Create a [Document Storage] folder first to store HR documents — storage space will be added to every member's profile,
and when inviting new members you can also request document uploads to that storage folder.
You need the [Document Storage Settings] permission to configure this.
Document Storage Settings
In the left menu, click [Settings] → [Document Storage Settings] under HR & Contracts, then click [Add Document Storage] on the right.
Click [Add Default Documents] to see the document storage folders recommended by flex.
Select the documents to add and click [Add Document Storage] at the bottom — the selected folders will be added.
Click an added document tab to allow multiple files to be uploaded to a single storage folder.
As shown in the example image, if you want to view and manage various qualifications such as TOEIC, TOEFL, computer proficiency, etc. all in one storage folder, add a [Certifications] folder and enable [Allow Multiple File Uploads].
Documents added to member storage can be viewed in the member profile under the Documents & Certificates tab.
Members can upload multiple supporting files according to the document storage settings configured by the administrator.
Beyond the recommended document list provided by flex, you can click [+ Add Custom Document] to create a new storage folder yourself.
Only custom-added document folders can be set as confidential documents.
When a document folder is set as confidential, members cannot view that folder — only administrators with document management permission can see the folder and its uploaded files.
Applying to an Invitation Template
Under the [Submission Documents] tab, you can view the document list configured in the document storage.
Among the documents configured in the storage folder, you can select which items to request from the member, making them required or optional during flex registration.
However, document folders set as confidential can only be viewed by administrators, so they cannot be selected in the invitation template.
