(What is remaining annual leave adjustment for current and departed employees?)
Required permissions: Admins who have been granted all permissions related to [Leave], or who have been granted [Leave Inquiry] + [Leave Edit] + [Annual Leave Policy and Promotion Management] + [Custom Leave Management] permissions can use the remaining annual leave adjustment feature for current and departed employees.
Setting Adjustment Targets for Current Employee Remaining Annual Leave
From the left menu, click [Attendance Management] -> [Leave Management], then click [Annual Leave Adjustment] in the upper right, and click [Remaining Annual Leave Adjustment for Current Employee Settlement].
The [Settlement Attribution Month] you set determines which month's payroll the adjustment will be reflected in.
When using flex payroll settlement, if you select the same attribution month as the current employee remaining annual leave adjustment settlement attribution month to proceed with settlement, the current employee remaining annual leave details will be automatically imported for settlement.
For example, if you set the settlement attribution month for the current employee remaining annual leave adjustment to January 2025, the adjustment details will be automatically reflected when processing payroll settlement for January 2025 attribution month.
If you are not using flex payroll settlement, please select the attribution month for paying the unused annual leave allowance for current employees.
[Usage Deadline] refers to the last date on which annual leave can no longer be used. Annual leave that expires as of the set [Usage Deadline] will be included in the settlement targets.
The [Usage Deadline] can be selected independently from the [Settlement Attribution Month], and only annual leave that has expired (or is scheduled to expire) within the selected period will be reflected in the settlement.
Based on the settlement attribution month and usage deadline settings, you can load all eligible employees for settlement or load them by organization. After setting all targets, enter the adjustment reason and click [Start Adjustment] at the bottom.
Example of Current Employee Remaining Annual Leave Adjustment Targets
An HR manager at a fictional company wants to settle unused annual leave allowances for each employee in 2024 during the January 2025 payroll settlement. To load the adjustment targets for current employee remaining annual leave, the settlement attribution month is set to January 2025, and the usage deadline is set to the month prior to the settlement attribution month (December 1, 2024 ~ December 31, 2024). In this case,
👉 Employees whose annual leave usage period expires (or is scheduled to expire) within the end of December 2024 (the usage deadline) are the remaining annual leave adjustment targets.
For example, the following types of annual leave apply:
Monthly Leave (based on hire date)
Monthly leave received over 1 year by employees hired in December 2023
Monthly leave is granted based on each employee's hire date and must be used within 1 year of the initial grant date. Therefore, employees hired in December 2023 whose usage period expires within December 2024 are the targets.
Annual Leave (granted based on hire date)
Annual leave granted based on hire date to employees hired in December 2023
Annual leave granted based on hire date expires 1 year after the grant date. Therefore, employees hired in December 2023 whose usage period expires within December 2024 are the targets.
Annual Leave (granted based on fiscal year)
Annual leave granted on January 1, 2024
If the fiscal year start is January 1, the leave expires on December 31, the last day of the year it was granted. Therefore, employees who received annual leave on January 1, 2024 are the targets.

If there is remaining (unused) annual leave, the adjustment quantity will be automatically entered so that the remaining balance becomes 0. You can also manually modify or enter the adjustment quantity if desired.
Enter any deduction amounts not registered in flex and check the expected allowance payout amount. If for any reason there are used, promoted, or settled records not registered in flex, simply enter the quantity at the time of settlement and leave a reason.

If the company's annual leave expiration policy is to expire after 1 year but a specific employee needs to carry over leave, please adjust separately using the [Adjustment] feature.
