This guide explains how employees who have received a request to submit an annual leave usage plan can write the plan document on PC and mobile.
Writing an Annual Leave Encouragement Document on Web
During the annual or monthly leave encouragement period, employees will receive a notification to submit their plan document via email, home feed to-do items, and new notifications.
You can view the plan document request by clicking the [Leave] -> [Annual Leave Usage Plan] tab in the left menu.
Click on "Write Leave Encouragement Plan Document" from the notification, to-do list, or the [Annual Leave Usage Plan tab], then check the encouraged quantity. Specify your desired usage dates and click [Send] to submit the plan.
Since desired annual leave usage dates cannot be planned in half-day units, if 5.7 days have been encouraged, you must specify 6 days as the desired usage dates when submitting.
The desired usage date does not need to match the actual date the annual leave is taken. However, if you log into flex on the desired usage date, you will encounter a refusal to receive labor services popup.
I've already used up all my annual (monthly) leave, but a leave encouragement was initiated!
For annual leave encouragement, having [documentation that the encouragement was carried out] is what matters. Since a document is needed to indicate that there was no leave balance subject to encouragement at the time of encouragement, the plan document is sent for documentation purposes even when there is actually no leave to encourage. Employees should review the plan document they received and click [Send] to submit it.
You can view the leave encouragement plan documents you have submitted in the [Leave] → [Annual Leave Usage Plan] tab.
If approval is configured, after submitting the leave encouragement plan document, it may be displayed as [Approval in Progress].
Once approved, the status changes to [Approval Completed], and the submitted annual leave usage plan is confirmed as-is.
If the approver rejects the plan document, you will receive a rejection notification via new notification and email.
Click [View Document] in the [Leave] → [Annual Leave Usage Plan] tab
Click [Rewrite] at the bottom, then rewrite the plan document within the deadline (by the 10th) and request approval.
If you log into flex on the desired usage date, the following popup will appear on PC and via email. If the desired usage date differs from the actual usage date, click [Yes, I confirm] to agree to the refusal to receive labor services.
Writing a Mobile Annual Leave Encouragement Document
After checking your remaining annual leave balance, click the [Select] button on the right, choose your desired usage dates, and click [Apply] to submit the plan.
If the document is rejected, you can rewrite the plan and request approval again within the deadline.
In the flex app, go to [More] → [Leave], click the plan document icon to view your submitted plan documents.
If you access the flex app on the desired usage date, you will see a refusal to receive labor services notification. If the desired usage date differs from the actual usage date, click [Yes, I confirm] to agree to the refusal to receive labor services.

No. Once the approver has approved it, it cannot be cancelled.
If changes are needed, please manually initiate the leave encouragement process within the encouragement period, then rewrite the annual leave usage plan and obtain approval again.

Leave is not automatically registered. Registering your desired usage dates via the document is separate from actually registering the leave — you must register the leave manually.

The annual and monthly leave encouragement supported in the product encourages the quantity that can be encouraged in accordance with the legal expiration date.
In particular, if the employee is a mid-year hire, they may have more leave remaining than the encouraged amount, because the quantity eligible for encouragement is determined separately according to each applicable standard.
Monthly leave 1st encouragement: Of the 11 mid-year hire leave days accrued up to the one-year anniversary, 9 are subject to encouragement.
Monthly leave 2nd encouragement: Of the 11 mid-year hire leave days, the remaining 2 days not covered in the 1st encouragement are subject to encouragement.
Annual leave encouragement: The annual leave accrued upon completion of one year of service, based on the company's standard (hire date, fiscal year, etc.), is subject to encouragement.
