How Can I Operate Self-Evaluations?

A self-evaluation is a process in which members reflect on their own performance and competencies and lay the groundwork for their next stage of growth. Based on this, you can conduct top-down evaluations or use it as a reference for 1:1 (one-on-one) meetings.

We will walk you through the entire flow of creating and operating self-evaluations in line with your company's performance management framework.

1. Creating an Evaluation

Step 1: Setting Basic Information

  • Click [Evaluation] → [Create Evaluation] at the bottom of the left menu.

  • In [Basic Information], you can set the evaluation title, target period, and evaluatees.

    • Evaluation Title and Target Period: Set the evaluation title and the evaluation period that the evaluator will assess.

    • Evaluatee Conditions: You can set the HR information reference date and evaluatee conditions.

      • If you set the condition for 'Team Leader' to apply, all personnel designated as 'Team Leader' in the org chart will become evaluatees. If you are targeting only specific leadership roles, please set the conditions accordingly!

    • Co-editors: You can select members who can jointly edit and manage this evaluation. Of course, those with [Evaluation Management] permission have view/edit access to all evaluations regardless of whether they are included as co-editors.

Step 2: Setting Evaluation Elements and Stages

  • In [Select Evaluation Elements], activate the elements that evaluatees will be assessed on.

  • In [Select Evaluation Stages], activate [Self-Evaluation].

    • If you plan to conduct a self-evaluation followed immediately by a top-down evaluation, also activate 'Top-down Evaluation'. You can find detailed guidance on operating top-down evaluations in the guide below.

Step 3: Setting the Evaluation Structure

  • In the [Evaluation Structure] step, you can set evaluatee groups and configure evaluation elements by group or by stage.

  • Clicking [Add Evaluation Group] allows you to add an evaluation group and set group-specific conditions (job category, organization, position, etc.). You can then select the evaluation elements to apply for each group by stage.

    • The default group includes all evaluatees by default. If certain job categories or positions are evaluated differently, please add a separate evaluation group.

Step 4: Setting Evaluation Items

  • In the [Evaluation Items] step, you can more specifically configure the competency and performance items that evaluators will assess. You can also set weights by competency and performance if you activate [Enter Weights].

  • If members select evaluation items themselves, you can configure the number of selections and approval settings.

Step 5: Setting Evaluation Forms by Stage

  • In [Evaluation Forms by Stage], you can configure evaluation forms for each evaluation stage set in Step 2. You can also directly add any additional questions needed for the evaluation.

  • You can also configure for each evaluation stage whether to use ratings, how ratings are calculated, and whether to provide reference materials.

    • We recommend providing reference materials so that members can refer to them when writing their self-evaluations.

    • You can also derive an overall evaluation rating using a matrix combination of competency and performance ratings.

Step 6: Setting the Rating System

  • In the [Rating System] step, you can set the rating system and matrix ratings to be used in this evaluation.
    (Example: Grade S = 90 points or above)

  • If different ratings are used for different evaluation elements, activate the option to use different ratings per evaluation element.

  • If the overall rating calculation is set to [Matrix Combination], you can configure the matrix table.

  • If the overall rating calculation is set to automatic calculation, you can set weights for each evaluation element.

2. Operating the Evaluation

Once you have finished creating the evaluation, select the evaluation you just created from [Evaluation] in the left menu to navigate to the Evaluation Operations screen!

Step 1: Preparing the Evaluation

  • On the Evaluation Home, you can view the HR information reference date and configured values set during the creation step.

  • In the [Evaluatees] menu, review the list of evaluatees and, if necessary, add them directly using [+ Add Evaluatee] in the top right.

  • Once you have confirmed all evaluatees, start the evaluation item setup process so that evaluatees can directly review and configure their evaluation items.

    • If there is no separate evaluation item setup stage, you can proceed directly to confirmation.

    • You can set a deadline for the evaluation item setup period and configure deadline notifications.

Members will receive a notification and directly review and set their evaluation items!

  • In the [Evaluation Items] menu, you can check the status of evaluation item setup. If needed, you can select members to send deadline notifications, change the deadline, or directly assign or change evaluators.

  • Once the evaluation item setup is complete, start the self-evaluation from the Evaluation Home. Just like with the evaluation item setup, you can start it now or schedule it for later.

    • Setting up evaluation deadline notifications makes management even more convenient.

Step 2: Starting and Monitoring the Evaluation

  • Once the evaluation begins, evaluators will receive a notification and can check and complete their assigned evaluations from [To-Do].

  • During the evaluation, you can check the progress in [Progress by Evaluatee] and [Progress by Evaluator]. If only conducting a self-evaluation, the evaluator will appear the same in both menus. If there are multiple stages beyond the self-evaluation, please check the status by stage in [Progress by Evaluator]. Use various filters to view progress by evaluatee!

    • Selecting each evaluatee also allows you to view the evaluation content received so far.

  • In [Progress by Evaluator], you can change deadlines, send notifications, and more.

    • If necessary, you can click Reset to revert to the pre-request state. However, please note that all evaluation content written by the evaluator will be deleted!

  • If an overall extension of the evaluation period is needed, please use Extend Period on the Evaluation Home!

Step 3: Reviewing and Sharing Evaluation Results

  • Once all evaluations are complete, you can view the evaluation results per evaluatee in the [Evaluation Results] tab. You can also click the [Download] button in the top right to download the final rating results as an Excel file.

    • Note that evaluation results cannot be downloaded as Excel if the evaluation does not use ratings or scores.

  • Once you have reviewed all results, close the evaluation and generate a report for sharing the evaluation results.

FAQ

Can evaluators write their self-evaluation while viewing the goals they participated in?

Yes, that is possible! Select 'Performance' as an evaluation element and link [Performance Items] in the evaluation item setup to allow members to directly link or enter their performance (goals).

Can members and team leaders conduct a one-on-one based on the completed evaluation?

Yes, that is possible! During a one-on-one with a member, you can view the member's evaluation results in the [Evaluation] tab on the right side of the screen while conducting the one-on-one. Of course, the member must be included in the evaluation report sharing list.
