The Remaining Annual Leave Days Shown in flex Differ from Company Policy During Resigned Employee Settlement. How Should I Adjust and Settle?

If the annual leave days shown in flex differ from your company policy, please check these two things:

1. Check if additional annual leave days granted by company policy are reflected in flex

2. Check if annual leave usage records from before flex adoption are reflected in flex

Checking Annual Leave

  • Check Leave History Report (Excel)

    • In addition to checking resigned employees' remaining annual leave, you can also download the leave history to check employees' remaining balance at any specific point in time.

  • Go to [Attendance Management] -> [Leave Management] -> [Download icon on the right] -> [Leave History]

  • Select the leave type and set the date range! The date range can be queried for up to 1 year.

    e.g.) If an employee resigned on December 5, set the date range from the annual leave grant date to the resignation date

  • To also check the monthly remaining balance, select Include Monthly Totals for the aggregation scope!

    • When downloaded with Include Monthly Totals, for an employee who received annual leave based on the accounting date of January 1, 2024, you can see:

    • January 2024: 17 days granted, 1 day expired -> Remaining: 16 days

    • February 2024: 2 days used, 0.1 day adjusted -> Remaining: 13.9 days

Adjusting Remaining Annual Leave for Resigned Employee Settlement

Required permissions: Administrators who have been granted all [Leave]-related permissions, or [Leave View] + [Leave Edit] + [Annual Leave Policy and Promotion Management] + [Custom Leave Management] permissions can use the remaining annual leave adjustment feature for current and resigned employees.

  • Once the resignation date is set, go to Attendance Management -> Leave Management -> Leave Balance -> click the Annual Leave Adjustment button on the right -> select Remaining Annual Leave Adjustment for Resigned Employees.

  • When selecting the target in the resigned employee leave adjustment, set the resignation date and click Start Adjustment.

  • In the [Deductions] column, you can check the employee's used, promoted, and previously adjusted (deducted) amounts in flex.

  • Click the list icon on the right to view detailed leave usage and deduction history.

  • Check the remaining annual leave to be settled for the resigned employee in the [Remaining] column on the right.

    • During resigned employee leave adjustment, the remaining amount is automatically calculated as grant total minus deduction total.

  • The [Adjustment] column reflects the remaining amount as the adjustment quantity to bring the final number to 0.

    • If you need to modify the adjustment amount, enter the new amount and provide a reason.

  • The value entered in the adjustment column represents the number of unused annual leave days reflected in payroll settlement.

  • After completing the adjustment, click [Adjust] at the top right to immediately view the results or download the adjusted records as Excel.
