Real-time Work Record Use Cases

Practical scenarios for using real-time attendance records: overtime management, flexible work, late arrivals, and unofficial overtime.

The real-time attendance recording feature lets you accurately understand actual work patterns that were previously difficult to track.

Use the examples below to find the best approach for your company!

1. Operating an Overtime Pre-Approval Policy

Situation

  • You want to recognize overtime only when it has been approved in advance, but also want to reference members' actual stay time.

Setup

  1. In work type settings, set "Reflect real-time work records as work hours" to OFF

  2. When overtime occurs, operate a workflow (separate request form) for pre-approval

  3. Only approved overtime is manually reflected by the administrator in the recognized work graph (thick bar)

Real-time Record Utilization Points

  • Members staying late without pre-approval can be identified through the real-time record (thin line)

  • Checking the Real-time Record End Time in the daily attendance report allows you to analyze the difference between actual clock-out and recognized clock-out times

  • Members or departments with frequent unofficial overtime can be identified for workload adjustment

Key point: Combine Reflect OFF + workflow so that only separately requested overtime is recognized, while real-time records serve as a reference for actual stay time.


2. Tracking Attendance in a Flexible Work Company

Situation

  • You use selective work or staggered work types so members have varying clock-in/out times, and you want to check whether core hours are being observed.

Setup

  1. Use the selective work type or staggered work type

  2. Setting "Reflect real-time work records as work hours" to ON automatically records work with just a clock-in/clock-out button press

Real-time Record Utilization Points

  • The real-time record (thin line) lets you understand actual clock-in/out patterns per member

  • If core hours are set (e.g., 10:00–16:00), you can check core hour compliance using the Real-time Record Start Time in the daily attendance record

  • Clock-in/out patterns by team or department can be analyzed to optimize collaboration time slots

Key point: Selective/staggered work types + real-time records let you understand actual clock-in/out patterns per member and check core hour compliance.


3. Strengthening Late Arrival / Early Departure Management

Situation

  • Due to policy adjustments such as not allowing early clock-in, the recognized clock-in time is recorded as on time, but you want to accurately identify members who are actually arriving late.

How to Check

  1. Download the [Attendance Management] → [Work Management] → [Attendance Report] → [Daily Attendance Record]

  2. Compare the Start Time (recognized clock-in time) with the Real-time Record Start Time (actual clock-in tap)

  3. Filter for members whose recognized clock-in time is on time but real-time record start time is late

Real-time Record Utilization Points

  • Comparing Recognized Clock-in Time (policy-adjusted) vs. Real-time Record Start Time (actual) lets you understand actual late arrival patterns

  • Filtering in Excel where Real-time Record Start Time > Start Time lets you instantly identify members who clocked in late in reality even though they are not marked as late according to policy

  • Early departures can similarly be identified by comparing End Time (recognized) vs. Real-time Record End Time (actual)

Key point: Compare Recognized Clock-in Time (policy-adjusted) vs. Real-time Record Start Time (actual) to accurately understand the actual late arrival situation.


4. Overtime Management

Situation

  • You operate an overtime approval policy, but want to identify whether any members are working overtime unofficially without approval.

How to Check

  1. Download the daily attendance record report

  2. Compare the End Time (recognized clock-out time) with the Real-time Record End Time (actual clock-out tap)

  3. A member whose recognized clock-out is 18:00 but real-time record end time is 20:00 → 2 hours of unofficial overtime occurred

  • Identifying members or departments with frequent unofficial overtime can inform decisions about workload redistribution or headcount additions

  • Accumulating unofficial overtime data over time provides evidence for optimal staffing and work efficiency improvements

Adding Additional Work on the Same Day While Real-time Work Recording Is Active

  • Even while real-time work recording is active, if a member has Work Edit permission, they can directly register overtime, off-site work, business trips, etc. from [Work] → [My Work].

Previously, members could not add same-day work while real-time work recording was in progress. Now they can, as long as they have Work Edit permission.

Differences Based on "Reflect Real-time Work Records as Work Hours" Setting

  • When a member adds same-day work, the result varies depending on the "Reflect real-time work records as work hours" setting in [Attendance Management] → [Work Types] → the relevant work type → [Advanced Settings].

The real-time work record overwrites the recognized work graph (thick bar). Work additionally registered by the member is also adjusted based on the real-time record.

Reflect OFF

The real-time work record remains separately, and the recognized work graph (thick bar) individually registered by the member or administrator is maintained as-is.

TIP: If your company requires members to directly register same-day overtime or off-site/business trip work, setting Reflect OFF and managing the recognized work graph separately is appropriate.


FAQ

Can I check real-time record data in Excel?

Yes. Download the report from [Attendance Management] → [Work Management] → [Attendance Report] → [Daily Attendance Record] and you can check real-time records in Excel using the Real-time Record Start Time and Real-time Record End Time columns.

Can members directly register same-day overtime while real-time work recording is active?

Yes. If a member has Work Edit permission, they can directly register overtime, off-site work, business trips, etc. from [Work] → [My Work]. Previously, adding same-day work while real-time recording was active was not possible, but now it is.
