How Can I Register (Manage) an Employee Who Rejoined After Resignation in flex?

Re-Inviting an Employee

If you invite a resigned employee as new, the advantage is that you can manage pre-resignation history and post-resignation history separately.

  • When an employee is processed as resigned, the resigned employee's email is automatically randomized.

If you want to use the same employee number as before, delete the employee number from the resigned profile and register the previously used employee number on the newly added employee profile.

  • Note: If there is already a payroll settlement history based on the originally registered hire date, please be cautious when using this method. Using this method may cause overlapping settlement histories between old and new records, leading to settlement management issues. Therefore, when using the payroll settlement feature, we recommend assigning a new employee number. Also, please carefully consider this method as it may affect annual leave management.

  • When searching for the employee, they will appear as shown below.

Canceling Employee Resignation

Canceling the existing resignation has the advantage of managing everything under one profile for consistency. However, records during the resignation period cannot be deleted separately, so work during that period will be shown as insufficient, and the annual leave grant period will also be counted.

  • In the resigned employee's profile, click the arrow to the right of the resignation information at the top.

  • Click the [Cancel Resignation] button at the bottom to immediately cancel the employee's resignation.

    • Once resignation is cancelled, the rejoining employee can immediately access flex.

  • Please also update the employee's personnel information according to the new appointment.

  • We recommend recording the resignation and rejoin history in the [Personnel Notes].

  • Personnel Notes cannot be viewed by employees and can only be viewed by administrators with 'Personnel Notes' viewing and management permissions.


FAQ

How should I set the hire date for a rejoining employee?

This may vary by company! If you want to recognize the employee's original hire date, you can enter the original hire date or simply manage the employee's personnel information by canceling the resignation. If you do not recognize the original hire date, please set the rejoin date as the new hire date!

If I invited the employee as new, how can I check the resigned profile?

In the [Employees] menu, you can separately manage the resigned profile and the currently active rejoined profile through the employment status filter.
