Our Company Uses Annual Leave Promotion. How Do I Set It Up?

If your company uses annual leave promotion, the leave expiration policy must be properly configured. We'll guide you from the expiration policy to the leave promotion setup. With just one configuration, you can experience automated annual leave promotion!

Annual Leave Expiration Settings

  • Go to the bottom of the left menu [Settings] -> [Annual Leave Settings] -> [Annual Leave Policy] Settings -> [Auto Expiration Settings]

  • Annual leave (1-year service annual leave) and monthly leave (hire-date monthly leave) can each have different expiration and grace periods set.

    The default setting is expires after 1 year / no grace period.

    • If your company policy requires a more generous expiration timeline, you can change the no grace period setting.

    • You can set it to 'No expiration' to carry over all granted annual leave, but in this case the Smart Annual Leave Promotion feature cannot be used.

Annual Leave Promotion Settings

  • After enabling [Smart Annual Leave Promotion], click the [Change Request Timing] tab to go to the promotion settings screen.

  • If you want employees to receive [Approval] before submitting their plan document, also set up the approvers and CC recipients. However, if the approver 'rejects' the promotion plan document, the employee must rewrite and get approval within the plan submission deadline, so please guide approvers to process approvals within the deadline!

  • You can set the automatic request timing for 1st and 2nd annual and monthly leave promotion. The default settings follow the Ministry of Employment and Labor guidelines: 6 months before expiration, 3 months before, and 1 month before expiration respectively.

    • The automatic request timing settings cannot be customized beyond the provided options.


FAQ

Can I run the promotion for only monthly leave or only annual leave?

Unfortunately, running promotion for only one type (monthly or annual leave) is not currently supported. However, for [Monthly Leave 1st] and [Monthly Leave 2nd] promotion, you can inform employees in advance that while a plan document will be sent, they are not required to submit it.

Can I exclude specific employees from the promotion?

You can create an additional annual leave policy, turn OFF the Smart Annual Leave Promotion feature for the new policy, and apply that policy only to specific employees. For more details, please click the guide below! Guide: Applying Different Annual Leave Policies Per Employee
