You can now view records exactly as work was performed.
Until now, in flex, if you wanted to keep real-time clock-in/out records, they could only be saved in a format that reflected approved work hours. From this update onwards, in addition to the hours reflected as approved work, you can also view the original timestamp data of members' real-time records.
You can view the start and end times of real-time work records
Until now, in flex, if you wanted to keep real-time clock-in/out records, they could only be saved in a format that reflected approved work hours. As a result, when it was necessary to check the actual times a member started and ended their records separately from the approved work hours reflecting company policy, this created operational difficulties.
For example, if the work start time is 9:00 AM but early clock-in before the scheduled start time is disabled, records were saved as follows.
Actual Clock-In Time | Time Reflected/Viewable in flex |
8:37 AM | 9:00 AM |
From this update onwards, in addition to the hours reflected as approved work, you can also view the original timestamp data of members' real-time records.
Actual Clock-In Time | Approved Work Hours | Time Reflected/Viewable in flex |
8:37 AM | 9:00 AM | Actual clock-in time: 8:37 AM Approved work hours: 9:00 AM |
Real-time record start and end times are based on when the member actually pressed the Work Start/Work End button
The record start and end times preserve accurate timestamp information independently from approved work hours.
They are not affected by adjustments made according to laws and company policies, such as the 52-hour limit or overtime entry policies.
Example: Early clock-in
Example: Early clock-in
Scheduled start time 09:00, early clock-in not allowed, clock-in punch at 08:50
Upon work finalization, the approved work record starts at 09:00 per policy
The record start time retains the actual clock-in punch time of 08:50 as-is
(Approved punch time: 09:00 / Actual punch time: 08:50)
Example: Exceeding 52 hours
Example: Exceeding 52 hours
Working until 16:00 reaches 52 hours this week, recording beyond the statutory work limit is not allowed, clock-out punch at 19:00
Upon work finalization, the approved work record ends at 16:00 so as not to exceed 52 hours
The record end time retains the actual clock-out punch time of 19:00 as-is
(Approved punch time: 16:00 / Actual punch time: 19:00)
Example: Overtime work record
Example: Overtime work record
Scheduled end time 19:00, overtime recognized from a minimum of 1 hour, clock-out punch at 19:16
Upon work finalization, the approved work record ends at 19:00 per policy
The record end time retains the actual clock-out punch time of 19:16 as-is
(Approved punch time: 19:00 / Actual punch time: 19:16)
When hours adjusted separately from the actual recorded time are approved as work hours due to company work approval policies or laws, the automatically adjusted value is used at the time of work finalization.
Whether real-time work records can be viewed depends on the work progress status and the permissions held.
The permissions required to view in-progress records needed for collaboration and work registration differ from those needed to view past records.
In-progress records: All records of members for whom you have the [Work View] permission can be viewed.
Completed or expired records: Only records of members for whom you have the [Real-Time Record View] permission (being added in this update) can be viewed.
When the feature is updated, the [Real-Time Record View] permission will be granted by default only to super admins.
To grant permission to team leads or members for collaboration purposes, please assign it separately.
You can configure real-time records to not be reflected in work records
You can choose whether to reflect real-time records as work hours at clock-out.
Previously, there was no separate option — approved work hours were always determined by real-time records.
This is useful for companies whose policy is to use clock-in/out records solely for attendance tracking purposes, and only recognize overtime that has been separately requested and agreed upon.
The behavior at clock-out differs depending on the reflection option selected.
Reflection option ON (default): Real-time records are adjusted based on laws and policies and reflected in approved work hours.
Reflection option OFF: Real-time records remain as reference data only and do not affect approved work hours.
Real-time records can be edited after the fact
Records can be corrected in situations such as missed or incorrectly saved real-time records.
The [Real-Time Record Edit] permission is required to make edits.
Edits can only be made to records of members for whom you hold the permission. Please grant permissions according to your company's policy.
