

If you have not yet sent the invitation email to the member, please add an invitation template where [Bank Account] identity verification is set as optional rather than required in the invitation email request information for foreign workers.
Also, for the resident registration number, you need to guide them to enter their foreigner registration number, but if the foreigner registration number has not been issued yet, please guide them to register a temporary number (e.g., 240101-1234123).

If you have already sent the invitation email to the member, please guide the foreign worker to enter their foreigner registration number for the resident registration number, or guide them to register a temporary number (e.g., 240101-1234123). For bank account identity verification, please guide them to sign up by entering the name exactly as it appears on the bank passbook issued under the foreign worker's name (including uppercase/spacing, etc.).

Can I hide a newly registered member so that other members cannot see them?

Currently, a feature to separately make members private or hidden is not implemented. If you do not assign the member you want to hide to a specific organization or assign them to a hidden organization, some members may find it difficult to look up that member.

However, when other members search/browse the member list, that member's profile may still be visible.

When registering multiple members, what input info setting should I add for day-off type or work type?

If you activate [Work Information] in the Input Info Settings, you can bulk register the day-off type, work type, overtime policy, etc. for the members you want to add.
