Here's how to handle payroll settlement when an employee has used unpaid leave, whether or not you use flex payroll!
How to Check Unpaid Leave and Process Settlement (Without flex Payroll)
To check the hours of unpaid leave used, use Period Work Hours. To check the type and date of leave used on a daily basis, use Daily Attendance Records.
Go to [Attendance Management] → [Work Management] → [Attendance Report] → [Employee Work Records], select [View by Period], set the search period, and download.
In the Period Work Hours Excel file, check Column T - Unpaid Leave (Hours) for the hours used by each employee, then use this for payroll settlement.
Tip: After checking unpaid leave hours in Period Work Hours,
calculate using Hours Used × Ordinary Hourly Wage and apply the amount to payroll settlement.
Go to [Attendance Management] → [Work Management] → [Attendance Record Management], select [Employee Work Records] - [View Daily Details], set the search period, and download.
In the Daily Attendance Records Excel file, check Column M - Leave Used Date, Column R - Leave Type Name, Column AK - Leave Hours Used for payroll settlement.
How to Check Unpaid Leave (Using flex Payroll)
If you use flex payroll, you can easily check unpaid leave hours and settle with automatically calculated amounts.
During payroll settlement, you can check the automatically calculated amount for unpaid leave usage based on Hours Used × Ordinary Hourly Wage under [Payment Items] - [Base Pay Deductions].
