Fixed Work Type Settings

The Fixed Work Type is suitable for companies that operate on a fixed check-in and check-out schedule, such as 9 to 6. Overtime is also automatically calculated based on the configured working hours and working days.

Work types can only be configured by administrators who have the permission to manage work types and policies.

Basic Settings

  • From the left menu at the bottom, go to [Settings] -> [Work Types] -> [Add Type] and select [Fixed Work].

  • You can enter the name of the work type and configure working days, weekly holidays, and more.

Weekly Holiday

The day designated as the weekly holiday (paid day off).

  • Weekly holiday (paid day off): A day on which employees receive pay as if they had worked, even though there is no obligation to work.

  • Labor Standards Act Article 55, Paragraph 1: Employers must guarantee at least one paid holiday per week to employees.

Typically Sunday

Start Time

Check-in time.

  • Lateness is determined based on the configured check-in time.

Typically 9:00 AM

Working Hours

The contractual working hours (so-called stipulated working hours) agreed upon with the employee.

  • Standard contractual working hours are 8 hours.

Typically 8 hours excluding lunch break

Recommended

Break Time

  • Employers must provide a break of at least 30 minutes for work periods of 4 hours, and at least 1 hour for work periods of 8 hours. Break time must be freely usable by the employee.

  • You can also add a dinner break using the recommended break addition feature.

Typically the company's lunch break time.

  • The flex team manages recommended break times with 12:30 PM – 1:30 PM as lunch and 7:00 PM – 8:00 PM as dinner.

  • For example, if the schedule is check-in by 9:00 AM, check-out at 6:00 PM, and lunch break from 12:00 PM to 1:00 PM, you can configure it as shown below.

Per-Day Work Settings for Work Type

  • If working hours or check-in times differ by day of the week, you can use per-day settings to apply different working hours and recommended break times for each working day.

    For example, this can be used if your company offers a benefit of leaving early by n hours every Friday, or if you have employees on pregnancy-related reduced hours :)

How to Configure

    • Click the [Per-Day Work Settings] tab in the upper right.

    • You can check the working hours and recommended break times configured in the basic settings.
      If you want to add working hours that differ from the basic settings, click the [Add] button on the left.

    • Set the applicable day, working hours, and recommended break time. When configured as shown in the example image below,
      Friday has a check-in time of 9:00 AM, but working hours are 6 hours, and lunch is from 12:00 PM to 1:00 PM .

    • After reviewing the settings, click [Basic Settings] in the upper left to return.
      If you have added multiple working hour settings, make sure the applicable days do not overlap with other added settings.

    • When per-day settings are added, you can access the Weekly Holiday Hours * Reference Hours per Day of Leave tab. This feature allows you to configure weekly holiday hours and the reference hours for one day of leave.

    • What is "Weekly Holiday Hours * Reference Hours per Day of Leave"?
      For example, this can be used when employees only leave early on Fridays (6 hours of work) but you want to grant leave based on 8 hours. It can also be used when an employee works reduced hours (6 hours) due to pregnancy but you want to set their leave and weekly holiday hours at 8 hours.

    • The reference hours per day can be calculated proportionally based on working hours, or you can use the [Manual Input] feature to set a fixed value (e.g., 8 hours). However, you cannot grant fewer leave hours than what would be given proportionally.

Overtime Record

  • The [Within Statutory Working Hours Overtime Settings] feature allows you to configure whether to distinguish between overtime within statutory working hours and general overtime. If your company does not differentiate between the two and compensates all overtime at a 1.5x rate, please disable this toggle.

Input Unit Restriction

  • Through the input settings within [Overtime Record], you can set overtime to be recorded only in specific time increments.
    The input unit restriction ensures that only overtime matching the designated unit can be entered.

    • For example, if the overtime input unit is 30 minutes, only 30, 60, 90, ... minutes of overtime can be entered.

Real-Time Work Record - Handling When Input Unit is Not Met

  • During real-time check-in/out, you can specify how to handle overtime that does not match the configured unit.

  • Rounding up increases the overtime to match the unit; rounding down decreases it.

  • When you configure the handling method when overtime input unit is not met, you can specify the behavior during real-time check-in/out when overtime that does not match the unit occurs.

    • By default, the adjusted time aligned to the policy will be provided, and you can see what time was adjusted from and to.

    • You can also confirm that work not matching the policy cannot be registered when entering work in your work timeline.

Minimum Overtime Input Duration

  • Overtime below the minimum input duration will not be recognized.

    • For example, if the minimum input duration is 60 minutes, overtime of 1 to 59 minutes cannot be registered.

Real-Time Work Record Feature

  • By enabling this feature, members can record their work through the app or the real-time work record feature.

On-Time Check-In/Out Settings

Using the On-Time Check-In/Out Recognition Range, administrators can recognize late check-ins as on-time and early check-outs as on-time within a configured time range.

  • Using the On-Time Check-In/Out Recognition Range, administrators can recognize late check-ins as on-time and early check-outs as on-time within a configured time range.

  • Example based on 9:00am - 6:00pm fixed work schedule

    a. On-Time Check-In/Out Recognition Range [ On-Time Only ] + [ Allow check-in earlier than scheduled start time: OFF ]

    • Work records cannot be created before the scheduled time; if a record is created after the scheduled time, it will be saved as-is.

    • Clicking [Start Work] before 9:00am will only show 'Scheduled on-time start at 9:00 AM' in the work widget, making 'Start Now' unavailable. From 9:01 AM onward, only the 'Start Now' button will be shown, allowing management of late arrivals.

    b. On-Time Check-In/Out Recognition Range set to [ 10 minutes ]

    • Work records created within 10 minutes before or after the scheduled time will be recognized as on-time.

    • Until just before 9:10am, both 'Start Now' and 'Scheduled on-time start at 9:00 AM' buttons are displayed for flexible check-in, and from just after 5:50pm, both 'End Now' and 'Scheduled on-time end at 6:00 PM' are displayed.

On-Time Check-Out Reflecting Actual Check-In Time

  • The On-Time Check-Out Reflecting Actual Check-In Time setting allows you to determine whether the actual check-in time is factored in when calculating the on-time check-out time.

Record Settings

  • You can configure the real-time work record settings applied to members.

Allow Check-In Earlier Than Scheduled Start Time

  • The Allow Check-In Earlier Than Scheduled Start Time setting lets you configure whether a work record can be created when checking in before the configured scheduled time.

    • Example based on 9:00am - 6:00pm fixed work schedule

      a. When Allow Check-In Earlier Than Scheduled Start Time is disabled,

      Work cannot be started before the scheduled time. Even if a member clicks [Start Work] at 8:50 AM, the work start will be scheduled and recognized from 9:00 AM.

      b. When Allow Check-In Earlier Than Scheduled Start Time is enabled,

      Work can be started and recorded before the scheduled time. If a member clicks [Start Work] at 8:50 AM, the work will be recorded as starting from 8:50 AM. If they check out at 6:00 PM, it may be considered 10 minutes of overtime.

Allow Members to Record Break Time

  • When Allow Members to Record Break Time Directly is enabled, members can manually record their break times through the app or web.

Handling When Check-Out Record is Missing

  • The Handling When Check-Out Record is Missing setting allows you to choose how work records are handled when no check-out record exists.

    a. Auto Check-Out: If a member's work has not ended within a certain period (20 hours from the time they pressed Start Work), the system automatically records work equal to the [Working Hours] defined in the work type.

    For example, if the [Working Hours] is 8 hours and a member starts work at 8:30 AM without checking out, the system automatically processes check-out at 5:30 PM (9 hours later, including 1 hour of break time).

    Note that during auto check-out processing, recommended break times are not prioritized; instead, a 30-minute break is automatically inserted in the middle of work for every 4 or more hours worked.

    For example, if your company's lunch break is from 12:00 PM to 1:30 PM and you have set that as the recommended break time,

    if a member starts work at 9:00 AM and is auto checked out, a 1-hour break will be arbitrarily inserted between 12:00 PM and 1:00 PM.

    b. Keep Only Check-In Record: Only the time when the member pressed Start Work is saved, allowing the member to manually enter the missing check-out time later (if they have work editing permission).

Default Settings When Checking Out

  • The Default Check-Out Settings allow you to configure the default settings for convenience features applied to members (default check-out method, work record confirmation).

Default Check-Out Method

a. Prioritize Check-Out at Current Time: Records the exact time the member presses the button.

b. Prioritize On-Time Check-Out: Records check-out based on the configured scheduled time or the check-in time. However, since members can still click the three-dot button when ending work to record the actual check-out time, it is not always possible to show only the on-time check-out button.

Review Today's Work Record When Checking Out

a. Always Require Review Before Checking Out: After pressing check-out, work records are saved after confirming the work.

b. Skip: Work records are saved immediately upon pressing check-out. Using the skip setting is more convenient when integrated with Secom/ADT Caps.

Automatic Work Record

  • You can enable [Automatic Work Record] at the bottom of the settings screen.

  • When this feature is enabled, members no longer have to manually enter their check-in and check-out times every day. Even if work is not recorded, the system automatically fills in work records each day in accordance with the company's check-in time and working hours.

  • For example, if the check-in time is set to 9:00 AM and working hours are 8 hours, enabling [Automatic Work Record] will have the flex system automatically enter work records from 9:00 AM to 6:00 PM.

    • Members benefit from having their hours filled in even if they forget to record, and administrators reduce the inefficiency of having to manage potentially empty work hours. This feature is typically enabled at workplaces that do not strictly manage attendance.

Advanced Settings

  • Allow Work Records Exceeding the Statutory Maximum Working Hours

    • flex restricts member work inputs to the statutory maximum working hours.

    • If this setting is enabled, work records exceeding 52 hours per week will be allowed.

  • Allow Work Records Below the Statutory Minimum Break Time

    • When work is registered, recommended break times are also registered together.

    • If recommended break times are not used, or if a member attempts to record a long work session with insufficient recommended break time, flex automatically inserts a 30-minute break for every 4 hours of work.

    • However, if this setting is enabled, breaks will not be forcibly inserted.


FAQ

Can I manage member lateness?

Let's assume the work type is set with a check-in time of 9:00 AM, as described in the work type settings above.

If a member presses Start Work at 9:01 AM, flex considers this a late arrival.

There are two ways to check for lateness.

  1. From the left menu, go to [Attendance Management] -> [Attendance Dashboard] -> [Late Arrivals] tab to view.

  2. Go to Work → Member Work → Report Download (top right) → Daily Work Hours to download and check each member's check-in and check-out times.

  • Using the check-in/check-out times and start/end times visible in the screen above, you can interpret each day's work records as follows.

    • 02-06, 02-07: Widget and work graph times are identical.

    • 02-08: Check-in/check-out stamp via widget is missing. Work graph registered from the My Work screen.

    • 02-09: Only check-in recorded via widget. Check-out stamp and work graph registration missing.

    • 02-10: Checked in at 10:00, checked out at 18:30, but the graph was modified to 09:30 - 18:30.

  • As in case 4, the member checked in at 10:00 but the work report shows a start time of 9:30, indicating that the member manually edited the work graph.

I want to delete a work type.

Work types serve as the basis for determining regular and overtime work for members. If there are past records under a work type, it cannot be deleted. For work type management purposes, try hiding the work type as shown below!

Will members be notified when a work type is changed?

Yes! When a work type is changed, members will receive both an in-product notification and an email notification!

What does "Set as Default Work Type" mean?

When a work type is set as the default, it will be automatically assigned when inviting new members.

Of course, this can be changed during and after the invitation process.

Can I also create work types for part-time workers under 40 hours per week, or ultra-short-hour workers under 15 hours per week?

What does "On-Time" mean in the Fixed Work Type?

For a member whose check-in time is set to 9:00 AM, the on-time check-out is 6:00 PM. Clicking [End On Time] when finishing work will record the check-out at the scheduled time of 6:00 PM. However, if the member's work graph has already been entered as 9:00 AM – 8:00 PM (e.g., via a recurring schedule entered before real-time work recording), the on-time check-out will be considered [8:00 PM].
For example, if a member has pre-entered their work graph for Thursday as shown below, their scheduled on-time check-out for that Thursday would be 9:30 PM.

If "Allow Check-In Earlier Than Scheduled Start Time" is disabled, the on-time recognition range is set to 20 minutes, and a member presses Start Work at 8:00 AM, what happens?

Work type settings

  • Allow Check-In Earlier Than Scheduled Start Time: Disabled

  • Check-In/Out Recognition Range: 20 minutes

  • Work Start Time: 8:30 AM

With these settings, work cannot be started before 8:30 AM.

Additionally, the recognition range means that check-ins between 8:30 and 8:50 will be recognized as on-time check-in at 8:30.

If Start Work is pressed at 8:00 AM, a work reservation for 8:30 AM will be activated.

Can the default check-out method be locked to the one set by the administrator?

While administrators can configure the default check-out method, members are able to change their own check-out method according to their work situation.

This is by design — to help members record check-out more conveniently and to accurately reflect actual working hours based on members' preferences and usability.

The feature is provided flexibly to respect members' work flow while maintaining company policy.

Is overtime configuration available on mobile as well?

Yes, it is available from mobile version 2.102.0 onward.

Please inform members to update the app after the settings are updated.

How does the overtime setting interact with on-time check-out and the 'Default Check-Out Method' option?

  • A. The 'Default Check-Out Method' option is used to set the target check-out time first, and then the time is adjusted according to policy.

  • For example, if the on-time check-out is 7:30 PM but checking out on time results in 45 minutes of overtime, and the company policy only recognizes overtime in 30-minute increments (rounding down),

  • the system will attempt to check out at 7:15 PM, reducing the overtime by 15 minutes.

Can overtime settings also be applied to holiday work and night work?

No, overtime settings are currently not applied to holiday work or night work.

Is there a way to record overtime that doesn't match the setting for just one day? For example, is there an option to record it after getting approval?

No, a method for recording exceptional overtime after receiving approval through an approval setting is not currently provided.

However, when an administrator registers work via 'Work Record Upload', the overtime policy will not be applied. If there is overtime that must be recorded, please have the administrator register it through an Excel upload.
