Card Management

Updated today

Managing cards across multiple card issuers made it time-consuming to check and update card information one by one. Now you can view the full list of linked cards at a glance in the financial institution integration management page, and easily manage your cards. Set up card aliases and assign persons in charge to simplify receipt submission!

Managing Cards

  • Click [Expense Management] in the bottom of the left menu, then click [Card Management] under [Settings] in the top right.

  • You can view the list of cards by card issuer that were linked in the financial institution integration management.

    • Cards that are currently unavailable, such as unregistered, lost, or cancelled cards, are displayed as inactive.

    • Active cards are displayed in green, and cards that are currently unavailable such as unregistered, lost, or cancelled cards are displayed in gray.

      • However, cards whose status cannot be confirmed will not display status information.

  • Click on a card to enter [Card Details], where you can set the card alias and person in charge for each card.
    ​The card list and information are automatically updated every hour.

    • Card alias: Set it freely according to its purpose to make it easy to distinguish cards.

    • Person in charge: Once a person in charge is assigned to a card, they can view transaction history generated after being designated as the person in charge.

Managing Duplicate Cards

Because flex collects data via scraping, the full card number cannot be known.

If an additional card is issued and a card with the same masked card number (e.g., 5105---1234) as an existing card is generated, it becomes difficult to distinguish between cards, causing issues where transaction history cannot be retrieved.

In this case, you can enter the full card number through [Duplicate Card Management] to view and manage transaction history normally!

  • Click the [Duplicate Card Notice Banner] or [Duplicate Card Management] in the top right.

  • After checking the cardholder name, issue date, and expiration date of the duplicate card, enter the full card number.

    • The full card number can be found by checking the physical card or downloading the card list Excel file from the card issuer's website.

  • Once the full card number of the duplicate card is successfully confirmed, you can view the card number as a tooltip in the card list and card details.

The triangle (🔺) indicator on the left side of the card list appears when a card is a duplicate card or when the card's person in charge is no longer valid (e.g., resigned, on leave, deleted employee, deleted organization, or organization with no members).

  • Once the full card number is successfully entered, the system will automatically backfill data from the point when transaction history could not be collected. Afterwards, transaction history can be viewed normally.

    • However, the maximum data correction period is limited to the previous 2 months (from the 1st of the previous month to today), and data correction is possible for up to 3 months.


FAQ

What does it mean that the maximum data correction period is limited to the previous 2 months (from the 1st of the previous month to today)?

  • If the duplicate card issue started on July 1, transaction history from that date onwards may be missing or unable to be retrieved.

  • Assume that you continued without entering the full card number, and only today (November 27) properly entered the full card number.

  • In this case, the system needs to collect all missing records from July 1, but due to technical limitations, it will only collect and correct data from the 1st of the previous month (October 1) onwards.

  • This means that data correction is only possible for a maximum of the previous 2 months, and missing records from July onwards cannot be recovered.

A card payment was made once, but it appears as a duplicate in the transaction history.

If you have linked a BC card along with a Hana BC card, both the BC card transaction history and the Hana card transaction history will appear. It is recommended to keep only one card issuer as the main one for viewing and cancel the integration for the other card, so that transaction history will no longer be counted as duplicates.

Why does card history continue to appear even after unlinking the card, and how can it be resolved?

Even if you unlink a card, the previously linked data is not deleted.

The cards and transaction history retrieved through the integration are retained for the purpose of keeping payment records.

In particular, since situations may arise where past details need to be re-checked, maintaining data for historical purposes is set as the default behavior.

As a result, even after unlinking a card, the history and card information remain, and a card deletion feature is not provided.

Can I configure it so that corporate card receipt submission notifications are not sent?

  • The feature to disable corporate card receipt submission notifications is not currently implemented. If you wish to stop receiving expense management-related notifications, employees can disable them directly by going to the mobile app -> More -> App Settings -> Notifications -> Expenses tab, and toggling off the app and email toggles to stop receiving expense management-related notifications.

It seems that card usage notifications are being sent to an organization or employee who was not designated as the card's person in charge.

If card usage notifications are being sent to an organization or employee who was not designated as the card's person in charge, please check the card person in charge change history!

  • Click [Expense Management] in the left menu -> click the gear icon in the top right -> click [Card Management].

  • Click on the card, then click [Change History] in the top right to view the change history of the card's person in charge.
    By comparing the actual payment date with the card person in charge change timeline, you can verify whether the notification was received before or after being designated as the card's person in charge.

I linked my cards, but expired and cancelled cards are also showing up.

If expired or cancelled cards also appear on the card issuer's website, they will be retrieved and integrated as well. It is not possible to separately delete the linked records.
