Managing Annual Leave Promotion
When an employee accesses flex (same on mobile) on their planned leave usage date, they will see a popup message like the one below. Additionally, an email notification is sent to the employee on the planned usage date.
Is the refusal to accept labor services popup legally effective?
According to an administrative interpretation (Reference No.: Labor Standards Division-351, Date: 2010-03-22), it is considered a lawful refusal to accept labor services if "a 'Notice of Refusal to Accept Labor Services' screen appears when the computer is turned on, allowing the employee to be aware of the employer's refusal to accept labor services."
When an employee accesses flex web or app on their annual leave day, the refusal to accept labor services notification screen appears, and the exact time when the employee clicked [Yes, I Confirm] can be verified through data.
Promotion documents written by employees can be viewed by going to [Attendance Management] → [Leave Management] → [Annual Leave Promotion Tab] → Click [View Document] to check documents written by employees or administrators.
Click [View Document] to see when the employee submitted their plan and who approved it and when.
When the administrator notified through a document, it will show [Administrator Name] has written [Employee Name]'s annual leave usage plan.
Click the download button in the upper right of [Attendance Management] → [Leave Management] → [Annual Leave Promotion Tab] to download annual leave promotion records.
The downloaded Excel file provides detailed information including promotion type, promotion days, and promotion status for each employee within the search period. In the author column, [Employee] means the employee properly submitted their plan document on time, while [Administrator] means the employee missed the submission deadline so the administrator wrote it.

A separate print function is not supported. However, the documents are continuously saved in document format, and you can capture and convert them to images for printing and keeping records.

Yes, you can cancel it.
Go to [Attendance Management] - [Leave Management] - [Annual Leave Promotion] and select the employees you want to cancel the promotion for.
A canceled annual leave promotion cannot be reversed (restored from canceled status), so please verify which employees need cancellation and only proceed when necessary.
If the employee hasn't written their usage plan yet, they will not be able to access the document after cancellation.
If the employee has written their usage plan, they can still view the document after cancellation, but it will be shown with a canceled status.
Please keep this in mind when canceling.

If the administrator manually proceeded with [Annual Leave Usage Plan Request] instead of the automatic system-sent promotion plan document, the usage plan documents may be split into two records. Records are created per request, which is why they are split. If you want to remove one record, please cancel one promotion. When canceling, we recommend canceling the manually sent record.
