Our company operates an ordinary wage system — how can we manage it in flex?

Updating HR Information

This guide covers how to update information for a single employee, but if you want to update wage contract information for multiple employees at once,

please go to [Members] → [HR Information Management] → [Bulk Information Change] tab, click [Change Information] in the top right, and select [Change Contract Information] to update information in bulk! Check out the Bulk Information Change (Web) guide for more details!

  • Click the [Add] or [Change] button on the right of the [Member Profile] → [Wage Contract] tab.

  • Enter the [Contract Start Date], income type, and contract amount (annual salary or monthly salary), then click [Pay Item Settings] in the bottom right.

    • What is the contract start date? It refers to the date on which the employee agreed to receive that annual or monthly salary. Typically, enter the hire date or the date the contract was signed after salary negotiation.

  • If the effective date in [Salary Payment Information] is set to the same date as the wage contract effective date, the system will automatically pull in the annual salary information reflected on that date and automatically calculate the ordinary hourly wage, base pay, etc.

  • Click [Select Item] to add pay items such as meal allowance, vehicle maintenance allowance, etc. to be paid to the employee.
    As pay items are added, the employee's base pay will also be automatically deducted accordingly.

When I click [Select Item], no pay items appear — where do I add them?

Click [Go to Pay Item Settings] at the bottom left to add the pay items used by your company!

  • You can confirm that the wage and contract payment information has been updated as shown in the image below!

The base pay, fixed overtime allowance, ordinary hourly wage, and other amounts seem to differ from our company's policy. Can I change the settings?

Go to [Settings] → [Pay Items] → [Auto Amount Entry] in the left menu to change the rounding up or rounding policy!

Annual salary of 45,000,000 KRW, monthly contractual working hours of 209 hours, with no ordinary wage-inclusive allowances

Rounded to the first decimal place

  • Total calculated hours = 209 hours (monthly contractual working hours)

  • Base hourly wage = (Annual salary / 12) / Total calculated hours = 45,000,000 / 12 / 209 hours

→ 17,943 KRW

  • Paid base pay = 209 hours (monthly contractual working hours) × Base hourly wage − Ordinary wage-inclusive allowances (meal allowance, etc.)

→ 3,350,000 KRW

Managing Overtime Hours

  • In [Settings] → [Work Settings], you can configure approval and reference procedures for each work type and designate approvers. Through approval settings, you can manage employee attendance by requiring approval when overtime, holiday (public holidays and weekly holidays), night shifts, etc. occur. In flex, a work approval request is triggered when an employee finalizes their work record after clocking out via the real-time work recording feature.

Our company provides compensatory leave when overtime occurs.

  • In the [Attendance Management] → [Compensatory Leave Grant] tab on the left, you can search by period and work type to view the overtime hours accrued per employee during the searched period, the type of overtime, and the amount of compensatory leave that can be granted.

Processing Payroll Settlement

flex payroll settlement automatically calculates overtime hours and allowances if the employee's work records are complete without any missing entries!

  • In the [Pay Items] → [Overtime Allowance] tab, you can view the total overtime hours accumulated during the overtime settlement period.

  • This employee worked 19 hours and 30 minutes of overtime during the overtime settlement period, resulting in the amount calculated as shown below.

  • Additionally, this employee worked 2 hours of overtime including both extended and night shift hours during the settlement period, resulting in the amount calculated as shown below.

  • You can confirm that this matches the work data downloaded from [Work] → [Member Work] → [Period Report].

As shown above, based on accurate attendance data, employee overtime allowances are automatically calculated and payroll settlement can be completed!
