Entering Employee Information for Payroll Settlement

Updated today

Information used for payroll settlement must be entered correctly to process payroll settlement easily.

Please fill in and verify everything in order before proceeding with payroll settlement.

All information used for payroll settlement can be quickly updated via web or Excel templates under [Members] → [HR Information Management] → [Bulk Information Update] as shown in the image!

Personal Information Changes

  • The following information must be entered in each member's profile under [Basic Information].

    • Employee number, Resident registration number: Please enter these as they are required.

    • Nationality: Must be entered if the employee is a foreign national.

    • Salary account: Required when generating a transfer list after payroll settlement is complete.

Updating Employment Contract, Wage Contract, and Salary Payment Information

The member's wage and salary payment information must be updated to automatically calculate the ordinary hourly wage, base pay, etc.! For smooth salary payment information, please check the Payment Items Setup Guide!

  • Employment contract information: Enter this if you need to apply the probation period salary payment rate during payroll settlement.

  • Wage contract information: To include someone in the payroll settlement targets, enter employment income as the income type. To pay a fixed overtime allowance, enter the comprehensive contract working hours.

  • Salary payment information: Enter the monthly payment amounts for base pay, meal allowance, etc. If you have not yet set up payment items to assign to members, please check the Payment Items Setup Guide!

  • You can easily enter salary payment information using the auto-fill amount feature.

  • If the base pay, fixed overtime allowance, ordinary hourly wage, etc. seem different from company policy, click below for detailed information!

I want to know the calculation formula for base pay, fixed overtime allowance, and ordinary hourly wage!

  • Go to [Settings] → [Payment Items] → [Auto-fill Amount Feature] from the left menu at the bottom, then you can change the rounding-up and rounding policy!

The calculation formula is as follows.

Annual salary 36,000,000 KRW, monthly prescribed working hours 209 hours, based on no allowances included in ordinary wage

Rounded to the first decimal place

Based on comprehensive wage contract with 10 hours of monthly overtime,

  • Overtime calculation hours for 10 hours of overtime = 10 hours * 1.5 → 15 hours

  • Total calculation hours = 209 hours (monthly prescribed working hours) + 15 hours (overtime calculation hours) → 224 hours

  • Base hourly wage = (Annual salary/12) / Total calculation hours = (36,000,000/12) / 224 hours → 13,393 KRW

  • Fixed overtime allowance = 15 overtime calculation hours * Base hourly wage → 200,893 KRW

  • Paid base pay = 209 hours (monthly prescribed working hours) * Base hourly wage - Allowances included in ordinary wage (meal allowance, etc.)
    → 2,799,107 KRW

Special Notes Information Changes (Income Tax Reduction, Student Loan Repayment Information)

  • You can enter income tax reduction and student loan repayment information under [Special Notes] in the member's profile.

  • For members with special deduction notes such as SME income tax reduction, flat tax rate for foreigners, or student loan repayment, please enter this additionally.

If you want to reflect SME income tax reduction only in year-end tax settlement

Go to [Payroll Settlement - Settlement Template Settings - Deduction Items - Withholding Tax Settings] and select [Do Not Apply] for SME employment income tax reduction during settlement, so the reduction entered in the member's information will not be reflected in the monthly payroll settlement.

Adding Family Information

  • In the member's profile under [Family Information], you can enter information on dependents eligible for basic deduction for withholding tax and child tax credit.

  • Basic deduction targets are reflected in withholding tax (income tax) calculations during payroll settlement, and become personal deduction targets during interim/year-end tax settlement, so please be sure to enter them when needed.

    • If there are child tax credit targets among the basic deduction targets, please enter them additionally.

    • Child tax credits are only available for children aged 8 to 20.


FAQ

What permissions are required to change member information?

  • Member Employment Information Management: Permission to add and edit work information, parental leave reduction, flat tax rate for foreigners, student loan repayment, income tax reduction information (SME income tax reduction), etc.

  • Member Basic Personal Information Management: Permission to add and edit name, resident registration number, nationality, salary account, persons with disabilities/national merit, family information, etc.

  • Member Contract Information Management: View and edit employment and wage contracts.

  • Member Payment Information Management: Permission to add and edit profile - salary payment information.

  • Work Type and Policy Settings: Permission to add and edit work types (work arrangements) and work settings (work policies).

For security reasons, I don't want to enter the resident registration number in the profile.

The member's resident registration number serves as a key value when reflecting deduction item amounts, so not registering it may cause difficulties in payroll settlement. We recommend entering it for use.

Is the salary payment information exposed to members?

Salary payment information is only visible to admins who have the [Member Payment Information Inquiry, Member Payment Information Management] permissions.

Even the member themselves cannot view it, and members can only check the settled details later through their payslip.

How can I update items in the profile that are not included in the salary contract but should be reflected in the salary?

If there are items paid regularly outside of the annual salary, you can add them as items outside the annual salary after adding the payment items in Payment Items settings as in the example below.
