How to Check Overtime Hours (PC, Mobile, Excel)

You can check and manage overtime hours based on members' work records. This is most commonly used during payroll settlement.

In addition, daily and period-based work reports for overtime hour management can be submitted as supporting documentation to government offices, labor inspections, and other authorities.

Using the Attendance Management Dashboard

  • In [Attendance Management] → [Work Management] → [Attendance Dashboard], you can view detailed overtime hours and types for each member by the selected period.

  • For flexible work schedule types, be sure to select the [Cycle] filter when searching!

Checking on Mobile

  • Admins with [Attendance Dashboard] permission can check the information as shown below via the mobile app under [More] -> [Member Work] -> [Attendance Dashboard].

Checking Work Hours via Excel

You can download members' total work hours for a specific period, as well as detailed daily work records and overtime details, in Excel format.

To download member work reports, the [Member Attendance Statistics View] permission is required.

Users with this permission can download reports from the Member Work or Attendance Dashboard screen.

  • Click [Attendance Management] → [Work Record Management] → [Member Work Records] from the left menu.

  • The [Member Work Records] report allows you to check all basic work-related information including clock-in/clock-out times, work hours, and daily approval status.

  • For accurate work hour verification, we recommend downloading the file with the query period set to the cycle unit configured for your work schedule type (1 week or 1 month).

    • Fixed, staggered, and shift work schedule types: 1-week unit

    • Monthly flexible work schedule type: 1 month

    • Note that both member work and overtime work record reports can be downloaded in units of up to 2 months at a time. If you need a longer period, please download in 2-month increments.

  • On the download screen, review the descriptions for each item from Query Unit through Night Work, then click [Download].

  • Query Unit

    This option lets you configure how records within the selected period are displayed.

    For example, when viewing 30 days of records for 10 members:

    • [Daily Detail View] → One row per member per day. (300 rows total)

    • [Period Summary View] → One row per member summarizing the entire period. (10 rows total)

  • Query Target

    • All: Download work records for all members in your company.

    • By Organization: Download work records for members within a specific organization.

    • By Member: Download work records for a specific member.

  • (Available only in Daily Detail View query unit) Show break start/end times

    When this option is enabled, the start and end times of breaks that occurred during the day will also be displayed in the report.

    For example, if work hours were 9:00–18:00 with a break from 12:30–13:30, the report will display as follows depending on the setting.

  • Night Work Item View

    When this option is enabled, you can view night work hours that are recorded separately in a consolidated format.

    For example, for a night shift worker who works 15:00–24:00 and extends until 1:00 AM, the report will display as follows depending on the setting:

    • Setting ON → Night: 2 hours, Extended night: 1 hour

    • Setting OFF → Night: 3 hours, Extended: 1 hour

    We recommend using the ON setting to check overtime based on total work hours, and the OFF setting when you want to see all night work hours at a glance.

TIP: How to use clock-in/clock-out time data vs. start/end time data in reports

The [Clock-In Time] and [Clock-Out Time] columns show the time punched using the real-time widget, while the [Start Time] and [End Time] columns show the registered work hours as they appear in the final work screen.

If the report shows data as above, each day's work can be interpreted as follows:

  • 02-07: Clocked in at 09:30 and out at 18:33 via widget → Same values reflected in the Work menu

  • 02-08: Clock-in and clock-out via widget were missed → Work registered manually in the Work menu as 10:00–18:30

  • 02-09: Clocked in at 09:30 via widget, clock-out missed → No registration in the Work menu either

  • 02-10: Clocked in at 10:00 and out at 18:30 via widget → Work re-registered in the Work menu as 09:30–18:30

  • When you click the Download button at the bottom, the daily/period-based work report download will begin. Once the download is complete, the file will either download automatically or a notification will be sent via email or the flex notification screen. Click the notification to download the Excel file.

Downloading Member Overtime Work Records

  • Click [Attendance Management] → [Work Record Management] → [Member Overtime Work Records] from the left menu. The member overtime work records report allows you to check overtime items required for compensation.

  • You can check the remaining compensation hours after deducting the overtime incurred during a specific period, comprehensive contract deductions, and compensatory leave granted. For accurate time verification, we recommend downloading the file with the query period set to the payroll settlement cycle unit (1 month).

  • Query Unit: Configure how records within the selected period are displayed.

    For example, when viewing 30 days of records for 10 members:

    • [Daily Detail View] → One row per member per day. (300 rows total)

    • [Period Summary View] → One row per member summarizing the entire period. (10 rows total)

  • The overtime items included in the report are determined by the [Overtime Item Usage Settings] selected in [Overtime Settings].

FAQ

What are the detailed items when selecting [Period Summary View] in the member work period report?

  • Standard Hours for Ordinary Wage Calculation: Target scheduled work (hours) + Paid leave (hours) + Holiday (hours) + Weekly holiday (hours)

  • Total Work (hours): Total actual work hours

  • Scheduled Work (hours): Contracted hours for base salary agreed between the company and the member

  • Target Scheduled Work (hours): Scheduled work hours - Leave (hours) - Holiday (hours)

  • Actual Scheduled Work (hours): Actual work hours corresponding to base salary

  • Paid Leave (hours): Hours of paid leave used

  • Unpaid Leave (hours): Hours of unpaid leave used

  • Holiday (hours): Public holidays, substitute holidays, or company-designated holidays on scheduled workdays

  • Recognized Weekly Holiday Pay (hours): Hours for which weekly holiday pay is recognized

  • Weekly Holiday (hours): Paid holiday hours

What are the detailed items when selecting [Daily Detail View] in the member work period report?

  • Work Policy: The name of the work record entered in the [My Work] menu

    • Work: Type and hours recorded as work under the work policy

    • Break: Hours recorded as "Break" in the work record

  • Leave Policy: The name of the leave record entered in the [Leave] menu

  • Daily Approval Status: Current status of the approval process

    • Approved: All approvals are completed

    • Pending Approval: Approval is still in progress (accurate records can only be confirmed after approval is complete)

  • Registration Message: Message entered when submitting a work or leave request

  • Holiday Type: Indicates whether the day is a day off or weekly holiday

  • Clock-In Time: The time the clock-in button was pressed via the work widget

  • Clock-Out Time: The time the clock-out button was pressed via the work widget

  • Start Time: The start time of work hours registered in Work → My Work

  • End Time: The end time of work hours registered in Work → My Work

  • Break Time: Recorded break time

  • Total Work: Total recorded work hours

  • Leave Hours: Leave hours used

What is "Recognized Weekly Holiday Pay (hours)" in the period report?

Under the Labor Standards Act, employers are required to guarantee workers at least one paid holiday per week on average. This refers to the weekly holiday hours accrued per period. For more details on weekly holiday pay eligibility criteria, please refer to the guide on the right! Go to Guide

What is overtime within statutory working hours?

Overtime within statutory working hours refers to work that extends up to the standard working hours stipulated in Article 50 or Article 69 of the Labor Standards Act, when the agreed scheduled working hours under a collective agreement, work rules, or employment contract are set below those statutory standards, and this extension is made by mutual agreement between the parties.

Both court rulings and administrative interpretations commonly hold that overtime as defined in Article 56 of the Labor Standards Act refers to work exceeding 40 hours per week / 8 hours per day under Article 50, or 7 hours per day / 40 hours per week under Article 69. Therefore, work that exceeds the agreed working hours between the employer and employee but remains within the statutory standard working hours under Articles 50 and 69 is not considered overtime subject to premium pay under Article 56 of the Labor Standards Act.

Simply put, overtime within statutory working hours is

overtime within statutory working hours that occurs when the total work hours in a given cycle exceed the hours agreed upon between the member and the company, but the actual work hours remain within the statutory scheduled working hours.

Therefore, although it is overtime, it is generally held that the employer has no obligation to pay an additional 0.5x premium.

Here are some simple examples.

  • If you take a half-day (4h) leave during an 8H scheduled workday and work 6h:

    • In terms of total recognized work hours, 10H of work was done, resulting in 2 hours of overtime.

    • However, since the actual work hours are 6H, which is less than the statutory 8H per day, those 2 hours of overtime are calculated as overtime within statutory hours, not as extended overtime.

  • If, during a 40H weekly schedule, you take 1 day of annual leave, work 8H on each of 4 days, and work 4H overtime on Saturday:

    • In terms of total recognized work hours, 44H of work was done, resulting in 4 hours of overtime.

    • However, since the actual work hours are 36 hours, which is less than the statutory 40 hours per week, those 4H are calculated as overtime within statutory hours.
