I Want to Prevent Employees from Editing Their Work Records

There are 2 ways to restrict employees from editing their own work hours.

We'll explain how each one works!

Work Edit Permission Settings

  • What is Work Edit Permission?

    • If the [Work Edit] permission is set to [Self Only] in the left menu Settings - Permission Settings - select permission group, the employee can enter and edit work records for past, present (today), and future dates.

  • If you revoke this permission, employees can only record work through the real-time clock-in/out feature.
    (Recurring schedules also cannot be registered)

    • If work hours need to be modified, an administrator must modify the work hours on behalf of the employee.

Notification Settings for Past Work Modifications

  • What is the Past Work Modification Setting?

    • This is a feature that allows you to set up notifications to designated approval references when an employee modifies their work records.

    • Go to [Settings] → [Work Policy & Approval] → click [Past Work Modification] and configure the approval.

  • What is the Editable Period?

    • Based on calendar days, modifications within the designated number of days can be made without approval/reference, and modifications after the designated period will trigger approval/reference to the administrator.

    • The editable period can be set from a minimum of 1 day to a maximum of 7 days.

    • Example) If the editable period is set to 1 day and today's date is February 11:

      • Employee registers work on February 11 → modifies work on the same day February 11 → No approval triggered

      • Employee tries to modify work for the previous day February 10 → No approval triggered

      • Employee tries to modify work for February 9 (two days ago) → Approval triggered

        In other words, modifying today's and yesterday's work does not trigger separate approval.

What setting allows employees to edit their work hours while enabling administrators to review and approve the edits?

  • Generally, you can grant work edit permission + set approval for past work modifications so that administrators can review modification history or reject/approve them.

FAQ

Can the editable period for past work modifications be set to 0 days?

Unfortunately, the editable period can currently only be set from a minimum of 1 calendar day to a maximum of 7 days.

Therefore, it is not possible to trigger approval for same-day and previous-day work modifications through the past work modification setting.

If you want approval to be triggered even for same-day work modifications, please set up approval/reference in the 'Work Policy' settings. In this case, notifications will be triggered when work is entered and modified. However, please note that for work policies other than 'Work' (such as field work, business trips, etc.), notifications are triggered not only when modifying work but also when recording through the real-time clock-in/out widget!

If work edit permission is removed, can recurring schedules still be registered?

Recurring schedule registration is a feature that can only be used when the self work edit permission is granted, so if the permission is removed, the recurring schedule registration button itself becomes disabled. Please note that if work edit permission is removed, work can only be recorded through the real-time clock-in/out widget.
