Personnel Appointments (Organization, Title, Rank, Job Function Changes)

Through the personnel appointment feature, you can change members' HR information (organization, title, rank, job function, etc.) and manage appointment history through appointment records. Appointment information can be shared as an 'announcement' to all members or specific members.

Making Personnel Appointments

  • You can configure this in [Members] → [HR Information Management] → [Personnel Appointments] → [Make Appointment].

  • Set the appointment information.

    • Appointment Date: You can select the date for the appointment. You can register appointments not only for the current day but also for past dates, and if you select a future date, the [Appointment Reservation] will be automatically scheduled.

    • Appointment Subject: Select the member to be appointed. You can make appointments not only for individual members but also by organization, position, title, and job function.

    • Appointment Label: Used as a tag to distinguish the nature or reason of the appointment. You can enter appointment reasons such as 'transfer', 'concurrent position', 'information change', 'personnel transfer', etc. If deletion is needed, it can be deleted separately from the Personnel Appointments tab. However, please note that deleting a label will also remove the appointment label from the appointment history. 🙂

  • Change the job function, organization, title, organization head status, position, rank, etc. as needed.

  • You can add HR information such as organization, job function, and position on the appointment screen.

  • After completing the information entry, click [Make Appointment] to complete the appointment.

Personnel Appointment Change History

  • You can check appointment information and history in [Members] → [HR Information Management] → [Personnel Appointments] → [Change History].

    • You can cancel pending or completed appointments, or re-issue canceled appointments.

    • If a pending appointment needs modification, hover your mouse over the appointment that needs editing and click [Right Menu (···)] -> [Edit Appointment].

Creating Announcements from Appointment Information

  • In [Members] → [HR Information Management] → [Personnel Appointments] → [Change History], hover over the appointment item and click the [Paper Airplane Button].

    • Check the appointment information that will be written as an announcement, then click the [Write] button at the bottom.

    • You can choose whether to announce to all members or only to specific members.

    • Personnel appointment change history is automatically entered. If there is additional information to add, you can click the text input field to enter information.

    • The announcement author is displayed as the name of the member who proceeded with writing the announcement, not the member who made the appointment.

    • Click [Add Attachment] to post attachments along with the appointment information as an announcement.

Editing Appointment Information

  • In [Personnel Appointments] → [Change History], hover over the appointment to cancel it, or

  • If you need to cancel or modify appointment information for specific members, go to the member's [Profile] and click [Information Change History] at the top right.

  • If there are incorrectly updated records, click the checkbox on the left to delete the information change history for that date.

  • You can confirm that only the HR information clicked on January 1, 2024 has been deleted.

  • If you accidentally deleted appointment information, click [Add History] at the top right to add the appointment history again.

  • As shown in the image below, the January 1 appointment history has been newly updated.

  • If only [editing] is needed, click the three-dot button on the right, edit the information, and click [Apply Changes].

  • The HR information has been updated with the edited details.

Personnel Appointments - Bulk Appointments (Change via Excel)

The Excel appointment upload feature has the following precautions, so we only enable it upon request to the flex team! Please check the precautions below before using and request separately through chat.

Because it overwrites existing appointment data, you must enter all members' HR information without omission when using this feature.

Example) Member A was appointed to the HR Team on September 1, 2022. For the administrator to appoint Member A to the Management Support Division on October 1, 2023 via Excel appointment upload, both the September 1, 2022 appointment information and the October 1, 2023 appointment information must be filled in.

  • When making bulk appointments for members, you can use [Change via Excel] to process appointments.

  • Enter the desired changes based on employee number and upload the Excel file.

  • After setting the appointment information, review the change history and click [Make Appointment].


FAQ

Do I have to make an appointment even for simple information changes?

  • Changing members' HR information (organization, title, rank, job function, etc.) is only possible through the 'appointment' feature. Please use the appointment label to indicate that it is an 'information change'.

I can't see the Excel appointment upload feature!

  • The Excel appointment upload feature for HR appointments such as organization, rank, job function, and title has the above precautions, so the flex team manually enables it upon request! This feature is not available without a request, so please check the precautions above and contact us separately through chat.

Can I download members' personnel appointment history?

Currently, downloading members' personnel appointment history within flex is not available! If you need to download appointment history by member, please contact the support agent via the live chat at the bottom right of flex.

How do I set up members with concurrent positions?

If a member holds concurrent positions in multiple organizations within the same company, simply add organizations when making the organization appointment!

When making bulk changes, you can also add organizations to reflect concurrent organization assignments.
