By creating a [Document Box] to store HR documents first, storage space is added to all employees' profiles, and
you can also request document uploads to that document box when inviting new employees.
[Document Box Settings] permission is required for this configuration.
Document Box Settings
Go to [Settings] at the bottom of the left menu -> click [Document Box Settings] under HR & Contracts, then click the [Add Document Box] button on the right.
Click the [Add Default Documents] button to see document boxes recommended by flex.
Select the documents to add, then click [Add Document Box] at the bottom to add the selected document boxes.
Click on the added document tab to configure settings to allow uploading multiple files to a single document box.
As shown in the example image, if you want to view and manage various qualifications like TOEIC, TOEIC Speaking, computer skills in one document box, add a [Certificates] document box and enable [Allow Multiple File Uploads].
Documents added from the employee document box can be found in the employee's Profile - Documents & Certificates tab.
Employees can upload various supporting files according to the document box settings configured by the administrator.
In addition to the recommended document list provided by flex, you can click [+Add Custom Document] to create a new document box.
Only documents added as custom document boxes can be set as confidential.
When set as a confidential document box, employees cannot see it, and only administrators with document management permissions can view the document box and uploaded documents.
Applying to Invitation Templates
From the documents configured in the document box, select items to request from employees, making them required or optional for upload during flex registration.
Document boxes with the confidential option cannot be selected in invitation templates since only administrators can view them.
