Registering Leave and Managing My Leave on flex Web

flex has annual leave and custom leave. Annual leave refers to legally mandated paid time off.

Custom leave refers to leave other than annual leave. This includes legally guaranteed leave such as military reserve training and prenatal/postnatal leave, but can also include company-specific leave such as refresh leave.

Registering Annual Leave

  • Click the [Leave] menu on the left, then click the [Annual Leave] card to register annual leave!

  • Select the dates, and use the [Detailed Schedule] editing feature to register leave schedules in detail, including half-day and hourly leave!

  • When using morning/afternoon half-day leave, click the cup button on the right to include break time with the half-day leave.

    • If your work hours do not include lunch time, please include lunch time when using half-day leave.

  • You can check previously registered leave schedules. Click on a registered schedule to check the approval status or cancel the registered leave.

  • When registering consecutive leave days, select the dates (e.g., the 29th and 30th) you want to take leave for, then click [Need to edit detailed schedule?] at the bottom.

    • If you register leave directly without clicking "Need to edit detailed schedule?", both the 29th and 30th will be counted as full-day leave, and 2 days will be deducted.

    • Click [Need to edit detailed schedule?] to register half-day or hourly leave schedules at once, such as morning half-day on the 29th and afternoon half-day on the 30th.

Registering Custom Leave

  • The process for registering custom leave is the same as registering annual leave. However, since custom leave may have different operating policies for each company unlike statutory annual leave, we recommend checking the precautions before registering.

For this example leave, [Paid Leave] and [Full-day registration only] are available, so it cannot be split into half-day or hourly leave.

  • Depending on the type of leave you are registering, submitting supporting documents and an approval process may be required. Please proceed step by step according to the registration process!

Viewing Detailed Annual Leave Status and Annual Leave Usage Plan Documents

  • Click the [Annual Leave Details] tab to check the number of statutory annual leave days to be granted this year, [future] upcoming annual leave, scheduled leave usage, and quantities scheduled to expire.

  • Hover over the table to see detailed reasons for granting, expiration, and usage.

  • In the [Annual Leave Usage Plan] tab, you can view the plan document you submitted or the annual leave usage plan document notified by the company.


FAQ

I'm trying to register military reserve training or health leave, but I can't see them!

flex distinguishes between male and female using the last digits of the resident registration number. If you cannot see leave that is granted differently based on gender, please check in [My Profile] -> [Personal Information] tab whether your resident registration number has been fully entered including the last digits.

I tried to register leave, but it says it's a schedule confirmed by the company and won't cancel!

If you've received compensatory leave or if an administrator at your company has processed attendance closing, you cannot change schedules such as leave cancellation! Please contact your administrator for these matters!

  • If schedule modification is difficult due to compensatory leave: The compensatory leave must be manually revoked, the schedule cancelled, and compensatory leave re-granted.

  • If schedule modification is difficult due to attendance closing: The administrator must release the attendance closing.

By when do I need to use annual leave (monthly leave) that is about to expire?

Annual leave and monthly leave typically expire after one year. For annual leave, you must register and actually use the leave by December 31st of the current year to prevent expiration. Monthly leave must also be registered before it expires. For example, if you have 1 annual leave (monthly leave) expiring on May 8th, you must register the leave date before May 8th and actually use it.

If I register leave for next year in advance, will it be deducted from next year's annual leave?

If you register leave for next year in advance, it will not be deducted from next year's annual leave but from the remaining annual leave at the time of registration.

I want to check the expiration date and usage period of the leave I received.

If you want to check the usage period (expiration date) of custom leave other than annual leave, such as refresh leave that was directly granted by an administrator or automatically granted after meeting a tenure requirement, click [Leave] in the left menu, click [Leave Overview], select the leave you want to check, then click the leave name in the upper left to view the details and usage period of the granted leave.

Can I register additional leave on a day when I already have half-day/hourly leave registered?

If half-day or hourly leave is already registered for that date, you can register additional leave for non-overlapping hours.

For example, if you registered 4 hours of compensatory leave as morning half-day, and want to register an additional 4 hours of annual leave, select 'afternoon half-day' to register.
