Member Invitation and Invitation Status

After registering members, they need to complete email verification and information entry through an invitation email to start using flex. If you did not send an invitation during registration, you can do so from the Invitation Status page. You can check members who are Pre-invitation / Pending Sign-up / Entering Information, and resend invitation emails as well.

Note that member registration and invitations can only be done on the web.

Sending Invitation Emails

Before adding members and sending invitation emails, make sure the email address the member will use is active (able to receive emails). If the account does not exist, the flex server may block that account and the member may not receive the invitation email.

  • Sending Invitation Emails

    • You can configure this in [Members] → [Invitation Status] → [Pre-invitation].

    • Click the checkbox next to the member's name to send an invitation email.

    • You can select the invitation email template and the information to request from members in advance.

    • If the member's email address is incorrect, you can delete the information using the delete button.

Checking Invitation Status

  • Pending Sign-up

    • You can check members who have received the invitation email but have not yet started the information entry process.

    • If the member did not receive the email, you can resend it using the 'More' menu → Resend Invitation Email feature.

    • Invitation emails are valid for up to 7 days, so re-invitation is required after 7 days.

  • Entering Information

    • You can check members who are in the process of entering information through the sent invitation.

    • Members at the information entry stage can log in with the email and password they set.

    • Information entry must be completed for the member to fully use flex features such as approvals and leave.


FAQ

I accidentally entered the wrong email address.

  • If you entered the wrong email address, you can delete the registered account, re-register, and then send the invitation. However, if you do not want to delete the account, please contact us via chat.

I didn't receive the invitation email.

  • Please check your spam folder or trash first. If you still haven't received it, resend it via [Pending Sign-up] → [More] → Resend Invitation Email.

The verification link has expired.

  • Check whether the member is in Pending Sign-up or Entering Information status, then resend the email or guide the member to log in.

Can I set the personal email address as a required field when sending member invitation emails?

Currently, the feature to set the personal email address as a required field during member invitation is not supported.

As an alternative to making it required, you can set up automatic 'to-do' notifications to be sent to members. This helps ensure that members don't miss necessary input steps or email verifications.
