How to Grant Additional Annual Leave (Annual Leave Adjustment) and Manage It

The annual leave adjustment feature can be used when you need to additionally grant or deduct annual/monthly leave beyond the legally mandated amount.

It is also used to match up employees' remaining annual/monthly leave quantities after setting up annual leave policies when flex has been recently adopted.

Administrators who have been granted all [Leave]-related permissions, or [Leave View] + [Leave Edit] + [Annual Leave Policy and Promotion Management] + [Custom Leave Management] permissions can additionally grant and deduct annual leave through the leave adjustment feature.

  • Go to the left menu [Attendance Management] -> [Leave Management], click [Annual Leave Adjustment] at the top right, then click [Annual Leave Adjustment].

  • The annual leave adjustment days for employees will be added/deducted on the date specified in [Adjustment Effective Date] at the top right of the Annual Leave Grant/Deduct tab, so please check the adjustment effective date.

  • Check the employees who need annual leave adjustment, click the [Add Annual Leave] button, and select whether to add or deduct annual (monthly) leave.

    • If the employee holds monthly leave, the options to add monthly leave or deduct monthly leave first will appear. If the employee only holds annual leave, only the add annual leave or deduct annual leave first buttons will be shown.

    • Due to the no monthly leave expiration policy, the add monthly leave or deduct monthly leave first buttons may not be visible even though the employee holds monthly leave. Since monthly leave should expire on the employee's 1st work anniversary, you can add or deduct monthly leave by setting the adjustment effective date before the employee's monthly leave expiration (before their 1st anniversary).

  • After checking the adjustment values and remaining count, click [Apply] at the top right -> enter the adjustment reason (required), then click Confirm!

  • Batch annual leave adjustment is also possible through Excel. Click the [Annual Leave Excel Adjustment] button at the top right to proceed with annual leave adjustment via Excel.

  • Download the [Annual Leave Excel Adjustment] template and enter adjustment values in the [Category] and [Adjustment Input] columns.

  • The Category/Adjustment Input fields are set as text format. Please save the form after entering values to ensure the format is not changed.

  • If you need to cancel after performing an Excel annual leave adjustment, you can batch cancel.

  • Go to the left menu [Attendance Management] -> [Leave Management], click [Annual Leave Adjustment] at the top right, then click [Annual Leave Adjustment History].

  • Click on the history you want to cancel in the annual leave adjustment history screen.

  • In the adjustment history detail screen, click the [three dots button] at the top right -> click [Cancel All] to batch cancel.

  • Partial cancellation (not batch) is also possible.

  • Click on the history you want to cancel in the annual leave adjustment history screen.

  • In the adjustment history detail screen, click the [three dots button] on the right of the employee's adjustment detail -> click [Cancel Adjustment] to cancel only that employee's adjustment from the entire adjustment history.


FAQ

Can I enter decimal values?

Yes, you can enter decimal values. You can enter up to three decimal places (e.g., 0.125 days).

Should company discretionary leave also be managed as annual leave?

If your company grants discretionary leave (e.g., summer vacation, year-end rewards), you can additionally grant annual leave, but for management purposes, we recommend using 'Custom Leave'!
