This guide explains how to set the evaluation period and assign evaluators for evaluations you have already created.
Exploring the Evaluation Management Home
Once you have finished creating an evaluation, you can view it in the Evaluation menu.
The evaluation you created will appear with a [Not Started] status. Click on it to configure settings such as evaluatees.
In the [Home] screen where you manage your evaluation, you can configure the progress status and period for each evaluation stage, from preparation through results.
Note: for a second-round downward evaluation, you cannot [Start Now] unless the previous downward evaluation has been completed.
[Home] - [Evaluation Progress tab] lets you set the writing period for each evaluation stage and whether to schedule the writing period in advance.
If an evaluation is in progress and you want to close it earlier than the deadline, click the [Close Submission] button to immediately close the evaluation.
From the Home screen, you can freely edit the evaluation item announcement and the periods for each evaluation stage. If you need to modify the writing period, click the [Period] tab.
From the Evaluation Management Home, click [Deadline Reminder] to configure deadline reminders for evaluation item announcements and for each evaluation stage in progress.
You can set how many days before the deadline and at what time to send a reminder notification for non-submitters.
You can also configure a reminder notification to be sent to the direct manager (primary organization) of non-submitting evaluators. For example, if evaluator Hong Gil-dong has not submitted the evaluation 3 days before the deadline, you can send a notification to Hong Gil-dong's direct manager informing them that Hong Gil-dong has not yet submitted the evaluation.
Reminder notifications are sent via in-app and web notifications to evaluatees and evaluators.
Requesting Evaluation Item Submissions
[Evaluation Item Announcement] is a feature that sets the period during which members can directly choose which evaluation elements and performance (goals) they will be evaluated on in this evaluation.
If you are conducting a competency evaluation but there are no optional competency elements and no performance evaluation is being conducted, the Evaluation Item Announcement menu may not be visible.
This feature is available if you enabled performance evaluation integration under [Evaluation Items] during the evaluation creation stage, or if you added [Optional Competencies] when setting up the evaluation elements to be assessed.
In the Evaluation Item Announcement stage, you can configure the following settings.
Click the [Start] button on the right side of the Evaluation Item Announcement to set whether to start the evaluation item submission request immediately or to schedule it for a later date.
Click the [Schedule] button to set the submission period and configure when to send reminder notifications to evaluators (members) who have not submitted, as well as to their direct managers.

Members will receive a notification via tasks, in-product alerts, and email asking them to fill out the items they will be evaluated on.
Members can click the notification or task to view the evaluation elements and weights for this evaluation. Under [Optional Competencies], they can select the competencies they will be evaluated on in this evaluation.
Under [Performance Items] at the bottom, members can click the input field to enter performance items directly, or click [Link Goals] to import performance items they want to be evaluated on from the [Goals] menu.
Only goals for which the member is set as the responsible person or a participant can be imported.
If a member clicks Submit without selecting performance items and optional competency items, a red indicator will appear and a reason will be shown for the items that were not configured.
In the left menu, click [Evaluation Items] → click the three-dot icon on the right side of a member's row to change the submission deadline, immediately close submission, or send a deadline reminder for that member. You can also click the [Reset] button to reset a member's evaluation item submission.
If a member's submission status is [Overdue] because they were unable to complete the evaluation items within the submission period, you can extend the deadline using [Change Deadline].
Sending a deadline reminder means sending a reminder notification about the evaluation item submission deadline.
Note: if you proceed with a reset, the tasks sent to that member and any evaluation content they were working on will be deleted. Emails and in-product notifications that have already been sent will not be canceled.
Click the checkbox on the left side of the evaluation items table, then click the [Send Deadline Reminder] or [Change Deadline] button at the bottom to send a bulk deadline reminder to members or change the deadline in bulk.
⚠️ If a member does not write and submit their evaluation items within the evaluation item submission period, they will not be able to complete the evaluation afterward.
Therefore, if a specific member did not receive an evaluation writing notification during the evaluation period, please check the following.
Whether the member has completed all evaluation item submissions
Whether they submitted after the evaluation item submission deadline
→ If the evaluation writing period starts while a member has not yet submitted their evaluation items, the system will exclude that member and only send the evaluation writing notification to members who have submitted their evaluation items.
→ In this case, you need to send a self-evaluation writing request to that member separately.
Finalizing and Announcing Evaluation Items
If the evaluation you created has no optional competencies or if no performance evaluation items were selected, you can finalize the evaluation items and announce them to members during the evaluation management stage.
Click the [Confirm] button in the progress stage tab under [Home] - [Evaluation Item Settings]
You can choose whether to simply finalize the evaluation items or to also send a notification (announcement) to members at the same time.
Click Finalize evaluation items only — the evaluation items will be finalized immediately, and no separate notification will be sent to members.
Click Finalize evaluation items and send announcement — the evaluation items will be finalized immediately and a notification will be sent to members at the same time. Members will receive the notification via mobile app, in-product alerts, email, and Slack, and will be able to view the items they will be evaluated on in this evaluation.
Setting Evaluatees
In the Evaluatees tab, you can add, view, and remove members who will be evaluated in this evaluation. As an administrator, please make sure to verify that evaluatees are properly included in their evaluation groups and that evaluation items are correctly configured according to each evaluation group.
In the [Evaluatees] menu on the left, you can view the list of members who will be evaluated in this evaluation.
In the Evaluatees screen, you can search for members using various HR information filters such as employment contract type, employment status, and organization.
Click [Add Evaluatee] in the upper right to add evaluatees or search for them using the search function.
In [View Options] in the upper right of the Evaluatees screen, you can use filters to view members by organization and job role in addition to evaluation group.
In the Evaluatees screen, groups are divided based on the [Evaluation Group] conditions set during the evaluation configuration stage.
Click on a member to view the evaluation items, structure, and weights they will be assessed on in this evaluation. If you want to change the evaluation group a member belongs to, click the group name in the upper right of the table and select a different group.
If you want to remove a member from the evaluatees list, check the checkbox on the left side of their row, then click the [Delete] button at the bottom.
If you need to update the [Evaluatees] based on evaluatee conditions, click the [Update Evaluatees] button to easily refresh the evaluatee list.
Setting Evaluators
In the [Evaluators] menu, you can assign members or team managers to conduct evaluations at each evaluation stage.
Click the [Auto-assign Evaluators] button to automatically assign evaluators for each evaluatee. Auto-assignment of evaluators is only available for downward and upward evaluations.
In the downward evaluation stage, click [Auto-assign Evaluators] to configure the evaluator assignment conditions.
Default value: The default evaluator for a downward evaluation is the manager of the evaluatee's primary organization. If the evaluatee is a manager, the manager of the parent organization will be assigned as the evaluator.
Member of two or more organizations: You can choose whether to assign only the primary organization's manager as the evaluator, or to also include the managers of concurrent organizations.
Primary organization changed: If the evaluatee's organization changed before the HR information reference date, you can assign evaluators through various options.
Current manager: Assigns the manager of the evaluatee's organization as of the 'current' date as the evaluator.
Current manager and previous manager: Assigns both the current manager and the previous manager as evaluators.
Manager of the longest-served organization: Based on the [HR information reference date] set when creating the evaluation, assigns the manager of the organization where the member was assigned for the longest period.
Click the [Auto-assign Evaluators] button in the upper right of the upward evaluation stage to automatically assign evaluators for each evaluatee.
Click [Auto-assign Evaluators] to configure the upward evaluator assignment conditions.
Default value: Members of the evaluatee's organization (based on their primary organization) are automatically assigned.
Member of two or more organizations: You can choose whether to assign only the primary organization's members as evaluators, or to also include members from concurrent organizations.

Members of the longest-served organization: Based on the [HR information reference date] set when creating the evaluation, assigns members of the organization where the member was assigned for the longest period.
If you want to change or add an evaluator for an evaluatee, click the evaluator's name to change or add the evaluatee.
By default, flex automatically suggests evaluators matching the assignment conditions. However, if "No recommended members" is displayed or the member you want to assign as an evaluator does not appear in the recommendations, you can search for the member's name directly and assign them as an evaluator.
Click the download button in the upper right of the evaluator settings screen to download the current evaluator assignments and assignment status for each evaluatee as an Excel file.
Uploading Evaluatees/Evaluators via Excel
If evaluatees/evaluators have already been registered, uploading an Excel file will overwrite the existing data. Since the Excel file is treated as the most up-to-date information, please be careful when proceeding!

Click [Evaluatees] on the left side of the evaluation management screen, then click the Excel icon in the upper right and click [Upload Evaluatees] to download the Excel template.
Enter the email addresses of the members you want to add as evaluatees in the downloaded Excel template, then upload it.
Uploading the Excel file will replace the existing data with the file contents. Please review the contents once more before uploading.
Check the change summary to confirm the evaluatees were uploaded correctly, then click the [Apply Uploaded File] button to add the evaluatees.
If the evaluatee Excel file upload does not proceed, click [Error File] in the upper right to view the error items Excel file.
You can review the error items in detail to understand why the evaluatees could not be added. Check and correct the errors, then re-upload the file.
Uploading Evaluators via Excel
Click [Evaluators] on the left side of the evaluation management screen, then click the Excel icon in the upper right and click [(Evaluation Stage) Evaluator Upload] to download the Excel template.
The image below is an example screen for assigning downward evaluators in the [Downward Evaluation] stage.
If you are uploading evaluators for a peer evaluation, please proceed with the evaluator upload in the [Peer Evaluation] stage.
Enter the email addresses of the evaluators for each evaluatee, then upload the file.
Uploading the Excel file will replace the existing data with the file contents. Please review the contents once more before uploading.
If you want to assign multiple evaluators to an evaluatee, enter the evaluators' email addresses separated by commas (,).
Check the change summary to confirm the evaluatees were uploaded correctly, then click the [Apply Uploaded File] button to add the evaluatees.
If the evaluator Excel file upload does not proceed, click [Error File] in the upper right to view the error items Excel file.
You can review the error items in detail to understand why the evaluatees could not be added. Check and correct the errors, then re-upload the file.

Click [Tasks] - [To Do] - [Evaluation Item Submission Request], then click the [Evaluation Item Submission Request] task that appears → click [Cancel Submission] to re-submit the evaluation items.

In the evaluation management home, click the three-dot icon to the right of the evaluation item submission request or a stage's evaluation form under the evaluation progress stages, then click [Reset]. All written content will be deleted and the stage will revert to its pre-start state.
Note: once a reset is performed, you cannot return to the state before the reset, so please use the reset option with caution. Also, clicking the Reset button will delete all content written and submitted by members. However, notification history sent via the notification center and email will not be deleted.
Members (evaluators) will also receive a notification informing them that the evaluation writing period and a specific evaluation have been stopped and all requests have been canceled.

You cannot save an evaluation as a template, but you can duplicate an evaluation you want to use like a template. Click the three-dot icon on the right side of the evaluation you want to duplicate, then click the Duplicate Evaluation Settings button to duplicate the evaluation.

If you want to delete an evaluation, click the three-dot menu (···) on the right side of the evaluation you want to delete, first select [Close], and then click [Delete].
Note: deleted evaluations cannot be recovered, so please double-check before proceeding with the deletion.
