If a resigned employee has unused annual leave remaining, the leave must either be used up or paid out as unused annual leave allowance. We will explain step by step how to check this when paying unused annual leave allowance.
Check from Member Profile (Web)
Once the resignation date is registered, you can check the remaining balance as of the resignation date. After processing the member's resignation,
Click search at the top of the left menu, [Search member name] → [Open Profile] → [Annual Leave Balance] click
On the [Leave Overview] page, you can check the member's remaining annual leave days as of the resignation date.
On the [Annual Leave Details] page, you can check the member's monthly usage history and monthly remaining days.
Check Leave History Report (Excel)
How many annual leave days are remaining as of the end of March 2024? How many annual leave days expired based on the January 1, 2024 fiscal year? If you are curious about a member's remaining balance at a specific point in time, download the leave history.
[Attendance Management] → [Leave Management] → [Download icon on the right] click → [Leave History] click
Select the leave type and then select the search period! The search period can be set to a maximum of 1 year.
e.g.) If the resigned employee left on December 5th, set the search period from the annual leave grant date to the resignation dateTo also check the monthly remaining count, select Include monthly totals for the aggregation range!
When downloaded with monthly totals included, for a member who received annual leave based on the January 1, 2024 fiscal year, you can check as follows.
January 2024: 17 days of annual leave granted, 1 day of annual leave expired → Remaining days: 16
February 2024: 2 days of annual leave used, 0.1 day of annual leave adjusted → Remaining days: 13.9

Sample Company's Annual Leave Policy
Monthly leave is generated at 1 per month aligned with the hire date.
Annual leave is granted based on the fiscal year (January 1) by default.
However, for contract employees, annual leave is granted based on the hire date. (e.g., Kim Resigned 4)
[Resigned Employee Annual Leave Adjustment Standard Settings] is configured to apply the standard more favorable to the member.
According to the sample company policy above, Kim Resigned 1 was granted a total of 57.78 days of leave based on the company policy (fiscal year basis) from the hire date until before resignation. However, if granted based on the Labor Standards Act (hire date basis), 57 days of annual leave would have been granted.
Based on the resigned employee annual leave adjustment standard settings, since the company policy standard (fiscal year basis) is more favorable for Kim Resigned 1, the quantity received under the company policy standard is displayed in the grant total column.
Q: Our company grants annual leave based on the fiscal year during employment, but re-settles based on the hire date upon resignation. Can we always align the settlement standard with the Labor Standards Act in this case?

In the [Deduction] column on the right, you can check the quantities that the member has used, had promoted, and previously adjusted (deducted) in flex.
Click the list icon on the right to view detailed leave usage and deduction history.
When adjusting resigned employee remaining annual leave, the remaining quantity is automatically calculated by subtracting the deduction total from the grant total. Also, the [Adjustment] column automatically reflects the remaining quantity as the adjustment amount to bring the final number to 0.
The value entered in the adjustment column represents the number of unused annual leave allowance days reflected in payroll settlement.

[Payroll Settlement] → [Settlement Template List] → [Add Settlement Template or click existing template] → [Click Payment Items] Enable the active and resigned employee annual leave allowance toggle.

You can choose whether to apply the resigned employee annual leave adjustment standard always in favor of the member or based on the Labor Standards Act. If your employment rules state that your company re-settles unused annual leave allowance based on the 'hire date' upon resignation, please select the [Always Apply Labor Standards Act Standard] option and save.
