How Do I Assign Organization, Team Lead, Grade, Title, Position, and Role to Members?

Guide to HR reassignment: individual reassignment, bulk Excel reassignment, and managing reassignment history.

Use the HR reassignment feature to change member HR information (organization, title, grade, role, etc.) and manage reassignment history.

Individual Member Reassignment

  • Go to [Member Management] → [HR Info Management] → [HR Reassignment] → [Reassign] on the left.

Effective Date

Select the effective date of the reassignment. You can register reassignments for today, past dates, and even future dates — future dates are automatically treated as [Scheduled Reassignments], and you can select which members to include.

Reassignment Label

A tag used to classify the nature or reason of a reassignment — you can enter reasons such as "Transfer", "Concurrent", "Info Change", "Personnel Move", etc.

Labels can be deleted separately from the HR Reassignment tab when no longer needed.

Deleting a label also removes it from the reassignment history — please take care.

  • Use the organization, position, title, and role filters to retrieve the members to reassign.

  • Update the required fields: role, organization, title, team lead status, position, grade, etc.

  • After completing the information, click [Reassign] to finalize.

Bulk Reassignment via Excel

The Excel reassignment upload feature has the following caveats — please contact the flex team to have it enabled. Review the notes below before use, then request via chat.

When processing HR reassignments via Excel, existing reassignment data is overwritten, so all member HR information must be entered without omissions.

Example: Member A was reassigned to the HR Team on Sep 1, 2022. To reassign them to the Management Support Division on Oct 1, 2023 via Excel upload, you must fill in both the Sep 1, 2022 reassignment info and the Oct 1, 2023 reassignment info.

  • For bulk reassignments, use [Change via Excel].

  • Go to [Member Management] → [HR Info Management] → [HR Reassignment] → [Reassign] → [Change via Excel] on the left.

  • Download the [HR Reassignment] Excel template, fill in the relevant information, and upload the file.

    • The employee ID is the key used to apply changes, so it is mandatory.

  • After configuring reassignment info and reviewing the changes, click [Reassign].


FAQ

How do I view the HR reassignment change history?

In [Member Management] → [HR Info Management] → [HR Reassignment] → [Change History], you can view reassignment info and history.

  • You can cancel scheduled or completed reassignments, or create new ones after cancellation.

  • To edit a scheduled reassignment, click the [pencil icon].

Can I write reassignment info as an announcement?

In [Member Management] → [HR Info Management] → [HR Reassignment] → [Change History], hover over a reassignment item and click the [paper plane icon].

  • Review the reassignment info to be announced, then click [Write] at the bottom.

  • You can choose to announce to all members or only specific members.

  • Reassignment change details are auto-populated. Click the text input field if you want to add more information.

  • Click [Add Attachment] to attach files together with the announcement.

How do I change a member's info from their profile?

Click the [Change] button at the top of the HR info section in the member profile to configure organization, title, role, position, grade, etc.!

Checking the team lead checkbox also allows team lead assignment.

Can I designate 2 or more team leads for one organization?

Yes, you can. You can designate 2 or more team leads for the same organization. Use the [HR Reassignment] menu or grant the team lead role from the [Member Profile] screen.

I'm trying to register a past-date HR reassignment, but the target organization doesn't appear in the list. What should I do?

This may be because the organization had not yet been created (before its start date) in the system as of the past date you're trying to assign (e.g., 2021). In this case, update the organization's "Start Date" to a date before the target reassignment date in [Organization Management], then retry the HR reassignment. (See images below)
