Member Document Box Upload & Download

Document Box Settings allows you to upload and manage members' resumes, graduation certificates, and various qualification certificates to their document box, and also view certificate issuance and issuance history.

Only the member themselves and administrators with [Member Document Management] permission can upload documents to a member's document box.

Uploading and Downloading Documents in the Member Document Box

  • [Settings] Once document box settings are complete from the menu, administrators can download documents uploaded by members or upload documents on behalf of members from each member's profile → [Documents & Certificates] tab.

  • Hovering over the document tab enables [Preview] and [Download] of the file.

  • Click on a document tab showing [No File] in the document box, then upload and save the document on behalf of the member.


FAQ

Is bulk uploading documents to a member's document box not possible?

That's correct, bulk document upload is not available. Please upload documents one at a time, or upload them all at once as a compressed file.

Can I change the order of documents in a member's document box?

Document Box Settings If you change the document tab order in Document Box Settings, the document order in the member's document box will also change accordingly.

Will a notification be sent to the member when a document is uploaded?

Yes, a notification will be sent as new news as shown below.

How can I make documents only viewable by the member themselves and administrators?

  • First, complete the document box setup through Document Box Settings.

  • Once the document box setup is complete, members can upload their own documents from the Documents/Certificates tab in their own profile without any special permission.

    • A member can only access their own document box and cannot access other members' document boxes.

  • Administrators with [Member Document Management] permission can access the document boxes of all members in the company, upload documents on behalf of members, or view & download documents uploaded by members.

What kinds of documents are uploaded to a member's document box?

The member document box is typically used to conveniently manage materials needed for HR operations, such as resumes, graduation certificates, various qualification certificates, and bank account copies.

For supporting documents related to leave, such as military training or sick leave, you can configure document submission settings in Custom Leave, allowing members to submit and manage them when registering for leave — please refer to this feature!
