Conducting Calibration Sessions (Grade Adjustment)

During a calibration session, you can adjust grades while viewing various HR information about the subjects, as well as review content from past to present.

The grades available for adjustment during grade adjustment are limited to those selected when creating the review!

If grades have been adjusted through a session, you can enter the reason for the grade adjustment and view the grade history.

Adding a Calibration Session

  • In the [Grade Adjustment] tab, you can confirm that the calibration session has been added as shown below.
    Click the session you want to conduct calibration for.

Checking Calibration Subject Information

  • You can easily search for grade adjustment subjects through subject name search, sorting (ascending/descending order), and various filters.

You may want to see different information in the grade adjustment table. In that case, through [View Settings], you can
view only the information you want in the grade adjustment table, or hide information you want to conceal!

  • When conducting a calibration session, it is common to reference reviews from the past 3 years.
    ​Click [View Settings] → [Load Past Review Grades] to import results from past reviews that used grades and compare them while adjusting grades.

  • Conduct the calibration while viewing each member's final grade results from past reviews.

  • Hover over a subject's name and click [Subject Info] to view various information about the subject.

    • You can check HR information such as the subject's organization, job function, title, position, rank, and hire date. You can also see how long the member has stayed at their current position and rank.

    • You can check the detailed content of the current review that the calibration session is being conducted for.

    • You can also check the detailed content of past reviews.

Conducting the Calibration

  • Click [Final Grade] to select the grade to adjust.

    • If you used a grade template called 2024 Review Grade when creating the review, you must use the same grade template for grade adjustment.

  • You can easily identify whether a grade was adjusted downward or upward through color coding.

You can change the final grade by clicking with the mouse, but it can also be easily changed using the keyboard.

  • If you want to check the grade distribution status while adjusting grades, click [Distribution] at the top right to view it.

  • While adjusting grades, you can check whether the grade distribution is appropriate by viewing percentages or headcount.

  • If you did not set the grade distribution ratio when creating the calibration session, you can click [Distribution] → [Distribution Ratio Settings] to set the grade distribution ratio.

  • If you used [Grade Distribution Ratio], you can check the current grade distribution rate for each set ratio in [Distribution].

  • While adjusting grades, you can leave the reason for grade adjustment in [Memo].

Finalizing the Calibration

  • Once grade adjustment is complete, click the [Adjusted Subjects] filter and [Distribution] to verify that the adjustments were made as intended.

  • After reviewing the adjustment details, click [Finalize] at the top right to finalize the calibration session.

    • Once a session is finalized, it cannot be modified, so please make sure to go through the review process!

Reviewing Past Calibrations

  • You can check the status of each session in the [Grade Adjustment] tab.

    • You can see that [Calibration Session] was completed on November 6, 2024 by an administrator named flex2, and 14 out of 29 review subjects had their grades adjusted.

  • Click on a completed session to view more detailed information.

    • You can view only adjusted members, or use the subject search and filter features for detailed and quick lookup.

  • Use the [Distribution] feature to check the grade distribution status of the completed session.


FAQ

Can I change the session name?

  • Click the session name to change it. After changing, click the screen and the new session name will be applied. (Session names can be up to 100 characters)

When adjusting grades via Excel, can I manually add members who were not added as calibration subjects because they don't have an employee number?

Yes! Click [Add Subject] at the top right of the calibration screen to add subjects.

How do I temporarily save a calibration session?

Don't worry. It auto-saves continuously whenever there are changes.

Can I import all past reviews as reference?

Only past reviews that have a final grade can be imported.

Where can I check the memos left during grade adjustment?

Memos left during grade adjustment can be checked after finalization in [Review Management] → [Closed Reviews]!

These memos are not shared with anyone other than administrators with [Review Management] permissions.

Can I delete a calibration session?

Already finalized calibration sessions cannot be deleted. Only in-progress calibration sessions can be deleted.

I accidentally finalized a calibration session. Can I modify the grades again?

Already completed sessions cannot be modified. Please use [Duplicate] on the finalized calibration session to conduct grade adjustment again on the duplicated session.
