Work Policy Settings

You can configure your company's work policies such as remote work, field work, and business trips.

Required Permissions: Only administrators with the Work Type and Policy Settings permission can configure work types. We

recommend also having the Work Viewing and Work Edit permissions for managing member work schedules.

Work Policy Settings

flex provides four basic work policies by default.

Work Approval · Notification Settings allows you to set up approvals and notifications accordingly, but as you guide members to use work policies, you can set additional approvals and notifications, and customize the registration time limits and frequency for specific work policies to match your company culture.

  • You can add work policies beyond the default ones through [Settings] -> [Work Policy · Approval] -> [Work Policy] category, then [Add] at the top right at the bottom of the left menu.

    • Work policies with the [Required] tag are for standard office work.

    • You can modify and edit the default work policies provided by flex.

  • Please refer to the table below for details on work policy settings.

Available Hours

You can set the time range available for registration when registering a work policy.

  • If your company policy limits remote work to twice a week,
    you can set the remote work policy to only allow 2 days of registration per week.

    • If your company policy limits remote work to twice a week and you also want to restrict remote work policies exceeding 8 hours of daily prescribed working hours, set the available hours to 16 hours per week.

Schedule Sharing on Registration

You can set whether to share to the Home Feed calendar and Google Group calendar.

  • Sharing settings cannot be changed for required work policies.

Off-site Work Registration Restriction

You can set it so that members can only clock in and out using this policy at designated work locations.

  • Disabled: Members can start and end work with this policy anytime, anywhere without being subject to work location (GPS) and IP settings.

  • GPS Only: Members can start and end work with this policy within the designated work location. However, with this option, members can only register work through the mobile app.

  • IP Only: Members must connect through the IP set by the administrator to start and end work.

  • GPS or IP Restriction: Both options above are applied, but work can be started and ended if either condition is met (e.g., IP is not allowed but the member is within the work location via GPS).

Allow Night Work Registration

You can set it to allow recording work with this policy during nighttime hours (10:00 PM ~ 6:00 AM).

Allow Holiday Work Registration

You can set it to allow recording work with this policy on weekly rest days (usually Sundays) or public holidays.

  • Click the icon next to the work policy name to change the color and icon.

  • If needed, you can also set approval for work policies. When a member registers work with a specific work policy, approval requests and notifications will be triggered according to the configured approval line.

  • Additionally, by enabling [Reason Entry Required], you can require members to enter a reason when registering work.

FAQ

Can't I delete the [Required] work policy?

Work policies with the Required tag cannot be deleted.

Work policies also cannot be hidden separately.

Can I change the [Required] tag in the work policy's "Work" to a different policy?

The [Required] tag work policy in work policies represents standard office work.

This is a fixed setting, and changing it to a different work policy is not supported.

Does deleting a work policy affect work records?

Deleting a work policy does not affect work previously recorded with that policy.

However, please note that work recorded with the deleted policy cannot be 'edited'. (Deleting records is still possible.)

Can I set reason entry as required even when only a reference is configured?

Yes, you can!

Can I edit the memo field where members enter reasons to include categories like reason, purpose, etc.?

Editing the format of the memo field is restricted. Please notify members and guide them to leave detailed memos as much as possible!

What happens when an approval involves a mix of policies where reason entry is required and policies where it is not?

If there is even one policy or work approval item that requires reason entry, a reason must be entered to register work.

I'm using the 'Skip Work Confirmation' feature with Secom/Caps integration. Can I still enter a memo?

If there is even one policy or work approval item that requires reason entry, the work confirmation screen will be shown, and members must enter a work reason on that screen to register work. Therefore, before enabling this feature, you need to guide members that certain work types require reason entry, and they should enter the reason in the mobile app after ending work via Secom/Caps.

Is reason entry required even when an administrator registers work on behalf of a member?

When an administrator registers/edits work on behalf of a member, no approval is triggered, so a reason cannot be entered.

How can members enter a reason?

  • When directly registering work in [My Work] on the flex web, the reason must be entered on the screen shown below.
    However, the reason entered by the member is not synced to [Home Feed Calendar] or [Google Calendar].

  • If work is being registered in real-time, the reason must be entered on the screen shown below when ending work.

Where can I check the reason entered by a member?

You can check it by going to the left menu [Attendance Management] → top right [Work Record Management] → downloading daily attendance records. However, the reason entered by the member is not synced to [Home Feed Calendar] or [Google Calendar].

I set up approval for work policies like field work, business trips, and remote work. When does this approval trigger?

When approval is set for work policies like field work, business trips, or other work types, the approval is triggered [when work is registered]. It triggers when a member registers work in Work - My Work.


Alternatively, if a member is registering work through real-time work recording, the approval triggers when the member presses the [End Work] button and the work is finally registered. For example, if Hong Gil-dong working from 9 AM to 6 PM arrived at the office from 9 AM to 2 PM, then switched to a field work policy from 2 PM and ended work at 6 PM, the approval triggers at the point when the End Work button is pressed.


Currently, the approval does not trigger when pressing [Start Work] or when [switching] to a work policy like field work or business trip.

Additionally, if approval and reason entry are set as required for the default work policy but a member registers work through the real-time work recording feature (pressing Start Work and End Work directly), no approval is triggered separately. Approval and required reason entry are only activated when work is entered directly in Work - My Work.

In other words, if approval is set for work policies (field work, business trips, remote work), approval is triggered when a work schedule is registered in advance in Work - My Work (pre-approval), and on the actual work day, another approval (post-approval) may trigger when pressing [End Work] using real-time work recording :)

Why doesn't the reason entry appear when clocking out while using the real-time work registration feature?

When the reason entry field is configured for the default work policy, that work is registered without a separate approval process even when registered in real-time.

In other words, the approval process is triggered when a member registers the default work policy from the 'My Work' screen.

This is designed to prevent excessive and unnecessary approval requests from being sent to approvers when work ends, considering that many members use the default work policy for real-time work recording.

On the other hand, for other work policies such as field work or business trips, if approval is configured, reason entry is available at the end-of-work stage during real-time work registration.
