How to Set Up Flexible Work Type

Let us explain what flexible work is, how to set up a flexible work type in flex, and how to apply it to employees!

What is Flexible Work?

Flexible work (flexible working hours system) is a work type where employees can autonomously decide their start and end times within a set total working hours for a given period.

For example:

  • A company working 9 AM to 6 PM has fixed working hours of 40 hours per week and 8 hours per day. However, the flexible work type is a system where employees autonomously set their own working hours without daily hour restrictions.

  • However, if there are mandatory work hours (core time) agreed upon with the company, employees must be working during those hours.

How to Set Up Flexible Work Type

  • [Settings][Work Types] → Click [Add Type] on the right → Select [Flexible Work]

  • Configure the basic detailed settings to add a flexible work type.

Description

Work Cycle Unit

The unit for determining required and overtime hours. For flexible work types, flex provides 1-week, 2-week, 3-week, 4-week, and 1-month units.

Work Cycle Start Date

The date when the work cycle begins. For a 1-month flexible work type, the start date is usually the 1st of each month.

Work Days

The days agreed upon between the employee and company as working days per the employment contract.

Weekly Holiday

Select the weekly holiday specified in the employment contract or the day for holiday premium pay.

Usually, only Sunday is the weekly holiday, and Saturday is a day off.

Average Work Hours

Enter the average daily work hours.
Usually 8 hours is entered.

Core Time

Mandatory work hours agreed upon between the employee and company per the employment contract.

Recommended Break Time

Enter the recommended break times for employees.

Usually the company's lunch time is entered. If there's a separate dinner time, that can also be entered.

If there are no fixed break times and breaks are flexible, delete the break time, click [Real-time Work Records] on the left, enable real-time work recording, then enable [Allow Break Time Recording]. Employees can then record breaks by pressing the break start/end buttons on web or app.

If no recommended break time is entered and employees cannot enter breaks manually, flex will automatically insert a 30-minute break in the middle of work hours when 4+ hours of work are recorded, per the Labor Standards Act.

Contractual Working Hours Calculation Basis

Select the basis for calculating contractual working hours for the work cycle.

flex provides the following 3 options:

  • Strict Labor Standards Act application

  • Adjusted to prevent shortfall

  • Compare work days with statutory contractual working hours

  • In the work type list, click the [No Employees Assigned] button within the flexible work type tab you just created.

  • Click [Add Employees] in the upper right, select the employees whose work type you want to change, then click [Change Employee Info] at the bottom → [Change Work Info] to update their work type.


FAQ

When do companies typically use flexible work?

It is commonly used in companies or roles with varying workloads depending on work days or project units, such as software development, research, and design, where work schedule coordination is needed.

What is core time?

Core time refers to the time period during which employees must be working, such as focus hours or mandatory work hours agreed upon between employees and the company. For example, if core time is from 2 PM to 5 PM, employees must have started or be in the middle of work by 2 PM, even though arrival and departure times are flexible.

How can I check if core time is being observed?

You can check on the Attendance Dashboard! Since arrival and departure times are flexible, setting and observing the agreed core time is important. The Attendance Dashboard allows you to view employees who have not complied with core time.

How is overtime determined for flexible work?

Contractual and overtime hours are determined based on the work cycle set in the work type. Unlike standard work types with fixed daily hours, flexible work calculates required hours and overtime based on total working hours within a specific 'cycle' such as '1 week' or '1 month'.
