Answers to common questions about annual leave policy, details, reports, operations, and registration in flex.

Annual Leave Policy

I uploaded past annual leave data but it's not reflected in the annual leave details.

If a member's annual leave usage records are not reflected in the annual leave details, please check Settings → Annual Leave Settings → Annual Leave Policy → Annual Leave Grant Method → Grant Start Date. The grant start date is the date from which the system starts reflecting annual leave grants and usage — only leave history after this date is displayed.

A member is leaving and I need to compare leave granted by hire date vs. fiscal year. Where can I view this?

  • In the left menu, go to [Attendance Management] - [Leave Management] - [Leave Balance Status] tab, click [Annual Leave Adjustment] in the top right, then click [Remaining Annual Leave Adjustment for Departing Employees].

  • In the departing employee remaining annual leave adjustment screen, you can check the [Auto Grant] column with two sub-columns: [Based on Labor Standards Act] and [Based on Company Policy]. This lets you compare the amounts and process the remaining annual leave settlement. For more details, refer to the guide on the right (Departing Employee Remaining Annual Leave Adjustment Guide)

    • [Based on Labor Standards Act]: Amount granted when calculated on a hire date basis

    • [Based on Company Policy]: Amount granted per the grant method in the annual leave policy applied to the member
      This may be either fiscal year basis or hire date basis.

I want to carry over members' annual leave without expiring it.

Per flex's Labor Standards Act compliance, monthly leave (= monthly allowance) granted to employees with less than 1 year of service expires when the 1-year hire anniversary arrives, and annual leave for employees with 1+ year expires 1 year after the grant date — this is configured to expire automatically.

In Settings - Annual Leave Settings - Annual Leave Policy - Annual Leave Expiration Settings, if you defer expiration, it applies from the grant start date. Therefore, if you only want to defer for this year, we recommend using manual adjustment to grant additional leave rather than changing the settings.

Since deferring expiration also applies the same setting to annual leave promotion, if you want to both promote leave usage for the current year and carry over remaining leave, we recommend setting it to [Expires After 1 Year] and then using manual adjustment to grant the remaining leave in the following year.

  • For a 1/1 fiscal year, remaining leave on Dec 31 auto-expires, so if 3 remain, grant +3 on Jan 1 of the following year.

  • Same for hire date basis: for a member hired on 5/14, remaining leave on May 13 auto-expires, so grant +3 on May 14.

When the year changes, I want to set it so all employees including mid-year hires receive only 15 full days of annual leave.

Approach 1: Appears as giving more

While this approach considers member experience, it may confuse members because leave is shown as scheduled to expire on the 1-year hire anniversary. Please guide members to use it all before their hire anniversary.

  • Monthly leave is distributed proportionally by fiscal year, and annual leave is set as 'proportional annual leave' with decimals rounded up to the day.

  • For a member hired Aug 22, 2023, 4 monthly leave are granted.

  • The auto-grant value as of Jan 1, 2023 shows 13 (annual 5.42 → rounded to 6, monthly 7).

  • To bring the auto-grant value of 13 up to 15, manually adjust 'annual leave' by +2 as of Jan 1, 2023.

Approach 2: Appears as deducting

While it appears as deducting previously granted leave, the annual leave details screen is cleaner since there are no monthly leave scheduled for auto-expiry in the next year.

  • Monthly leave is distributed proportionally by fiscal year, but the monthly leave allocated for January is deducted as a minus adjustment.

  • For a member hired Aug 22, 2023, 4 monthly leave are granted.

  • The auto-grant value as of Jan 1, 2023 shows 22 (annual 15 + monthly 7).

  • Deduct 7 monthly leave from the auto-granted amount to reach 15.

Can I set annual leave usage units to allow quarter-day and hourly leave in addition to half-day?

In [Settings] - [Leave Settings] - [Annual Leave Policy Settings], set the annual leave usage unit to 2 hours to enable quarter-day leave, and you can allow usage down to 1 minute!

If a member uses unpaid leave, are monthly leave and annual leave not generated?

Currently in flex, monthly leave and annual leave are automatically granted based on the member's hire date and the admin-configured grant method, regardless of unpaid leave usage or continuous service. If you need to deduct auto-generated monthly/annual leave due to unpaid leave usage, please use the [Adjustment] feature to deduct separately.

I want annual leave to be automatically approved upon registration.

In [Settings] - [Annual Leave Policy] - select policy - [Approvers & References] tab, hover over the approval line to see the [Auto-Proceed] button. Use this button to automatically advance the approval step.

Can I limit the amount of advance leave when advance leave usage is enabled?

  • You can limit the amount of advance leave through [Allow Advance Usage] + [Usage Limit] settings.

How do I configure annual leave registration to require approval?

To configure annual leave registration to require approval (set an approver), click [Settings] - [Annual Leave Policy] - select policy - [Approvers & References] tab from the left menu.

I set up an annual leave policy but it seems annual leave was granted incorrectly to members. What should I check?

  • If annual leave seems incorrectly granted, hover over the annual leave entry in the member's Annual Leave Details to see when and why the leave was granted. You can verify that it was granted correctly per your configured annual leave policy settings.

Can I create a new annual leave policy based on hire date and apply it to departing employees?

Yes, it's possible.

Add an annual leave policy and then apply it to the departing employee.

  • Adding an annual leave policy

    • Go to [Settings] - [Annual Leave Settings] - click [Add Annual Leave Policy] on the right to create a new policy based on hire date.

    • For detailed annual leave policy settings, refer to the Annual Leave Policy Settings Guide.

  • Applying the annual leave policy

    • To apply a new annual leave policy to a departing employee, access their profile.

    • Ctrl + K → search the departing employee's name → Profile → scroll to Leave Information at the bottom → click [Change] → apply the newly created policy.

  • Note: Even for departing employees, changing the annual leave policy causes the new policy settings to retroactively apply for annual leave grants and expiration. Remaining balances may be significantly affected, so please be aware when changing policies.

Where do I configure a different annual leave policy for specific members only? (e.g., executives or very short-hour workers)

  • For CEOs, registered executives, etc. who don't need annual leave grants

    • If set as a registered executive in the member's employment contract information:

    • In the member profile bottom - Leave Information, you can configure [Do Not Grant Annual Leave]. Use this setting to prevent annual leave from being granted to registered executives who don't require it.

  • How to prevent annual leave from being granted to very short-hour workers

    • If set with a work type of less than 15 hours per week in the member's work information:

    • In the member profile bottom - Leave Information, set [Do Not Grant Annual Leave] to prevent annual leave from being granted to short-hour workers who don't require it.

How do I change the annual leave policy to 'No Expiration'?

Changing expiration settings can significantly alter remaining leave balances (annual and monthly leave). Before changing, download the Leave History from [Attendance Management] - [Leave Management] - [Leave Balance Status] - [Leave History] to back up current leave data.

Then, if necessary, change the policy and cross-check with the backed-up file to reconcile members' remaining balances.

  • In [Settings] - [Annual Leave Settings] - select policy - [Auto-Expiration Settings] - choose [No Expiration] and save to prevent annual leave from expiring.

  • Note: This is retroactively applied from the grant start date, so annual leave for all members under that policy will not expire. Please be aware when making changes.

  • For annual leave adjustments, refer to the Annual Leave Additional Payment (Annual Leave Adjustment) guide.

If I change the expiration policy from 'No Expiration' to 'With Expiration', will existing remaining leave immediately expire?

  • Yes, expiration is immediately applied retroactively from the grant start date in [Settings] - [Annual Leave Settings] - [Annual Leave Policy] - [Annual Leave Grant Method].

  • Changing expiration settings can significantly alter remaining balances. Before changing, back up current leave data from [Attendance Management] - [Leave Management] - [Leave Balance Status] - [Leave History].

  • Then change the policy if needed and cross-check with the backed-up file to reconcile remaining balances.

I've set the annual leave policy to No Expiration or Deferred, and now want to change to Expires After 1 Year. How do I do this?

Changing expiration settings can significantly alter remaining balances. Before changing, back up current data from [Attendance Management] - [Leave Management] - [Leave Balance Status] - [Leave History].


Then, change the policy if needed and cross-check with the backup file to reconcile remaining balances.

  • In [Settings] - [Annual Leave Settings] - select policy - [Auto-Expiration Settings] - [Annual Leave Expiration Setting] - select [Expires After 1 Year].

  • Note: This is retroactively applied from the grant start date, so annual leave for all members under that policy may expire. Please be aware when making changes.

When the 1-year work anniversary arrives, how do I prevent monthly leave from the first year from expiring immediately?

Changing expiration settings can significantly alter remaining balances. Before changing, download the Leave History from [Attendance Management] - [Leave Management] - [Leave Balance Status] to back up current data.


Then, if needed, change the policy and cross-check with the backup file to reconcile remaining balances.

  • To keep monthly leave available without expiration:
    Go to [Settings] - [Annual Leave Settings] - [Auto-Expiration Settings] - [Monthly Leave Expiration Setting] - set to No Expiration or Deferred.

  • Note: This is retroactively applied from the grant start date, so monthly leave for all members under that policy may be restored.

  • Note: If set to No Expiration, monthly leave will not be promoted via smart annual leave promotion. Please keep this in mind.

  • If you only want monthly leave to not expire for this year specifically (not every new hire year), you can keep the monthly leave expiration setting and convert the expiring monthly leave to annual leave:

    • Go to Member Profile → click the leave balance on the right → Leave Overview → Annual Leave Details page.

    • Check the monthly leave expiration date → select the adjustment cell for the expiring month.

    • In the adjustment, enter the number of monthly leave items expiring, using a date earlier than the expiration date.

    • Grant annual leave on the monthly leave expiration date.

    • Once adjusted, the monthly leave expiration disappears and it becomes annual leave that can be used for the annual leave usage days.

    • Note: Since it's been converted to annual leave, annual leave promotion may apply on the promotion date. Keep this in mind when making adjustments.

I want to change the annual leave policy. When is the best time to change it? (Application timing)

  • Annual leave policy changes are retroactively applied from the grant start date. This may significantly change the existing remaining balance.

  • We recommend calculating in advance what each member's remaining balance should be after the policy change (e.g., as of Nov 4, 2025: member A should have N annual leave + N monthly leave), then making the change and adjusting to match those numbers.

  • Also note that annual leave promotion is affected by policy changes. If your company runs annual leave promotion, we recommend changing the policy either before promotion starts or after it's fully complete.

Annual Leave Details

I'm curious about the decimal calculation formula shown in the annual leave details table.

  • For proportional annual leave at the first fiscal year, the calculation is:
    Work days in the first fiscal year period / 365 × 15 days

  • For a member hired July 24, 2023: 157 (July 24–Dec 31) / 365 × 15 = 6.45 days

    • Half-day unit rounding up: 6.45 → 6.5

    • Day unit rounding up: 6.45 → 7

The remaining annual leave on the Leave Overview page and the Details page are different.

The Leave Overview page shows remaining annual leave at the time of viewing, while the Details page also shows future adjustments not yet reflected. For example, as of Dec 11, a member has 5 days of leave, but the annual leave details shows 3 because adjustments on Dec 12 and Dec 26 are included in the total.

I set annual leave to 30-minute or 1-hour units only, but a member's Leave Overview shows n hours "1 minute." How does 1 minute appear?

flex converts leave usage to daily units. If a member with 8 hours of daily standard work time uses 5 hours 30 minutes: 5.5h/8h = 0.6875 days, but due to internal rounding to 3 decimal places, it shows as 0.688 in the annual leave details — creating about a 1-minute discrepancy (0.0005).

This rounding policy is maintained for accurate leave tracking at companies with 1-minute precision. The 1-minute discrepancy naturally cancels out as members use leave, so no adjustment is needed.

A member used the same number of leave hours as before but the number shown changed.

flex uses daily standard work hours = 1 day. If a member's standard daily hours changed, the 1-day baseline changed, so the numbers differ. For example, a member with 8-hour average daily hours using 4 hours of leave = 0.5 days (4/8). But if they become a part-time worker with 6-hour standard hours, 4 hours of leave = 0.67 days (4/6).

A member with less than 1 year of service had their annual leave used up before their monthly leave.

When a mid-year hire uses leave and their annual leave is depleted first, or they've used all granted annual leave but still have expiring leave remaining, it may be one of these situations:

  • Leave used before monthly leave was granted:
    If a mid-year hire uses leave before monthly leave is granted, it deducts from future annual leave while monthly leave remains. For example, if monthly leave is granted on the 3rd of each month, a member hired May 3 receives monthly leave on June 3, July 3, Aug 3, etc. If they use leave on May 25, since June 3 monthly leave hasn't been granted yet, it deducts from future annual leave. So the June 3 monthly leave remains, but next year's annual leave is reduced.

  • Monthly leave set to [No Expiration]:
    When registering leave, the system uses leave with the nearest expiration date first. So if annual leave has an expiration date but monthly leave has no expiration, all annual leave is consumed first before monthly leave. This can result in monthly leave remaining even after the hire year has passed.

What is the difference between manual monthly leave adjustment and annual leave adjustment?

Monthly leave adjustment reflects in monthly leave; annual leave adjustment reflects in annual leave. If a member has no monthly leave and you apply a monthly leave deduction, it reflects as annual leave. Therefore, first check whether the member's current leave is monthly or annual leave, then apply the intended adjustment accordingly.

For short-hour workers with less than 8 hours of daily standard work time, annual leave is granted proportionally. How many hours are deducted when used?

For a short-hour worker with 4 hours of daily standard work time: full-day leave deducts 4 hours; half-day leave deducts 2 hours. The number of annual leave days granted (15 days) does not change based on standard hours. If you also want to adjust the number of leave days, use the adjustment function to deduct the leave amount separately.

How should leave be granted for employees on pregnancy or childcare reduced work hours?

For employees on pregnancy or childcare reduced work hours, work hours are legally reduced, but this is just a form of work arrangement and does not change how annual leave is calculated.

Please refer to the respective laws and administrative interpretations and configure the work type according to your company policy. When properly set, 1 day of leave will be granted accordingly.

The annual leave granted to a member seems different from expected. What should I check?

Please check in this order:

  • Go to [Settings] - [Leave Settings] - [Annual Leave Policy] - [Annual Leave Grant Method].
    Check your company's grant method, then enter the member's hire year/month/day in [Annual Leave Auto-Grant Preview] at the bottom.
    Verify when and how many monthly and annual leave days are granted per the configured grant method.

  • Then go to [Attendance Management] - [Leave Management] - [Leave Balance Status], click the member, and navigate to the [Annual Leave Details] tab.

  • In the annual leave details, you can see all monthly and annual leave received or expected this year and the amount used at a glance. Hovering over numbers in the table shows why leave was granted, when it was used, why it expires (per the admin-configured expiration policy), and how many unused monthly leave from the prior year were carried over.

I'm granting leave on a fiscal year basis, but members in their 3rd, 5th, and 7th year don't seem to receive additional leave.

On a fiscal year basis, additional leave is granted as follows:

  • After 3 full years of service (hire date basis), 1 day is added to 15, making 16. After that, 1 day is added every 2 years, up to a maximum of 25 days.

  • The 3-year continuous service condition is evaluated on the fiscal year date (e.g., Jan 1). If the condition is met on the fiscal year date, 15+1 are granted, with 1 additional day every 2 years automatically.

  • Example: For someone hired May 1, 2021 — on Jan 1, 2024 the 3-year requirement is not yet met so 15 are granted; from Jan 1, 2025, 16 are granted. Additional days added every 2 years (2027, 2029, etc.).

So for a member hired April 20, 2020, additional leave is granted every 2 years starting from 2024.
If you want additional leave on the 3rd, 5th, 7th anniversary as counted by year, go to [Settings] - [Annual Leave Settings] - [Annual Leave Grant Method] - click [More Settings] → [Additional Annual Leave Grant] → enter 1 for the 3rd, 5th fiscal year anniversary, click [Confirm], and save.

This way, the member also receives additional leave on the 3rd fiscal year anniversary after hire.

When a member joined, additional annual leave seems to have been automatically granted on top of monthly leave. What should I check?

In [Settings] - [Annual Leave Settings] - select policy - [Annual Leave Grant Method], click [View More Settings] to find [Additional Annual Leave Grant]. Check whether there is an additional grant configured there. If it's not intended, delete the amount and save.

When does annual leave and monthly leave expire?

They expire exactly on the expiration date. The actual leave usage date (not the registration date) must be before the expiration date. For example, if monthly leave is shown as expiring Aug 7, 2025, the actual leave usage day must be before Aug 7, 2025. Registering leave before Aug 7 does not allow you to use it in September, October, etc. The same applies to annual leave.

How can I prevent remaining annual leave from showing decimal amounts when annual leave is used?

  • In [Settings] > [Annual Leave Settings] > [Select Policy] > [Annual Leave Grant Method], setting 'Decimal Annual Leave Processing' to 'Round up to half-day/day unit' means rounding up decimals when granting proportional annual leave (granted to mid-year hires at their first fiscal year).

    If decimals still appear despite the rounding-up setting being enabled, it may be due to the leave usage unit setting.

    When annual leave is used in hourly or minute units, it converts to decimal days. For example, a 1-hour leave for an 8-hour worker = 0.125 days. While decimal rounding can be configured at grant time, leave used in these units will still produce decimal remainders.

Annual Leave Reports

Where can I see how many annual leave days were generated for a member within a specific period?

You can view all leave payment, deduction, usage, expiration, and remaining history at once using the Leave History feature!

Go to [Attendance Management] - [Leave Management] - [Leave Balance Status] - click the download icon on the right - click [Leave History] :)

If you want to check the leave status as of a specific point in time, enter that date in the period field when downloading.

There are many annual leave reports. What is the difference between each?

Leave Balance Status: When downloading, shows not only remaining annual leave at that point in time but also custom leave balances.

Leave Usage History: Shows start date, end date, leave type, approval and cancellation status, and whether supporting documents were submitted for each leave used by members.

Can I bulk-download annual leave or custom leave approval screens as documents like Excel or PDF?

Currently, bulk downloads of leave registration screens (approval screens) generated when members register annual leave are not supported in Excel or PDF format. If needed, in [Attendance Management] - [Leave Management] - [Leave Usage History] tab, click on individual members' leave usage records, then save the approval screen by capturing it or using the browser's print function.

Can I prevent members from seeing each other's remaining annual leave?

By default, members cannot view each other's remaining annual leave. If a member reports being able to see others' remaining annual leave, that member may have been granted leave view permission. Go to [Settings] - [Permission Settings] from the left menu and revoke the leave-related permissions.

Annual Leave Operations

We pay separate compensation for unused annual leave without expiring it. How should we handle this in flex?

  • In [Attendance Management] - [Leave Management] - [Leave Balance Status] tab, click [Annual Leave Adjustment] in the top right, then click [Remaining Annual Leave Adjustment for Current Employees].

  • Use this function to process unused annual leave settlement for current employees. For more details, refer to the guide (Current Employee Remaining Annual Leave Adjustment Guide)

I want to carry over only up to n days of annual leave and expire any beyond that. How do I configure this?

  • In [Attendance Management] - [Leave Management] - [Leave Balance Status] tab, click [Annual Leave Adjustment] in the top right, then click [Remaining Annual Leave Adjustment for Current Employees].

  • Use this function to adjust and expire the amount to be expired (Current Employee Adjustment Guide). Then use the regular annual leave adjustment function to grant the amount to carry over.

How do we calculate annual leave when an employee leaves?

We recommend checking the employment contract. Generally, annual leave is calculated as follows:

  • For employees with less than 1 year: When a member with less than 1 year of service leaves, monthly leave should have been generated each month on the hire anniversary. For example, hired Aug 4 and leaving Dec 9: monthly leave generated on Sep 4, Oct 4, Nov 4, Dec 4 = 4 days. Process settlement by deducting the amount used during employment using the Remaining Annual Leave Adjustment for Departing Employees function.   • For employees with 1+ year: When a member with 1+ year leaves, calculate using whichever method is more favorable to the employee — the amount generated on hire date basis vs. fiscal year basis. Use the Departing Employee adjustment function for settlement. (Departing Employee Remaining Annual Leave Adjustment Guide)

It seems unused annual leave from last year was carried over. How can I prevent unused annual leave from carrying over?

When it seems like previous year's unused annual leave was carried over, check the following:

  1. In the member's Annual Leave Details tab, check last year's annual leave details. Hover over the remaining column to see whether the remaining leave is monthly or annual leave.

  2. If the carried-over leave is monthly leave, monthly leave does not expire when the year changes. Per Labor Standards Act, monthly leave for mid-year hires is granted monthly based on hire date and expires on the 1-year hire anniversary. Even for fiscal-year companies, monthly leave for mid-year hires is granted each month and unused monthly leave expires on the 1-year anniversary.

  3. If the carried-over leave is actual annual leave (not monthly), check the annual leave expiration policy:

    1. Go to [Settings] - [Annual Leave Settings] - select policy - [Annual Leave Expiration Settings], and check whether the expiration policy for monthly and annual leave is set to "Expires after 1 year" or whether there are deferred settings.

I want to grant additional annual leave (vacation) to a specific member. How do I do this?

There are two main ways to grant additional leave to a specific member. Please choose the appropriate method for your situation.

1. Use the Annual Leave Adjustment function Go to [Attendance Management] > [Leave Management] > [Annual Leave Adjustment] to directly grant additional annual leave days to that member.

2. Create and grant custom leave If you want to grant a separate type of leave distinct from annual leave, create a 'custom leave' and grant it individually to that member.

Annual Leave (Vacation) Registration

There's an existing approved work record, but when using half-day leave the half-day start time is fixed based on the original work hours.

Half-day leave times are automatically calculated based on the default start time and daily standard work hours set in the work type. For example, if default work hours are 10:00–19:00, selecting 'afternoon half-day' applies 15:00–19:00. Even if work was pre-registered as 8:00–17:00, flex calculates half-day times based on the work type settings, so the result may differ from the pre-registered work hours (e.g., 13:00–17:00).

Can I set up notifications for managers or team members on the day a member takes leave?

Currently, flex does not send separate notifications to managers or other members on the day a member takes annual leave.

If your company uses Google Calendar internally, you can check member leave schedules through Google Calendar integration, and members can also view each other's upcoming leave schedules in the app or web.

How do I share a member's leave schedule?

Can I configure or announce that leave (annual and custom) registration is not available on certain dates?

Via [Home Feed] - [Share with Colleagues] in the top right - [Write Announcement], you can notify all members that leave is unavailable on specific dates.

In addition to announcements, to actually restrict leave registration, go to [Settings] - [Days Off] and add the specific weekday as a holiday to restrict leave registration. Note: Adding as a day off causes the system to treat that date as a public holiday — excluded from target work hours and any work registered on that day is treated as holiday work.

A leave that should grant n days can only be registered for some days, or a member has fewer leave days than others.

If this is a [Grant Upon Application] type leave and the remaining balance differs from what the admin intended, it usually means the member registered leave → cancelled → registered only part (e.g., half-day). Remaining unused leave returns to the leave bucket rather than disappearing. In this case, reclaim the leave from the member's Leave Overview.

After using morning half-day or hourly leave, does work automatically start at the end of the leave?

When morning half-day or hourly leave is used before work starts, work does not automatically start at the end of the leave. You need to manually press [Start Work] at the end of the leave or register work in [Work] - [My Work].

Can the administrator remove the break inclusion option when registering half-day or hourly leave, or fix the leave start/end time?

The [Include Break] option when registering leave cannot be hidden by administrators, and leave start/end times cannot be fixed. If you want members to register leave without including break time, write a guide in the annual leave policy description field for members to reference when registering leave.

In particular, for flexible work types that have no standard work start time or daily standard hours, members registering morning/afternoon half-day leave may be confused about the start time and how to register. A detailed company guide may be needed!

Use [Settings] - [Leave Settings] - [Annual Leave Settings] description field to describe your company's leave usage policy regarding break time inclusion.

After registering annual leave, is the remaining balance deducted even before final approval?

Regardless of approval status, when leave is registered it is deducted from/reflected in the remaining leave balance.

If the approver rejects, the registered leave days are reflected back into the remaining balance.

What happens if I use annual leave after pre-registering a work schedule?

The annual leave (vacation) record is added on top of the previously registered work schedule.

For example, if you pre-registered work from 9:00–18:00, then register an afternoon half-day (14:00–18:00), when the leave is properly applied, that day records 4 hours of work and 4 hours of paid leave used.

I registered afternoon half-day leave but the leave end time is not what I intended.

You need to check the work type settings actually applied to that member.

For example, if the start time is set to 8:00 AM and daily standard work hours are set to 8 hours, the system recognizes the member as starting at 8:00 AM and finishing at 17:00.

When registering leave, morning/afternoon half-day start and end times are based on the daily standard work hours and start time of the work type applied to the member — not on the registered work graph.

After using half-day or hourly leave, the work and leave hours shown are less than expected.

If work and leave hours are less than expected after using half-day or hourly leave, check whether break time is being applied to work hours and whether break time is included in the half-day or hourly leave duration.

When registering leave with break time included, work and leave hours may appear shorter.

Can I not register annual leave on public holidays?

Public holidays are statutory holidays, so paid annual leave cannot be registered on those days. If you need to register paid annual leave on a public holiday, you must delete the holiday from [Settings] - [Days Off] from the left menu. (Labor Day cannot be deleted.)

If I register 2026 annual leave in 2025, will it be deducted from 2025 annual leave?

No, it won't be deducted from 2025 annual leave!

Leave registered for a 2026 date is deducted from the annual leave held at the actual time of use.

So leave used on a 2026 date is deducted from annual leave granted in 2026, not from 2025 annual leave.

For example, if today is Nov 30, 2025 and you register leave for Jan 2, 2026, it will be deducted from annual leave granted in 2026!

This is called 'advance registration' — registering future leave after the expected grant date.

Note that the Leave Overview shows remaining leave as of the current date, so it may appear as a negative number. The actual deduction will come from 2026's granted annual leave.

I registered leave before the annual leave expiration date, but it expired. Why?

Annual leave must be used (actual leave date) before the expiration date — not just registered.

For example, if annual leave expires on Dec 31, 2025, the actual leave usage date must be before Dec 31, 2025. Registering the leave before Dec 31 does not allow you to use it in September or October. The actual usage date — not the registration date — is what determines whether it's used before expiration.
