New Expense Management Automation Feature Guide

The 'Expense Policy', which was simply used to control spending, is now being revamped into
[Automation Management], which can handle a wider range of tasks.

The Automation Management feature is the first step toward 'task automation' that handles various workflows in your company through customizable Triggers and Rules, such as "Auto-assign handler when a receipt is generated" or "Auto-approve under specific conditions".
Let us introduce the more flexible and sophisticated Automation Management!

A 'Builder' Structure Has Been Introduced to Expense Policies

No more filling in pre-set blanks! A flexible builder structure following 'Trigger → Condition → Action' has been introduced. You can design your company's own expense policy flow as if assembling blocks!

  • Automation Trigger

    • When and for whom does the automation start?

      • By default, it starts when 'a receipt is submitted'.

      • You can set rules to activate only for specific targets (e.g., when the purpose is 'lunch expenses').

  • Automation Conditions

    • What is being checked?

      • This is the stage where receipts that passed the trigger are carefully checked against your company's expense policies.

      • Various conditions can be set, such as whether the amount exceeds 12,000 KRW or whether it was used during a business trip.

  • Automation Actions

    • What happens based on the check results?

    • Specify the actions the system will perform when the set conditions are met.

      • Violation Alert: A warning saying "This is a policy violation" is shown to the employee.

      • Required Information Request: Informs about required fields such as memo or attachments when submitting a receipt, and blocks submission until they are filled in.

      • Form Recommendation: Recommends a form that needs to be filled out after receipt submission.

What Gets Better and What Changes with This Update?

With the new automation builder structure, sophisticated settings that were impossible with the previous expense policy are now possible!

1. Smart Condition Settings That Even Check [Work Policies]

  • Instead of simply looking at receipt amounts and payment times, you can now set expense policy conditions in conjunction with the employee's [Work Policy]. This allows you to more accurately manage spending that doesn't match the situation!

    • For example, if a receipt paid on February 9 has the purpose [Business Trip Expenses], but the work policy registered for February 9 is not [Business Trip], a policy violation notification will be sent.

2. Supports Conditional Execution (Detailed Conditions) for Complex Expense Policies

  • Expense policies may have varied slightly depending on the organization or situation. Through the automation builder, you can group detailed conditions together and configure expense policies more precisely within a single policy.

    • For example, for evening meal expenses, you can set a policy where the Sales team violates at over 30,000 KRW while other departments violate at over 15,000 KRW.
      This way, even for the same purpose of [Evening Meal Expenses], you can consolidate different limit criteria by organization into a single policy for management.

3. Policy Count Limit Per Purpose Removed

  • Previously, only one expense policy could be linked to a [Lunch Expenses] purpose. Now this restriction is removed, and you can create and manage 2 or more automations (expense policies) for the same [Lunch Expenses] purpose.

Update Schedule Notice

With the introduction of the builder structure, existing 'Expense Policy' data will be migrated to the new 'Automation Management' system. Please make sure to check the information below before the update!

1. Menu Location and Permission Name Changes

  • The menu name will change from [Expense Policy] → [Automation Management].

  • Administrators who previously had 'Receipt Management' permission will automatically be granted 'Automation Management' permission.

2. Expense Policy Description Entry Guide

  • After the update to [Automation Management], the previous 'Expense Policy Preview' that was provided to employees in [Expense Policy] will no longer be available. Instead, only the 'Policy Name' and 'Description' will be shown, so we recommend writing the policy violation criteria in detail in the [Description] field so that employees can easily understand the policy.

3. Previous Version Cannot Be Restored and History Notice

  • After the Automation Management update, it will not be possible to revert to the previous version of expense policies.

  • Please note that past change history of existing policies will not be migrated.
