Processing Employee Resignation and Leave of Absence

When an employee resigns or takes a leave of absence, it can be easily configured within the employee's profile.

In Permission Settings, the member must be granted Employment Information Management Permission + Company Day-Off Settings + Company HR Information Management Permission.

Process Resignation

  • Go to [Members] → [Click the target member] → [Profile] top-right three-dot menu [] → [Process Resignation]. Note that an administrator cannot process their own resignation; another administrator with the appropriate permission must carry it out.

    • Before processing the resignation, please check whether the departing employee is included in the approval lines for attendance, leave, or workflow! If there are any pending approvers, please update the approval lines in advance!

  • When registering a resignation, you can set the resignation date and the flex access end date separately.

    • Resignation Date: Enter the last working day, including any leave days.

    • flex Access End Date: If you want to set a flex access restriction date for the member separately from the resignation date, enter it here. Note that it cannot be set to a date later than the resignation date.

    • Enter the [Resignation Date] and [flex Access End Date], then select the [Employment Insurance Resignation Reason].

    • Optionally enter [Specific Resignation Reason] and [Memo], then click the [Register Resignation] button to complete the resignation registration.

  • If you selected the wrong resignation date or flex access end date, you can correct it by clicking the [>] button on the right of the Scheduled Resignation item at the top of the profile → [Edit].

  • To cancel a resignation, click the three-dot menu [] at the top right of the [Profile] page, then click the [Cancel Resignation] button.

Process Leave of Absence

  • Go to [Members] → [Click the target member] → [Profile] top-right three-dot menu [] → [Process Leave of Absence].

  • Unless the employment contract has ended, it is generally standard to include the leave period in the continuous service period.

  • Enter [Leave Type] → [Leave Period] and choose whether to [Include in Tenure]. You can also enter the [Salary Payment Rate] to configure whether salary is paid during the leave period.

  • If you selected the wrong leave date, you can cancel or edit the leave by clicking the [>] button on the right of the Scheduled Leave item at the top of the profile.

  • To add an additional leave period, click the three-dot menu [] at the top right of the [Profile], then click [Add Leave] to add the leave period.


FAQ

Is flex access unavailable during a leave of absence?

  • Access to flex is restricted during the leave period and becomes available again after the leave period ends. If access is needed during the leave period, go to [Settings][Login Settings] under Billing & Security → [Allow Login for Employees on Leave].

    ※ Employees on leave can log in via both web and app.

How do I download a certificate for a resigned employee?

  • Since access is restricted after the resignation date, please have the administrator issue the employee's career certificate on their behalf and deliver it by email.

How do I handle an employee who was previously resigned and has re-joined?

  • You can re-register and invite them using the same email from before their resignation. Their previous resignation history will also be retained separately!

Is the leave period reflected in payroll settlement?

  • The leave period can be calculated on a pro-rated basis during payroll settlement.

Can an administrator process their own resignation?

An administrator cannot process their own resignation. Another administrator with the resignation permission must carry out the process.

Where can I view an employee's leave history?

An employee's leave history can be found in the [Leave History] section at the bottom of the member's profile.

Only administrators with [Employee Employment Information View and Management Permission] can see an employee's leave history. You can also download leave history in bulk through the member information download feature.

When an employee is processed as resigned, how does it appear to the employee?

If a scheduled resignation employee has been processed with a resignation date of December 31st and a flex access end date of December 31st (scheduled to resign), the employee will see a screen like the image below confirming they are scheduled to resign.


Unlike administrators without employment information view or management permissions, regular members without such permissions cannot view the [Employment Insurance Resignation Reason].

Can multiple employees be resigned in bulk?

Currently, flex does not support bulk resignation processing for multiple members. We apologize for the inconvenience, but please process resignations individually from each member's profile screen.

When an employee's resignation date is registered, can other members see this information?

  • If the resignation date has been registered in advance, only those with 'Employment Information View' permission can see this information; it is not exposed or shared with regular members.
