Annual Leave Policy Settings

You can configure your company's annual leave policy. Set it up once and experience automated leave management!

This setting requires the [Annual Leave Policy & Promotion Management] + [Custom Leave Management] permissions.

Annual Leave Policy Basic Settings

  • In the left menu, click [Settings] -> [Leave Settings] -> [Annual Leave Policy]

  • You can configure approval settings so that when members register or cancel annual leave, an approval request is sent through the approval chain set by the administrator. For more details on flex approval settings, click the guide below!
    Understanding the flex Approval Structure

  • Once approval settings for leave registration are configured, you can also require approval when canceling registered leave. If the toggle for [When canceling registered leave] is enabled, approval will be required when members cancel leave as well. Note that the approval settings for cancellation follow the same approval structure as for registration.

    • For example, it is not possible to set up a configuration where approval is not required for leave registration but is required for cancellation, or to set different approval structures for registration and cancellation. Cancellation approval always follows the same approval structure as registration approval.

  • In [Leave Usage Unit], you can set the unit for leave usage. If set to 2-hour units, leave can be registered in 2-hour increments; if set to 1-minute units, leave can be registered freely in 1-minute increments.

  • If the Allow Advance Use toggle is enabled, members can use leave beyond the amount they have accrued. For example, if a member received 15 days of annual leave on the accounting date (January 1) and uses advance leave, the number of days used in advance will be deducted from the leave scheduled to be granted next year (15 days).

Monthly or annual leave that has not yet been generated can be registered as pre-use (not advance use).

1. A member who has monthly leave

Member's start date: March 10, 2023

Monthly leave policy: Monthly leave granted on the start date each month

Based on their start date and monthly leave policy, this member accrues monthly leave on the 10th of each month.

If the member has 0 remaining monthly leave on October 18, they cannot register leave for any date before November 10,

but they can register 1 day of leave on or after the 10th, once the next monthly leave is generated.

2. A member who has annual leave

Member's start date: March 10, 2023

Annual leave policy: 15 days granted annually on January 1 (accounting date)

If the member has 0 remaining leave in December 2023, and 15 days are scheduled to be granted on January 1, 2024,

the member can register leave starting from January 1, 2024.

Annual Leave Policy Grant Settings

Accounting Date Grant Policy Settings

  • Click the [Accounting Date] tab, set the [Grant Start Date] in the upper right, then specify the [Accounting Date].

    • What is the Grant Start Date? This is the point at which automatic granting, expiration, and usage recording begins.
      For example, if flex was adopted in 2024 and you want annual leave records from 2024 onward to appear in the product, set it to January 1, 2024. If the company was founded in 2019 and you plan to migrate all leave usage history from the time of establishment, you can set it to the founding date.

  • We recommend setting new hire monthly leave to grant 1 day per month of full attendance.

    • Grant 1 day per month of full attendance: 1 day of monthly leave is granted per month of full attendance, for a total of 11 days.

    • Pre-grant 11 days on start date: 11 days of monthly leave are pre-granted on the start date.

    • Pre-grant monthly leave up to the accounting date on start date: A total of 11 days of monthly leave can be granted in two portions based on the accounting date. Example: Start date October 5, 2022: Total of 11 days granted as 2 days on October 5, 2022 and 9 days on January 1, 2023

  • We recommend setting the annual leave for completing 1 full year to grant leave proportional to the period worked.

    • Grant 15 days on the first accounting date: All annual leave is granted on the accounting date each year, including for mid-year hires.

    • Grant annual leave proportional to the period worked at the first accounting date: The result of proportional leave calculation is often a complex decimal amount. You can round the decimal to whole days or half-days for a cleaner number.

    • Proportional leave calculation formula: 15 days × (number of days employed in the previous year / 365)

    • When the result is a decimal, it is rounded down at the third decimal place. However, you can configure where to round up fractional leave in the leave grant method settings using [Fractional Leave].
      Fractional leave cannot be arbitrarily deducted; unused amounts must be paid as an allowance.

Start Date Grant Policy Settings

  • Click the [Start Date] tab, then set the [Grant Start Date] in the upper right.

    • What is the Grant Start Date? This is the point at which automatic granting, expiration, and usage recording begins. For example, if flex was adopted in 2024 and you want annual leave records from 2024 onward to appear in the product, set it to January 1, 2024. If the company was founded in 2019 and you plan to migrate all leave usage history from the time of establishment, you can set it to the founding date.

  • We recommend setting new hire monthly leave to grant 1 day per month of full attendance.

    • Grant 1 day per month of full attendance: 1 day of monthly leave is granted per month of full attendance, for a total of 11 days.

    • Pre-grant 11 days on start date: 11 days of monthly leave are pre-granted on the start date.

  • We recommend setting the annual leave for completing 1 full year to grant 15 days upon completing 1 full year.

    • Grant 15 days upon completing 1 full year: 15 days are granted when the member completes 1 full year of employment

    • Pre-grant 15 days on start date: 15 days are pre-granted from the member's start date

Once grant settings are complete, you can use the [Annual Leave Auto-Grant Preview] feature to check how annual leave will be granted. You can also change the reference start date for testing in the preview.

Annual Leave Policy Additional Grant Settings

  • If your company grants additional leave to members beyond the statutory requirement under internal company rules, you can add more leave via See More Settings -> [Add Annual Leave].

When annual leave is granted based on an accounting date, per Article 60, Paragraph 4 of the Labor Standards Act, an internal standard for employees with 3 or more years of service is required. When leave is granted based on the accounting date, the flex system grants +1 additional day starting from the 4th accounting date.

For example, a mid-year hire in November 2021 has 2022 as their 1st accounting year, 2023 as their 2nd, and 2024 as their 3rd.

→ When January 1, 2024 arrives, they have only been employed for 2 years and 2 months — not a full 3 years.

Therefore, if +1 additional leave were to be configured starting from the '3rd accounting date', some members would receive more than required under the Labor Standards Act. To prevent this, the system is configured so that +1 additional leave accrues starting from the '4th accounting date', which is when 3 full years of service have been exceeded.

If you wish to grant the additional leave starting from the 3rd accounting date, please configure this in the Additional Grant Settings.

Annual Leave Expiration Policy Settings

  • Annual leave (1-year full-service leave) and monthly leave (start-date monthly leave) can each have separate expiration and grace period settings.

    • Monthly leave automatic expiration timing

      • 1 year after start date: Remaining monthly leave expires 1 year after the member's start date (1st work anniversary), in accordance with the statutory expiration date for monthly leave.

      • First accounting date after 1 year from start date: Remaining monthly leave expires on the accounting date that falls after the statutory expiration date (after the 1st work anniversary).

        • For example, if Gil-dong Hong joined on June 7, 2025, their remaining monthly leave would normally expire on June 7, 2026. However, if this policy is applied, the remaining monthly leave will expire on January 1, 2027.

      • No expiration: Remaining monthly leave is not expired.

      • If you want to set a more lenient expiration deadline according to company policy? No grace period

    • Annual leave automatic expiration timing

      • 1 year after grant date: Remaining annual leave expires 1 year after the date it was granted.

      • No expiration: Remaining annual leave is not expired.

      • If you want to set a more lenient expiration deadline according to company policy? You can change the No grace period setting.

If you change the annual leave grace period and expiration policy, all expiration-related records for 'all annual leave' — including past leave generated from the 'Grant Start Date' in the grant settings — will be recalculated.

  • Automatic annual leave promotion is triggered based on the leave expiration period. If set to no expiration, automatic leave promotion will not occur.

  • Leave promotions are automatically sent based on the statutory expiration date. For more details on leave promotion, click the guide on the right! Go to Leave Promotion Guide

Adding Annual Leave Policies

If your company operates different annual leave policies — for example, accounting date-based for regular employees and start-date-based for contract employees — you can add and manage multiple annual leave policies.

  • Click the [Add Annual Leave Policy] button to add a new policy. Each policy can be configured with different settings to match how your company operates.

  • If leave promotion is not conducted for certain departments or members, you can create a configuration with leave promotion turned off and apply it to those members.

    • Note: the detailed settings of Smart Leave Promotion (e.g., approver/reference settings, automatic request timing, reminder settings) are not per-policy — they follow the settings of the default annual leave policy.

Please note: if a member was already granted annual leave under policy A and the policy is changed to policy B, the annual leave will be recalculated as if policy B had been applied from their start date!
(However, data for leave already used or adjusted will not be affected.)

Terminated Employee Annual Leave Adjustment Criteria Settings

  • [Settings] - [Leave Settings] - [Annual Leave Settings] - [Terminated Employee Annual Leave Adjustment Criteria Settings]

  • When adjusting remaining annual leave for terminated employees, you can select the criteria to use for the adjustment.

    • Apply the standard more favorable to the member: Adjustment is made based on whichever is higher — the Labor Standards Act basis or the actual amount granted by the company (based on the company's annual leave policy).

    • Always apply the Labor Standards Act standard: Even when the actual company-granted amount is higher, adjustment is made based on the Labor Standards Act.


FAQ

Our company offers half-day leave or flexible time-off — can this be configured?

In [Settings] → [Leave Settings] → [Annual Leave Policy Settings], you can configure the leave usage unit.

  • Day unit: If half-day leave or time-off is not allowed and leave can only be used in full-day increments, set it to [Day] unit.

  • Half-day: If your company offers half-day leave, set it to [Half-day] unit.

  • Hour: If flexible time-off is available, select [Hour] unit. Configuration down to the minute is also possible.

Example: If your company offers quarter-day leave, set it to 2 hours of flexible time-off

Can members be notified when using advance leave?

If advance leave use is disabled, members will see the following notification when attempting to use advance leave: [You cannot register the selected schedule with your current remaining balance.]

Can annual leave be configured to accrue based on a group start date?

Annual leave is by default calculated based on the member's 'start date'. However, if your company frequently transfers employees between subsidiaries, you can configure a 'Group Company Start Date' setting to establish a different basis for annual leave accrual.

Can I configure it so that registered directors (登記 임원) do not receive annual leave?

Yes, it's possible! Please refer to the guide below for details.

How can I apply a newly added annual leave policy to members?

You can change annual leave policies for members individually from their profile, or change all members at once using the [Bulk Information Change] feature.

Can I select a different annual leave policy when registering members?

When adding one or more members, you can select the annual leave policy and then register and invite them as shown below.

Can different annual leave policies per member be used to prevent leave from being granted to executives, or to prevent leave promotion from being sent?

If the employment type is set to [Registered Director], since they are not required to receive annual leave, the [Annual Leave Policy] can be set to [No Annual Leave].

However, if the employment type is set to [Non-Registered Executive], which is treated as a regular employee, [No Annual Leave] cannot be selected. If due to internal circumstances you also want to withhold annual leave from non-registered executives, you can set the Grant Start Date of the annual leave policy applied to non-registered executives to a distant future date so that no annual leave is granted.

Can members be required to attach supporting documents such as file attachments when registering annual leave?

For annual leave (excluding custom leave), the system does not currently support requiring members to attach supporting documents when registering annual leave. If needed, we recommend using the [Workflow] feature to guide members to submit a separate document.

Can I make the reason field mandatory when registering annual leave, or require members to fill in the reason using a format or template specified by the administrator?

The feature to require members to fill out a specified template when registering annual leave is not implemented. An approval request may be generated when leave is registered, and the leave message is optional, not required.

Our company works on Saturdays by default, but annual leave (leave) cannot be used on Saturdays. What should we do?

If your company works on Saturdays by default, Saturday must be included as a workday in the work type applied to members for them to be able to use annual leave (leave) on that day.

Can I delete an additionally created annual leave policy?

An annual leave policy can only be deleted when no members are currently assigned to it. If no members are assigned, click the three-dot menu to the right of the policy and select delete. However, if the members who were assigned to that policy are now former employees, we recommend keeping the policy as-is. This is because it contains historical information needed to understand which annual leave policy was applied during the member's tenure, how leave was automatically granted, and how many days remained.

If deletion is absolutely necessary, download the remaining annual leave data for the former employees, reassign those former employees to a different policy, then delete the policy.

What is the specific difference between "Apply the standard more favorable to the member" and "Always apply the Labor Standards Act standard" in the terminated employee annual leave adjustment criteria settings?

  • By law, annual leave must be granted based on the member's start date. After 1 year of employment, 15 days of annual leave are generated, and unused days expire after 1 year. In practice, for administrative convenience, many companies grant and expire leave in bulk on a company-defined date (e.g., January 1). In this case, depending on the time of separation, there may be a discrepancy between leave calculated on an accounting date basis and actual leave calculated from the start date.

  • When adjusting annual leave for terminated employees, flex provides two options:

    1. Apply the standard more favorable to the member

      • Both the start date basis (Labor Standards Act) and the accounting date basis are calculated, and the higher result is used as the standard for adjustment.

      • This benefits members, but may slightly increase costs for the company.

    2. Always apply the Labor Standards Act standard

      • Instead of the accounting date basis, only the start date basis defined by law is applied.

      • This option can be selected based on the company's rules of employment or internal policy.

  • If the company's rules of employment state "annual leave is granted based on the accounting date, but upon separation, it shall be recalculated based on the Labor Standards Act (or start date basis)", then you must select Always apply the Labor Standards Act standard in flex settings. Conversely, if the rules of employment do not contain separate provisions, it is acceptable to select Apply the standard more favorable to the member.

Can I configure it so that annual (monthly) leave is not generated for reasons such as absence or sick leave?

In flex, annual leave is automatically granted based on the member's start date and leave grant method, regardless of whether unpaid leave was used or continuous service requirements were met. If annual (monthly) leave is generated for a member who was absent or used unpaid sick leave, please use the Annual Leave Adjustment feature to deduct the granted annual (monthly) leave.

Can I add a description that members can see when registering annual leave?

Yes, you can enter a separate annual leave description in the annual leave policy! It can be entered in the description field below the policy name.

Members will then be able to see the leave information as shown below when registering leave.

When additional annual leave grant settings are configured, will the automatic accrual of additional leave be disabled?

The additional leave accrual that is set up by default in flex is independent of the additional grant settings.

Default additional leave is granted automatically, and if there is separately configured additional leave on top of that,

it is granted additionally.
