Downloading Member Employment and Career Certificates

Administrators with the [Member Certificate Issuance Management] permission can download members' employment & career certificates. (Issuing career certificates for resigned employees also requires the [Member Employment Information Management] permission.)

Career certificates for active employees (including those scheduled to resign) can only be issued by administrators.

Since certificates are issued with the company seal, we have restricted issuance of certificates containing unconfirmed information so that they can only be issued under the administrator's approval/responsibility. When a member requests one, please download the career certificate and deliver it to the member.

Downloading Employment & Career Certificates

  • Click the [Documents, Certificates] menu at the bottom of the left menu, then click the [Download] button in the [Members] tab to download employment or career certificates.

  • Alternatively, you can download from Member Profile[Documents, Certificates] tab → Certificate Issuance tab on the left.

  • Click the [Download] button for the employment or career certificate, and you can set the issuance reason, company seal settings, certificate language, etc. before downloading.

    • If the resident registration number is unchecked, the member's resident registration number will not be included on the certificate.

    • When the physical seal option is selected, the certificate will be issued without a seal.

    • In the [Remarks] field, you can freely add detailed descriptions of the member's job duties, position information, or any other content you want to include on the certificate.

  • If the group join date and company join date differ due to a transfer between affiliates after joining the group, you can use the group join date display option to show it alongside the employment period.

  • When issuing a career certificate for an employee scheduled to resign, the end date of the employment period will be shown as the planned resignation date.

  • When the language setting is selected as [English], an English certificate will be issued as shown below.

    • Information such as member name, organization, and company name is not translated into English.
      If needed, please fill in the remarks field in English.

Checking Issuance History and Downloading

  • Click [Issuance History] to check the issuance history of members' employment & career certificates.

  • You can check the issuance date, issuance reason, and download status. In the [Confirmation] column, you can check the approver's information. If an administrator downloaded a member's certificate, you can see the [Administrator] tag in the issuance reason field.

  • Click the [Download] button in the upper right of the certificate to download the certificate issuance history as an Excel file.

  • Select the period you want to search and the type of certificate you need.

    • The search period can be set to the last 3 months, 6 months, 12 months, or custom input.

    • The maximum downloadable period is 12 months (1 year).

  • When you click download, all records of certificates issued to members during the selected period will be downloaded as an Excel file as shown below.

    • The document number column is the document number displayed in the upper left of the certificate when downloaded.


FAQ

I want to edit a downloaded certificate file!

Certificates are automatically encrypted upon download to preserve the original. They cannot be edited separately!

However, when an authorized administrator wants to edit, the administrator can download the member's employment/career certificate and modify it using a separate PDF editor.

Please refer to this when editing is needed.

How do I set up an approval request when a member applies for a certificate?

Click the left [Documents · Certificates] menu → [Members] tab → [Settings] button in the upper right to set up the approval line. For details, please refer to the guide on the right. (Certificate Application Approval Settings)

What is the number in the upper left of the certificate?

We added a document number to the certificate so that certificate issuance history can be managed more strictly.

Can I issue a certificate without entering primary organization and job function information?

Yes, you can. If primary organization and job function information does not need to be on the certificate, you can click [Issue Certificate] on the screen shown below to download the certificate.

However, date of birth information must be entered.

I issued an employment/career certificate but the date of birth shows a year like 1900 that does not match the resident registration number.

Please check the information entered by clicking the member's profile - Change Basic Information - Date of Birth tab :)

Can I not use the employment/career certificate issuance feature if a representative is not set up?

If a representative is not added in [Company Information], employment/career certificates cannot be issued. The representative does not need to sign up for flex — they can be added as a representative even if simply registered. Please register the representative as a member and add them as a representative to use the employment/career certificate issuance feature!

Can I download members' employment/career certificates in bulk?

Currently, the feature to bulk download members' employment/career certificates is not available.

  1. Go to the [Documents, Certificates] menu at the bottom of the left menu.

  2. In the [Members] tab, click the [Download] button to download employment/career certificates one by one for each member.

Are there other certificates besides employment/career certificates, such as resignation or leave of absence certificates?

Currently, the only certificates available through flex are employment and career certificates.

A resignation certificate can be substituted with a career certificate. However, leave of absence certificates are not separately provided. For other certificate forms needed for company operations, such as reinstatement certificates, please note that they must be provided directly.

Can I set the certificate issuance date to a past or future date?

You cannot set the issuance date to a past or future date when issuing a certificate. The date printed on the certificate can only be based on the actual issuance date.

Can I change the company address on the certificate to English?

Yes, go to [Settings] - [Company Information] in the upper left - [Address], enter the English address instead of searching by postal code, then click [Use Current Input Value] to change to an English address, which can then be used on certificates.

As of when is the career information on the certificate based?

Career information on the certificate reflects the member's organization/position/job function names based on the appointment date.

If the current organization/position/job function names have changed and issuance with the new names is needed, you can make the changes by processing a new appointment and then check them on the certificate.

When processing an appointment for reflecting a resigned employee's career certificate, please note that the appointment must be made before the resignation date.

Can I include all previous HR appointment history in the career information?

Career certificates reflect the latest HR information applied to the member at the current point in time and do not include past appointment history. If previous HR information history also needs to be attached, please download the member's profile as a PDF in addition to the career certificate and deliver them together!

I set up approval for employment/career certificates. Can I check who approved?

To check employment/career certificate issuance history and approvers, go to the Documents/Certificates menu on the left - Members tab - click the clock icon on the right side of the member list, then check in the issuance history :)
