ADT Caps Integration Guide

Please check the following before starting the integration.

ADT Caps integration is carried out using the "External Transfer DB" feature of ADT Caps.

  • Requesting your company's designated ADT Caps engineer to "support integrating attendance records with an external service using the External Transfer DB feature" will help the integration proceed more smoothly.

    • This also applies if you encounter situations during steps 1–2 below that are difficult to resolve on your own.

  • Depending on the ADT Caps product and version you use, the actual screens may differ from the screenshots in this guide.

    • If the installed Remote Access Manager program does not support the "External Transfer DB" feature, integration will not be possible.

  • If you encounter any other difficulties during the initial integration, please refer to the FAQ section first.

Overview

By integrating ADT Caps with flex, you can sync attendance records from the access control device into flex as clock-in/clock-out records.

The ADT Caps integration setup consists of 4 steps.

  1. Configure access to the flex DB

  2. Configure ADT Caps attendance record export

  3. Set employee numbers for mapping ADT Caps users to flex users

  4. Activate registration and verify integration

0. Prerequisites

The server where ADT Caps attendance records are stored should already have the following two programs installed. (Fig 0.a)

  • Access Server Manager: The ADT Caps server program that runs at all times

  • Remote Access Manager (ADT Caps Access Guard)

Please verify that both programs are properly installed. If you cannot find them, contact your ADT Caps representative.

1. Configure Access to the flex DB

First, complete the settings required to access the flex DB for record synchronization.

The following account information is required to proceed.

1.1. Install the PostgreSQL ODBC Driver

Download the file below, extract it, and proceed with the installation.

psqlodbc-setup.exe (version 17.00.0007)

The integration status shows "Connected" in the integration settings, but attendance records from ADT Caps are not syncing to flex.

Please check whether any of the following situations apply.

  • Using the 'Access' option

    • When using the ADT Caps device, you must press the 'Clock In' or 'Clock Out' button before scanning.

  • Attendance record export settings error

    • Please refer to items 1 and 2 of this guide to confirm the export settings are configured correctly.

  • Employee number not configured

    • Only flex members whose employee number matches the employee number registered in ADT Caps will have their clock-in/clock-out records successfully synced to flex.

    • Please refer to item 3 of this guide to confirm that employee numbers for user mapping have been configured correctly.

  • Blocked by internal firewall

    • For proper synchronization, access to the DB address provided by the flex team must be allowed.

    • Please check with your internal IT administrator to confirm that access to this address is not blocked.

  • ADT Caps server PC in abnormal state

    • For proper synchronization, the device with Remote Access Manager (ADT Caps Access Guard) installed must always be powered on and connected to the internet.

  • Automatic attendance processing time

    • Attendance - Attendance Processing Options - General Attendance Settings - Automatic Attendance Processing Time - Specified Time: Runs at the specified minute of each hour. Please check whether the specified time is set to 10 minutes.

If none of the above situations apply but synchronization still does not work, please contact the flex team.

I entered the employee number incorrectly or missed it and corrected it, but new records are still not syncing to flex.

If changes have been made to the ADT Caps program, a restart may be required to apply the settings.

Please refer to the guide above to restart the program and check if new records sync correctly.

Records made before I corrected the employee number are not syncing to flex.

Even if an employee number is updated in ADT Caps, the change is not retroactively applied to past access record data.

Therefore, when syncing with flex, the updated employee number will only apply to records made after the time of change. If you want to register previous work records in flex, please use the daily work upload feature.

It seems some attendance records were not synced while the computer was briefly off. I'd like to manually trigger a sync.

You can manually sync any missed attendance records.

Even if the same record is synced multiple times, flex will handle duplicates so they are not registered more than once — no need to worry.

  1. In the Remote Access Manager (ADT Caps Access Guard) program, select 'Query ‣ Authentication Record Query' from the top toolbar

  2. Select the date range to query using 'Query Period' at the top of the screen

  3. Click the 'External Transfer' button at the top and confirm that the 'Transfer' column values have changed

  • Manual resend a. In the Remote Access Manager (ADT Caps Access Guard) program, select 'Query ‣ Authentication Record Query' from the top toolbar

  • Manual resend b. Select the date range to query using 'Query Period' at the top of the screen

  • Manual resend c. Click the 'External Transfer' button at the top and confirm the 'Transfer' column values have changed (showing 'Duplicate' is fine)

After connecting SECOM/Caps, I ran a test but received a notification that real-time work records cannot be used.

  • To integrate SECOM/Caps work records, you must enable the real-time clock-in/clock-out recording feature in Settings - Work Types. Once the setting is enabled, the test should work correctly!

Can an administrator configure skip work confirmation (skip work record review)?

If the skip setting has been configured under Settings - Work Types - Default Clock-Out Settings, administrators can bulk configure the skip work record review setting for all members.

Can I distinguish between records clocked in/out via Caps and records clocked in/out via flex?

No.

There is no separate feature to distinguish between records registered via Caps (fingerprint/face recognition/card) and those registered via app/web.

Clock-in/clock-out records via fingerprint are recorded through the Caps attendance device integrated with flex, so they operate the same as real-time work records. Therefore, work records via fingerprint are displayed the same way as real-time work records.

Work records registered through real-time recording can be viewed in the Clock-In Time / Clock-Out Time columns by using the [Member Work Record Download - Daily Detail View] feature.

How do I integrate Caps for multiple legal entities?

When employees from the main entity and affiliated companies are on the same floor, and you want to integrate flex using one SECOM (S1)/Caps/Telecop PC on that floor

  • If the employee numbers of main entity members and affiliated company members are the same, linking is not possible. Employee numbers must be distinct, so please keep this in mind.

  • You must have the account information for the main entity's integration. (User Name, Password, Server, Port, Database)

  • If the administrator at [email protected] holds concurrent positions at affiliated companies and is proceeding with multi-entity SECOM/Caps/Telecop integration, have the [email protected] administrator create a SECOM/Caps/Telecop account at the main entity, then create an account in flex Mini. The created account can then be used when integrating SECOM/Caps/Telecop.

    • flex: Main entity

    • flex Mini: Concurrent/affiliated entity (subsidiary)

When the main entity and affiliated companies are on different floors (or buildings), each with their own separate SECOM (S1)/Caps/Telecop PC, and you want to allow clock-in/clock-out from any location

When the main entity and affiliated companies are on different floors (or buildings), each with their own SECOM PC, and you want clock-in/clock-out to be available from any location — that means there are multiple SECOM/Caps/Telecop PCs. In this case, please contact the Customer Success team. (Please check how many PCs are installed)

When the main entity and affiliated companies are each on separate floors, each floor has its own SECOM (S1)/Caps/Telecop PC for flex integration, and each entity's members only clock in/out on their respective floor

Create accounts at the main entity, proceed with integration via the SECOM (S1)/Caps/Telecop PC used by the main entity, then create accounts at the affiliated company and proceed with integration via the SECOM (S1)/Caps/Telecop PC used by the affiliated company.

Can I sync past work records after setting up ADT Caps integration?

  • Yes, integration is possible. However, only work records within 14 days from the time of integration will be synced.
    For records older than that, you will need to reflect the ADT Caps records in flex using the Work Record Upload feature.

I reconnected the integration, but work records are not syncing. What should I do?

If there has been a PC change, device reinstallation, or similar event, you will need to re-integrate.

In this case, you must redo the table selection in step 2.2 item 6 and re-enter the column selections to match the guide.

(After re-integration, it may appear as though the previous integration is still in effect, but the connection has been severed — please be sure to reselect and re-enter the table selection.)

I cannot add a System DSN in the Caps ODBC settings.

Search for ODBC and try again by running it as 'Run as administrator'.
