Through the flex mobile app, members can check the evaluation items assigned to them, and if needed, directly select or enter evaluation items (competency and performance items) and submit them.
Checking Evaluation Items
If the administrator has sent an evaluation item confirmation request, you can receive in-app/web notifications and Slack notifications.
Alternatively, you can tap the notification icon in the upper right of the [Today] tab on the mobile app, or click on the evaluation item confirmation request under To-Dos to view the evaluation items designated by the administrator.
Checking and Submitting Evaluation Items
Designating and Submitting Competency Evaluation Items
If the administrator has designated some evaluation items and the member needs to select competency items or performance items, a notification saying [Please fill in the items to be evaluated] will be sent.
You can tap the notification, or tap the notification icon in the upper right of the [Today] tab on the mobile app, check the evaluation item writing request details, and then select and enter evaluation items.
For example, if you need to select optional competencies from common competencies, tap [Select] at the bottom of the [Competency tab] → the member can select the competencies to be evaluated.
If you need to edit the selected competency items, tap the [Edit Items] button at the bottom to reselect the competency items to be evaluated.
Even if you have selected the maximum number of competencies to be evaluated, you can still change or delete selected items. Tap the More (∙∙∙) button to the right of the competency item you want to delete and select [Delete Competency Item] to remove it.
Designating and Submitting Performance Evaluation Items
Tap the [Performance Items] tab at the top of the evaluation item writing request screen and click the [Add] button to add evaluation items.
In the performance name tab, you can enter the performance to be evaluated.
Or tap [Link Goal], select an existing goal to link, and receive a performance evaluation for that goal.
Depending on your company's evaluation policy, performance evaluations may only be conducted for goals imported via [Link Goal]. Be sure to check the instructions announced by your administrator in advance and enter the performance items accurately.
Tap [Link Goal] to search for and select the goal to be evaluated. When a goal is selected and linked, the performance name is automatically filled in with that goal's name.
After checking the added items, tap the [Add Item] button to add more performance evaluation items.
Tap the More (∙∙∙) button on an added performance evaluation item to edit, delete, or unlink the goal from that item.
Tap the edit performance item button to remove the linked goal and link a new goal.
Tap the [Unlink Goal] button to unlink the connected goal. A performance item with an unlinked goal will be treated as if it was entered manually. However, you can tap the More (∙∙∙) button and use **[Edit Performance Item]** to link it to an existing or new goal.
Finally, tap [Enter Weight] at the bottom of the selected evaluation items to enter the weight for each evaluation item.
Tap the pencil icon to the right of the entered weight number to change it.
Submitting and Requesting Approval for Evaluation Items
Once you have completed adding evaluation items and setting weights according to the criteria requested by the administrator, the [Submit] or [Request Approval] button at the bottom of the screen will become active.
If no approval is configured for submission, the evaluation items will be submitted immediately, and you can edit the submitted items at any time before the evaluation item submission deadline set by the administrator.
If approval is configured, the button will change to [Request Approval] instead of Submit, and tapping it will send an approval request to the approver.
Approving Submitted Evaluation Items
Once a member has designated and submitted evaluation items and an approval request has been sent to the approver, the team leader or administrator can review the request on the mobile app and approve or reject it.
Approvers can check pending approval requests in the mobile app under [Today] → [To-Do] tab.
Tap the [Approve] button to immediately complete the approval or send the approval request to the next approver. If you tap [Reject], you can optionally enter a rejection reason. Please note that the approve and reject actions take effect immediately and cannot be undone, so please be careful before proceeding.
Before approving or rejecting, the approver can leave a comment in the [Activity Log] at the bottom of the evaluation item approval request document to communicate directly with the member.
If a rejection reason is entered, it will also appear as a comment in the [Activity Log].
Rewriting Submitted Evaluation Items
Canceling Submission Before the Deadline and Rewriting Evaluation Items
After submitting evaluation items, if you need to make changes, you can cancel the submission and resubmit at any time before the evaluation item writing deadline set by the administrator.
In the mobile app, tap the [Today] → [To-Do] tab, tap the [Status] filter in the upper left, and in the [Completed] list, find and tap the evaluation item writing request.
Tap [Cancel Submission] at the bottom, then tap [Rewrite] to edit and resubmit the evaluation items before the deadline.
Canceling Approval Request, Rewriting and Submitting Evaluation Items
In the mobile app, tap the [Today] → [To-Do] tab, tap the [Status] filter in the upper left, and in the [In Progress] list, you can check the evaluation items currently awaiting approval.
Tap the in-progress approval document, then tap the More (∙∙∙) button in the upper right and select [Cancel Approval Request] to cancel the submitted approval, edit the evaluation items, and resubmit.
Rewriting and Submitting Rejected Evaluation Items
If the approver rejects the submitted evaluation items, the member will receive a notification. The member can tap the notification to view the rejected evaluation item approval request document.
Tap the rejected document, tap [Rewrite], edit the evaluation items, and request approval again.
