How to exclude family members from deductible dependents when calculating income tax

flex payroll settlement is processed based on member information.

If you want to exclude family members from deductible dependents when calculating income tax, please turn OFF the [Basic Deduction Setting] configured for each family member under the member's [Profile] - [Family Information].

How to apply the SME income tax reduction

The SME income tax reduction can be applied in two ways: reflected in the monthly salary, or applied all at once during year-end tax settlement.

  1. To reflect it in the monthly salary, go to the member's [Profile] - [Special Notes] - [Edit] on the right - select a % under Income Tax Reduction - select the applicable period, then proceed with payroll settlement.

  2. To apply it all at once during year-end tax settlement, go to Payroll Settlement - Settlement Template - Deduction Items - Withholding Tax - Set "Apply SME Status During Settlement" to "Not Applied".

How is payroll settled for mid-term hires or departures?

By default in flex, when processing payroll for the month that includes a member's hire date or last working date, the base salary and fixed payment allowances are prorated based on the hire/departure date using the following formula.

{(Annual salary / 12) / (Days in month)} * (Days worked) = Amount

If this formula does not match your company's policy, you can manually enter separately calculated amounts during payroll settlement.

Please also check [Settings] - [Payment Settings] - [View More Settings], as payment amounts may be paid in full or not at all depending on the payment policy for each payment item.

I want to modify the overtime premium rate. How do I do that?

You can configure this under [Settings] - [Payment Items] - [Overtime Pay] in the variable payment items section.

Note that it can only be set above the legal minimum rate. Also, please be aware that the configured premium rate also applies to compensatory leave granted in exchange for overtime, so keep this in mind when making changes.

The contract has been changed from an all-inclusive wage system to a standard wage system. How do I reflect this in payroll?

Please update [Profile] - [Wage Contract Information] and [Salary Payment Information] for the member, then proceed with payroll settlement.

Set the contract start date in the wage contract information and the effective date in the salary payment information to the date on which the change from the all-inclusive wage system to the standard wage system takes effect.

A member is not showing up in the settlement target list. How do I include them as a settlement target?

flex payroll settlement is processed based on member information.

Please check the member's [Profile] to ensure all information has been entered.

  • Verify that the employee ID, resident registration number, employment contract information, wage contract information, and salary payment information are all filled in.

    • Employment contract information: Note that dispatched workers, daily workers, and freelancers are classified under business income or other income and will not appear here.

  • You must also verify that the attribution month and the target lookup period are correctly set when starting the settlement.

  • On the [Targets] step, clicking the [Can't see the target?] button in the upper right will show you members with missing information.

    • After updating the missing information, click the [Refresh] button in the upper right to load the settlement targets.

Payroll Settlement FAQ

Can I add payment items while settlement is in progress?

Yes, you can.

In the payment step, click the [ + ] next to the payment items on the right side to add payment items to be included in the current payroll settlement.

I want to reflect gift voucher payments and holiday bonuses on the pay stub

To reflect them on the pay stub, you can follow the method below.

Please note that this setting may generate income tax on the gift voucher payment and holiday bonus.

  1. First, add a payment item. Set the taxation type to [Other Allowance].

  2. Enter the amount for the created payment item.

  3. In the deduction step, add a deduction item with the same name. Set the deduction type to [Other].

  4. Enter the same amount for the created deduction item.

    1. Payment item: Holiday Bonus 100,000 KRW / Deduction item: Holiday Bonus 100,000 KRW — setting it this way offsets the actual amounts against each other, so the net payment amount does not change, while still allowing it to appear on the pay stub.

How is the salary calculated for members who take unpaid leave?

If the leave policy is set to unpaid, it will be automatically reflected in the payroll settlement.

This can be found under [Base Salary Deduction] in the payment step.

Unpaid leave pay is calculated as standard hourly rate * hours of leave taken.

If you need to make adjustments, you can modify the unpaid leave hours and amount via Excel upload.

How is maternity/paternity leave and parental leave pay settled?

What the employer is responsible for paying can be processed through the base salary. If the employer is subrogating government subsidies, you can add a payment item to handle this.

In this case, set the taxation type to tax-exempt parental leave pay (E01) and enter the subrogated amount.

What should I do if I need to make changes after payroll settlement is complete?

There are three ways to make corrections to the amounts. Please choose the method that fits your needs.

  1. Directly edit past settlement records

[Payroll Settlement] - [Past Settlement Records] - Select the settlement record to edit - Edit via "Edit Settlement"

  • This method will change both the past payroll register and the pay stub. It is recommended to download the payroll register and pay stub before making changes.

  1. Run an additional payroll settlement

    Use [Payroll Settlement] - [Start Settlement] to reflect the difference amount and match the total payroll amount for the attribution month.

    • This method will generate an additional payroll register and pay stub for each settlement run.

  2. Transfer payroll data

    Use [Payroll Settlement] - [Data Management] - [Payroll Data Transfer] to download the Excel template and upload the payroll data to match the total payroll amount for the attribution month.

    • Similar to method 2, this adds one settlement to match the amount, but it can be processed via data transfer (Excel upload) without going through the full payroll settlement process.

Can I settle multiple months of payroll at once?

No, payroll settlement must be processed on a monthly basis by default.

If you have payroll data for multiple months and want to upload it all at once into flex, you can use the payroll data transfer feature to upload via an Excel template.

What should I do if there is an overpayment or underpayment due to a payroll settlement error?

After discussing with the member, please either run an additional settlement for the current month, or reflect the adjustment by adding a payment item or deduction item to the next payroll.

How do I reflect unused annual leave allowances?

  1. Check the [Annual Leave Allowance for Current Employees] and [Annual Leave Allowance for Departing Employees] settings under [Settings] -> [Payment Items].

  2. Go to [Payroll Settlement] -> [Settlement Template List] -> [Select the template in use] -> [Basic Settings] and [Payment Items] and configure as shown in the images below.

  3. Once the payroll settlement settings are complete, you can use the remaining annual leave adjustment feature for current and departing employees to first adjust and settle annual leave, and then have it automatically reflected in the payroll settlement.

  4. Go to [Attendance Management] -> [Leave Management] -> [Leave Balance Status] tab, click [Adjust Leave] in the upper right to review remaining annual leave for current and departing employees, and process the necessary deduction adjustments and settlements.

  5. After the adjustment is complete, start the payroll settlement. In the Payment step, you can confirm that the amount is calculated according to the number of annual leave days settled through the adjustment.

How to exclude CEO, executives (registered directors), and foreign nationals from employment insurance

If the employment contract type is CEO, executive (registered director), or foreign national, and employment insurance is set to "Apply Premium Rate", they will be automatically excluded during payroll settlement.

If there are other members who are not enrolled in employment insurance and need to be excluded from the employment insurance deduction,

go to [Payroll Settlement] - [Social Insurance] - [Eligibility Management] - [Enter Eligibility Information] button - download the Excel file, enter the employment insurance loss date for the relevant member, and upload it. This will exclude the employment insurance deduction during payroll settlement.

A member changed from a non-registered director to a registered director mid-month. What should be done about employment insurance?

If a member changes from a non-registered director to a registered director mid-month, please refer to the following methods when processing payroll settlement.

[Employment Insurance - Premium Rate Method]

  • Create an employment insurance item. (Set the deduction type to Employment Insurance Year-End Settlement)

  • Calculate the settlement amount directly, enter it, and reflect it in the payroll.

Caution

  1. If the member later departs, a mid-term employment insurance settlement amount will be calculated, so please enter the employment insurance loss date for the target member in the eligibility management section under the Social Insurance tab to terminate eligibility.

  2. Even if you take the action in step 1, if the member departs during 2025, the total employment insurance premium may be recognized as already paid and refunded. Please always carefully review the social insurance settlement when processing terminating employee settlements.

[Employment Insurance - Monthly Notice Amount Reflection Method]

  • The settled insurance premium from the agency notice is reflected immediately upon Excel file upload.

Caution

  1. If the member later departs, a mid-term employment insurance settlement amount will be calculated, so please enter the employment insurance loss date for the target member in the eligibility management section under the Social Insurance tab to terminate eligibility.

  2. Even if you take the action in step 1, if the member departs during 2025, the total employment insurance premium may be recognized as already paid and refunded. Please always carefully review the social insurance settlement when processing terminating employee settlements.

Can I download payroll registers for multiple months at once? Can I bulk download monthly payroll records?

Yes, you can.

Go to Payroll Settlement - Payroll - Past Settlement Records - use the Payroll Summary Download on the right to download multiple months of payroll settlement data at once. Through this download, you can bulk download the monthly payroll records paid to members.

How do I change the payroll/severance payment date?

You can set the payment date before starting payroll settlement or severance settlement. If you need to change the payment date after settlement has begun, you can do so through the following paths.

  1. Payroll Settlement

    Select the arrow (🔽) next to the name on the left of the settlement screen - Select Settlement Settings - Edit the payment date in Basic Settlement Settings - Save

  2. Severance Settlement

    For severance settlement, the payment date can be edited during the settlement target step while settlement is in progress. Please confirm the payment date setting before starting the settlement.

How do I change the withholding tax rate?

Here is how to adjust the withholding tax rate on the payroll settlement screen.

  1. Go to the payroll settlement screen

  2. Deduction step - Select a member

  3. Under the withholding tax rate item, click the pen icon next to Withholding Method in the member's payroll information on the right to make adjustments

Is there a way to edit both payments and deductions for a single member at once?

Yes, you can.

If you need to edit only one member without unlocking the payment/deduction steps during the payroll settlement process, you can quickly make changes in the [Settlement Review] step.

I completed the settlement but the pay stub is not visible. How do I configure this?

After completing the settlement, you can set the pay stub visibility to private or configure a scheduled release date.

Set it to private or configure a scheduled release date if needed.

Payroll Settlement - Past Settlement Records - Select the completed settlement record - Set Pay Stub Release Schedule

If it is a transferred settlement record,

go to Payroll Settlement - Completed Settlements - Select the settlement record, then configure the pay stub settings!

Where can I view the total annual payroll amount paid to each member?

You can view and download settlement records from the Payroll Settlement - Payroll Settlement Results tab.

Can I transfer salaries directly from flex after completing payroll settlement?

flex payroll settlement supports completing payroll settlement based on members' wage contracts, salary payment information, and attendance records, as well as generating pay stubs and various employment income certificates, and creating filing documents. Please note that direct salary transfer through a financial institution after payroll settlement is not supported.

Mid-Year Settlement FAQ

Is mid-year tax settlement required after paying a departing employee's final salary?

In principle, mid-year tax settlement (mid-year withholding settlement) for mid-year departing employees is stipulated to be processed at the same time as the salary payment for the month of departure.

Departing employees should complete mid-year tax settlement in the month of departure, and then during year-end tax settlement, combine the employment income withholding receipt from the mid-year settlement with income from their current employer to complete the year-end settlement.

If year-end tax settlement was not completed for the relevant year, you may file a comprehensive income tax return the following May.

I need to correct the taxable amount. What should I do?

The total taxable amount for mid-year settlement is the sum of taxable amounts from payroll settlements. If a correction is needed, you must update the amount of the taxable items in the payment step under "Payroll".

It is recommended to correct the amounts of any items that may affect the total taxable amount in the last payroll before mid-year settlement, and then proceed with the mid-year settlement.

The year-end settlement insurance premium is not included in the total insurance premium paid.

Mid-year settlement calculates and settles the insurance premiums for the year in which the employee departed, and the year-end settlement amount is not included.

After mid-year settlement is complete, you can check the insurance premium including the year-end settlement through the withholding receipt.

If the total insurance premiums paid for the year do not match, please check whether the deduction type for the deduction items is set correctly.

I want to modify the insurance premium amount to be settled in mid-year settlement.

  • Insurance premium to be settled: Total insurance premium to be paid - Total insurance premium already paid

If the total insurance premium already paid is correct and you need to adjust the insurance premium to be settled, go to the [Mid-Year Settlement] step - Settlement Results on the left - Edit the Total Insurance Premium to Be Paid to align the insurance premium to be settled.

I modified (added or edited) payroll after mid-year settlement. Do I need to redo the mid-year settlement?

Yes, you need to redo it.

Mid-year settlement is the year-end tax settlement for mid-year departing employees. If the departing employee's payroll has changed, please redo the mid-year settlement with the updated amounts to ensure the withholding receipt is accurate and filings can be processed correctly.

I want to redo the mid-year settlement after making corrections. Is it possible to re-do mid-year settlement?

Yes, it is possible.

Employment Income Certificate FAQ

How to view a member's pay stub

If payroll settlement has been processed through flex, administrators can download members' pay stubs for use.

Download is available from [Payroll Settlement] - [Data Management] - [Certificate Issuance].

Can I issue an Employment Income Withholding Receipt (Class A)?

Yes. If payroll settlement has been completed in flex, members can freely issue an Employment Income Withholding Receipt (Class A) whenever needed.

It can be issued from the member's [Profile] - [Payroll] - [Issue Withholding Receipt] on the right.

Can I bulk download pay stubs for a specified period?

Pay stubs are not provided as a bulk download for multiple members over a period,

but rather by selecting multiple periods for a single member to download all at once.

Download is available from [Payroll Settlement] - [Data Management] - [Certificate Issuance].

Can I download the 2025 Employment Income Withholding Receipt for current employees?

The Employment Income Withholding Receipt can only be downloaded after year-end tax settlement has been completed in flex.

As the 2025 year-end tax settlement period has not yet arrived, downloading is not currently possible.

Since the 2024 year-end tax settlement period has passed, if you completed the 2024 year-end tax settlement through flex, the 2024 Employment Income Withholding Receipt is available for download.
