How Are Prescribed Working Hours Calculated for Mid-Term Hires, Departures, and Employees on Leave?

flex automatically calculates prescribed working hours based on pro-rated hours according to the employee's hire date, resignation date, and leave of absence period. This guide explains the prescribed working hours calculation formula by work type based on the employee's hire date.

Prescribed Working Hours Calculation for New Hires

  • Prescribed working hours are calculated per work cycle based on the employee's hire date.

  • For new hires under fixed, staggered, or shift work types: Prescribed working hours = 40 hours × number of working days from hire date / 7 days

  • For example, if an employee was hired on Wednesday, May 22, 2024, the prescribed working hours are calculated as follows:

    • 24 hours = 40 hours × 3 days / 7 days

Prescribed Working Hours Calculation for Departing Employees

  • Once a resignation date is registered, prescribed working hours are calculated per work cycle based on the resignation date.

  • For departing employees under fixed, staggered, or shift work types: Prescribed working hours = 40 hours × number of working days up to resignation date / 7 days

  • For an employee whose last working day is Wednesday, May 22, 2024, the prescribed working hours are calculated as follows:

    • 24 hours = 40 hours × 3 days / 7 days

Prescribed Working Hours Calculation for Employees on Leave

  • Once a leave of absence period is registered, prescribed working hours are calculated per work cycle based on the leave start and end dates.

  • For employees on leave under fixed, staggered, or shift work types: Prescribed working hours = 40 hours × number of working days based on leave dates / 7 days

  • For an employee whose last day of leave is Wednesday, May 22, 2024, the prescribed working hours are calculated as follows:

    • 16 hours = 40 hours × 2 days / 7 days

Prescribed Working Hours Calculation for Flexible Work Type

  • For the flexible work type, prescribed working hours for mid-term hires, departing employees, and employees on leave are calculated based on the number of settlement period days from the hire, resignation, or leave date.

  • Prescribed working hours for flexible work type = 40 hours × number of settlement period days from hire/resignation/leave date / 7 days

  • For an employee hired on Wednesday, May 22, 2024, the prescribed working hours are calculated as follows:

    • 57.1 hours (57 hours 6 minutes) = 40 hours × 10 days / 7 days
