Custom leave refers to leave types beyond annual leave, such as refresh leave, compensatory leave, medical check-up leave, health leave, military training leave, and more.
Through custom leave settings, you can create and manage various leave policies tailored to your company's needs.
To configure custom leave, you need the [Annual Leave Policy & Promotion Management] + [Custom Leave Management] permissions.
Custom Leave Settings
flex provides legally required leave types such as fertility treatment leave and miscarriage/stillbirth leave (multiple pregnancies), with leave policy descriptions and required documentation descriptions automatically pre-configured for more convenient leave management. Legally required leave types can be modified but cannot be deleted.
1. Leave Description: You can enter and edit the custom leave name and description. The leave description is visible to members when they use the leave.

Grant upon request: A set amount of leave is granted each time a member submits a request.
Grant upon annual leave exhaustion: This is an automatic grant method. The leave card becomes visible from the moment a member has used all of their statutory annual leave. Use this if your company policy grants leave that can be used after annual leave is exhausted.
Grant upon joining: This is an automatic grant method where leave is granted on the day a member joins. If the leave is reclaimed or exhausted, the leave card will no longer be displayed.
Grant by administrator: This is a manual grant method. Leave is only displayed after the administrator directly grants it.
Recurring grant: You can set the first grant date on an annual or monthly basis. You can choose options for granting after a certain number of months or years of service.
Annual grant: Leave is granted every year starting from the configured first grant date. Unused leave expires on December 31st and is re-granted on January 1st of the following year.
If you operate a birthday leave policy, you can use the recurring grant option to automatically grant birthday leave once a year! However, it is not possible to grant it on each member's exact birthday.
Monthly grant: Leave is granted on the 1st of every month starting from the configured first grant date. Unused leave expires at the end of the month. This can be used when a fixed amount of leave must be granted every month.
Grant based on length of service:
You can configure leave to be automatically granted based on the hire date or group hire date recorded in the member's profile.
If you create a leave that is granted based on length of service, the leave will also be granted to members who have already passed that service milestone.
(Note: Except for the "Grant by administrator" and "Grant upon annual leave exhaustion" methods, leave cards are displayed by default on the member's leave overview screen!)
3. Grant Duration: You can set the grant unit and grant duration to specify how much leave to grant.
4. Usage Unit: You can configure whether members must use all granted leave (days/hours/minutes) at once or whether they can use it in portions.

When the [Use all at once] option is selected, if a member uses only part of their available leave, the remaining leave is automatically forfeited. Example: If only 7 days out of 14 days are registered, the unused 7 days are forfeited.
When the [Use in portions] option is selected, you can choose between day-unit usage and half-day/hourly usage options.
[Day-unit usage]: Granted leave can only be used in day increments. This is useful when you want leave granted as 1 day to be used as a full day only.
[Half-day/hourly usage]: Granted leave can be used in half-day and hourly increments. This is useful when you want members to be able to split and use their leave freely.
5. Pay Status: You can configure whether the leave is unpaid, paid, or partially paid, including the number of paid days and percentage.
For fertility treatment leave, please set the 'Grant Duration' to 6 days and the partially paid day setting within 'Pay Status' to 2 days. 6. Approval & Reference: You can configure approvals to be triggered according to the approval line set by the administrator when members register & cancel leave. For more details on flex approval settings, click the guide below!

Supporting Document Submission and Other Settings
Click [Additional Settings] to configure the eligible gender for the leave, supporting document submission options, leave grant exclusion target settings, and whether holidays can be included.
Eligible Gender: Determined based on the national ID number registered in the member's profile. Health leave and military training leave provided by flex are configured to be granted only to female and male members respectively.
Usage Expiration Date: This option only appears when the grant method is set to [Grant upon annual leave exhaustion] or [Grant based on length of service].
For [Grant by administrator] leave, the administrator can set a usage expiration date when granting.
Deduct leave registered on holidays: You can configure whether holidays (public holidays and weekly holidays) included in the leave period should be counted as leave usage days. When this setting is enabled, holidays are included and deducted from the leave balance when registering leave.
Exclusion target settings: You can exclude certain members from receiving a specific custom leave based on their employment type or organization. However, it is not possible to select specific individual members.
Once you configure the employment types and organizations to be excluded from leave grants, the leave will no longer be displayed or granted to members meeting those conditions immediately upon saving the settings. The employment type follows the employment type configured in [Employment Contract Information] within the member's profile. However, exclusion targets cannot be set for legally required leave.
If setting the exclusion target by organization, please select each organization individually.
If you want to exclude the Business Management Division and its sub-organizations, please select the Business Management Division and each sub-organization individually.For members who belong to multiple organizations, if even one of those organizations is included in the exclusion targets, the member will be excluded. For a member whose primary organization is AM and secondary organization is Marketing, if either of the two organizations becomes an excluded organization, the leave will not be granted.

Supporting Document Submission: During the leave request stage, you can configure whether supporting documents must be submitted in advance as a mandatory requirement, or whether they can be submitted after the fact.
Up to 10 supporting documents can be uploaded.
You can write a description of the supporting documents that members are required to submit, so members can see what documents they need to provide.
Applying Custom Leave Settings Retroactively
If you change custom leave settings midway, you will see the [Apply to previously granted leave as well] option at the bottom. This option appears when the following settings are changed midway, and administrators can decide whether to retroactively apply the changed settings.
Leave usage unit change:
Example: The leave was previously set to use all at once, but the setting was changed to use in portions by half-day increments.
Pay status:
Example: Leave was previously paid but has been changed to unpaid.
Supporting document submission
Example: Previously set to post-registration submission (submit after registering leave) but changed to pre-registration (register leave along with document submission).
Advance leave registration allowed
Example: When holidays are included in the leave period, previously holidays registered during leave were not deducted from the leave balance, but this has been changed so that leave registered on holidays is also deducted from the leave balance.
If the usage unit or policy of leave held by members differs from the current leave settings, please activate [Apply to previously granted leave as well] at the bottom to retroactively apply/reflect the settings.

The way grant-upon-request leave works in flex is as follows:
1) Member submits a request → 2) The designated number of days is calculated and leave is granted first → 3) The leave is simultaneously registered as used → 4) A notification is sent to the configured approvers/references at the time of registration
If a member cancels after using grant-upon-request leave, the leave will be shown as in a granted state.
As shown in the image above, before requesting, it shows [Grant 1 day upon request], but after requesting and then canceling, it shows [1 day] as being held by the member.
If you want it to show [Grant N days upon request] again, please reclaim the leave using administrator privileges!

Only the leave balance granted to all members will be deleted.
This only affects held leave balances, and does not affect leave that has already been used or leave that has been requested for future use.

You can delete custom leave by going to Settings - Custom Leave, clicking the three dots on the right side of the custom leave you want to delete. When a custom leave is deleted, previously granted/used data is not lost and no notification is sent to members.
Please note that only deletion is available; hiding is not supported.

You can view and download them by clicking on a member's leave usage record in the Attendance Management - Leave Management - Leave Usage History tab from the left menu.
Leave supporting documents submitted by members can only be viewed by administrators who have been granted the leave balance status, usage history inquiry permission, and member leave inquiry permission.

If the custom leave you created is not visible in the leave overview list, please check the following.
First, if the custom leave grant method is grant upon request, it appears in all members' leave overview immediately after the administrator creates the custom leave. However, if the eligible gender is set to male only, the system distinguishes male/female based on the national ID number entered in each member's profile, so if the leave is not visible in a male member's leave overview, please check whether a national ID number has been entered. (Same applies for female.)
If the custom leave grant method is grant upon annual leave exhaustion: Leave is granted at the moment the member's statutory annual leave expires. If the custom leave is not visible, please check whether the member still has remaining annual leave.
If the custom leave grant method is grant by administrator: If the custom leave grant method is grant by administrator, members cannot see it until the administrator directly grants the leave. Try granting the custom leave to the member from the Attendance Management - Leave Management - Leave Balance Status tab.
If the custom leave is recurring grant or grant based on length of service: If the custom leave grant method is recurring or length-of-service-based, please check whether the configured custom leave grant cycle is applicable. For example, if the leave is granted after 3 years of service but the member has not yet completed 3 years based on the hire date entered in flex, the leave may not have been granted.

It depends on the custom leave settings. If the grant method is set to 'Recurring grant', a new custom leave is automatically granted at each recurring cycle. At that time, any custom leave unused within the previous cycle will expire when the next cycle begins.
