Work Location (GPS) Settings

With flex's GPS-based work location settings, you can set and restrict work locations to your desired positions!

Restrict work registration outside the work location or set up approval for off-site work registration to manage work records for various work types such as office work, field work, and remote work.

Work Location Settings

  • Click [Settings] → [Work Location] at the bottom of the left menu, then click [Add Work Location] in the upper right to add a work location.

Setting Work Locations for All Members

When adding a work location with the target set to [All], you can add a work location that applies to all members of your company.

When GPS (work location) is set, members can only start and end work through the mobile app.

  • After clicking [Add Work Location], select [All] as the target, then enter the work location name and address.

    • Radius setting: You can designate the desired radius as the work location. The minimum configurable radius is 100m. For areas with dense high-rise buildings, we recommend setting the GPS radius to at least 1km.

      • The radius can be selected from the list or entered directly.

      • Detailed address: This is not reflected in actual GPS permission decisions, but can be used for management purposes to note the detailed location of the work site.

Setting Work Locations by Organization

When adding a work location with the target set to [By Organization], you can add a work location that applies only to members belonging to a specific organization.

When GPS (work location) is set, members can only start and end work through the mobile app.

  • After clicking [Add Work Location], select [By Organization] as the target, then select the organization to apply the GPS work location to.

    • As shown in the example image below, if you select an organization called [Jamsil Branch], members belonging to the Jamsil Branch can only start and end work at the work location (GPS) set by the admin.

    • Radius setting: You can designate the desired radius as the work location. The minimum configurable radius is 100m. For areas with dense high-rise buildings, we recommend setting the GPS radius to at least 1km.

Off-Site Work Registration Restriction Settings

  • After setting work locations, you must configure off-site work registration restrictions in the work policy.

  • You can restrict work record entry from locations outside the allowed work locations (GPS) / IP for each work policy such as field work and default work.

Pre-registered work will automatically transition regardless of restriction settings.

For example, if you pre-register a recurring schedule of field work → office work (GPS restricted), the transition from field work to office work will occur automatically without GPS restriction.

  • Off-site work registration restrictions

    • GPS only: Work registration is only possible via mobile app

    • IP only: Work registration is possible via mobile app or web

    • GPS or IP: Work registration is possible via mobile app or web when either condition is met

  • If a member tries to start work at a location other than the designated work location, registration will be restricted as shown in the image below.

Approval/CC Settings for Off-Site Work Registration

To prevent situations where members forget to end work and leave without clocking out, you can set up off-site work registration approval. This setting enables efficient work tracking and attendance management for both admins and members.

  • Click [Work Policy & Approval] -> [Off-Site Work Registration], then select an approver or CC recipient. Setting approval/CC allows work end and changes even outside GPS or IP restricted work locations.

    • However, off-site work registration approval only applies to 'clocking out'. 'Clocking in' (starting work) must be done within the work location.

  • When a member clocks out outside the work location, the approver or CC recipient receives a notification showing how many km away from the work location it was.

    • Distances of 1km or more show the exact distance, and distances under 1km display as [Work was changed/ended at a location less than 1km away].


FAQ

Is there a maximum radius distance when setting GPS radius?

It is unlimited, starting from a minimum radius of 100m.

Can I see the exact location where members clocked in/out?

The GPS feature only uses the IN/OUT result of whether a member has entered the set work location to allow and restrict work recording within the work location. Also, flex does not store members' location information, which is sensitive data.

Is GPS-based clock-in/out possible on the web?

No. When restricted to GPS only, work registration is only possible through the mobile app.

Is the detailed address mandatory when setting a work location?

The detailed address does not significantly affect GPS location detection. Please use it for distinguishing purposes during management.

When multiple work locations are registered, which location is used as the reference for calculating distance when registering off-site?

The distance is calculated based on the nearest registered work location.

After setting off-site work registration approval, I registered/edited a member's work on their behalf as an admin, but no approval was triggered.

That's correct! When a user with super admin privileges registers work or leave on behalf of a member, the configured approval does not activate and the registration goes through directly, so no approval is triggered in this case.

Can the GPS (work location) feature be applied to specific members only?

When adding GPS (work location), you can choose whether to apply it to all members or only to members belonging to a specific organization. As shown in the example image below, if you select an organization called [Jamsil Branch], members belonging to the Jamsil Branch can only start and end work at the work location (GPS) set by the admin.

However, applying a specific work location to only 'specific members' rather than organizations is not supported, but there is a workaround. When you set a work location, you can configure whether each work policy is subject to GPS restrictions in Settings -> Work Policy & Approval -> Work Policy. If only specific departments or members will use the GPS-only restriction feature, you need to create a work policy and configure settings like the example below separately for that work policy. However, please note that work policies are visible to all members when created.

I added GPS (work location), but it seems like members cannot detect the GPS (work location) when starting work.

  • If members seem unable to load the GPS (work location) added by the admin when starting work, go to Settings at the bottom of the left menu - Work Policy / Approval - Work Policy, and check if the off-site work registration restriction is enabled with the GPS-only restriction option. Also, the GPS feature only allows starting work through the mobile app :) This is because GPS constantly receives the connecting device and location in real-time to determine whether the device is within the GPS access range!

    Therefore, starting/ending work is only possible through the [app], not the web.
