Checking Employee Work Records (Excel)

You can download an Excel file containing employees' total work hours within a specific period, as well as detailed daily work records and overtime history.

To download the employee work report, the [View Employee Attendance Statistics] permission is required.

Users with this permission can download the report from the Employee Work or Attendance Dashboard screen.

Downloading Employee Work Records

  • Click [Attendance Management] → [Work Record Management] → [Employee Work Records] from the left menu.

  • The [Employee Work Records] report lets you check all basic work-related information, including clock-in/clock-out times, work hours, and daily approval status.

  • For accurate work hour verification, we recommend downloading the file with the query period set to the cycle unit (1 week or 1 month) configured in the work type.

    • Fixed, Flex-time, and Shift work types: 1-week unit

    • Monthly selective: 1 month

  • On the download screen, review the descriptions for each option from Query Unit to Night Shift Item View below, then click [Download]. Note that work records can only be downloaded for a maximum of 2 months at a time. If you need more than 2 months of records, please download them in 2-month increments.

  • Query Unit

    This option lets you set how records within the selected period are displayed.

    For example, when viewing 30 days of records for 10 employees:

    • [Daily Detail View] → One row per employee per day. (300 rows total)

    • [Group by Period] → One row summarizing the entire period per employee. (10 rows total)

  • Query Target

    • All: Download work records for all employees in the company.

    • By Organization: Download work records for employees within a specific organization.

    • By Employee: Download work records for a specific employee.

  • (Available only in the Daily Detail View query unit) Show Break Start/End Times

    When this option is enabled, the start and end times of breaks that occurred during the day will also be shown in the report.

    For example, for a work schedule of 9:00–18:00 with a break from 12:30–13:30, the report will appear as follows depending on the option setting.

  • Night Shift Item View

    When this option is enabled, you can view consolidated night shift hours that are recorded separately.

    For example, for a night shift worker on a 15:00–24:00 schedule who works overtime until 1:00 AM, the report will appear as follows depending on the option setting:

    • Setting ON → Night: 2 hours, Overtime/Night: 1 hour

    • Setting OFF → Night: 3 hours, Overtime: 1 hour

    We recommend using the ON setting to check overtime based on total work hours, and the OFF setting when you want to see all night shift hours at a glance.

TIP: How to use Clock-In/Clock-Out time data vs. Start/End time data in the report

The [Clock-In Time] and [Clock-Out Time] columns show the times the button was tapped using the real-time widget, while the [Start Time] and [End Time] columns show the registered work hours that are ultimately displayed on the work screen.

  • If the report looks like the above, you can interpret each day's work record as follows:

    • 02-07: Clocked in at 09:30 and out at 18:33 via widget → Same times shown in the Work menu

    • 02-08: Clock-in and clock-out via widget were missed → Work hours 10:00–18:30 registered manually in the Work menu

    • 02-09: Clocked in at 09:30 via widget, clock-out missed → No registration in the Work menu either

    • 02-10: Clocked in at 10:00 and out at 18:30 via widget → Work hours re-registered as 09:30–18:30 in the Work menu

  • When you click the Download button at the bottom, the download will begin. Once complete, the file will either download automatically or a notification will be sent via email or the flex notification screen. Click the notification to download the Excel file.

Downloading Employee Overtime Records

  • Click [Attendance Management] → [Work Record Management] → [Employee Overtime Records] from the left menu. The employee overtime records report lets you check overtime items needed for compensation.

  • You can check the remaining compensation hours after subtracting overtime hours accrued during a specific period, deductions from comprehensive contracts, and compensatory leave granted. For accurate time verification, we recommend downloading the file with the query period set to the payroll settlement cycle (1 month).

  • Query Unit: Set how records within the selected period are displayed.

    For example, when viewing 30 days of records for 10 employees:

    • [Daily Detail View] → One row per employee per day. (300 rows total)

    • [Group by Period] → One row summarizing the entire period per employee. (10 rows total)

  • The overtime items included in the report are determined by the [Overtime Item Usage Settings] selected in [Overtime Settings].

FAQ

What are the detailed fields when selecting [Group by Period] in the employee work period report?

  • Standard Hours for Ordinary Wage Calculation: Target contracted work hours + Paid leave hours + Holiday hours + Weekly holiday hours

  • Total Work (hours): Total actual hours worked

  • Contracted Work (hours): The contracted hours for base pay agreed upon between the company and the employee

  • Target Contracted Work (hours): Contracted work hours - Leave hours - Holiday hours

  • Actual Contracted Work (hours): Actual hours worked corresponding to base pay

  • Paid Leave (hours): Hours of paid leave used

  • Unpaid Leave (hours): Hours of unpaid leave used

  • Holiday (hours): Public holidays, substitute holidays, or company-designated holidays on scheduled workdays

  • Recognized Weekly Holiday Pay (hours): Hours for which weekly holiday pay has been recognized

What are the detailed fields when selecting [Daily Detail View] in the employee work period report?

  • Work Policy: The name of the work record logged in the [My Work] menu

    • Work: The type and hours recorded as work under the work policy

    • Break: Hours recorded as "Break" in the work record

  • Leave Policy: The name of the leave record logged in the [Leave] menu

  • Daily Approval Status: The current state of approvals

    • Approved: All approvals have been completed

    • Pending Approval: Approval is still pending (accurate records can only be confirmed once approval is complete)

  • Registration Message: You can check the reason left by the employee when registering work or leave.

  • Holiday Type: Indicates whether it is a day off, weekly holiday, or rest day.

    • A day off is typically Saturday, a weekly holiday is typically Sunday, and a rest day refers to days added under Settings - Rest Day Settings. Public holidays are typically displayed as 'Rest Day' in the holiday type column.

  • Clock-In Time: The time the clock-in button was tapped via the work widget

  • Clock-Out Time: The time the clock-out button was tapped via the work widget

  • Start Time: The start time of the work hours registered under Work → My Work

  • End Time: The end time of the work hours registered under Work → My Work

  • Break Time: The recorded break time

  • Total Work: Total hours of recorded work

  • Leave Hours: Hours of leave taken

What is "Recognized Weekly Holiday Pay (hours)" in the period report?

Under the Labor Standards Act, employers are required to guarantee workers at least one paid day off per week on average. This refers to the hours during which weekly holiday pay has been recognized for that period. For more details on determining weekly holiday pay eligibility, please refer to the guide on the right! What is intra-legal overtime?

Intra-legal overtime refers to work extended up to the statutory standard hours set forth in Article 50 or Article 69 of the Labor Standards Act, when the contracted work hours stipulated in a collective agreement, work rules, or employment contract are set below the statutory standard hours, and when extended by agreement between the parties.

Case law and administrative interpretations both hold that overtime work as defined in Article 56 of the Labor Standards Act refers to overtime work exceeding the 40 hours per week/8 hours per day set forth in Article 50, or the 7 hours per day/40 hours per week set forth in Article 69. Therefore, work that exceeds the agreed-upon hours between employer and employee but remains within the standard working hours of Articles 50 and 69 does not constitute overtime subject to premium pay under Article 56 of the Labor Standards Act.

Simply put, intra-legal overtime is

work that occurs when the total work hours in a given cycle exceed the hours an employee contracted with the company, but the actual hours worked remain within the statutory standard hours — this is overtime within legal working hours.

Therefore, while it is overtime, it is generally considered that the employer has no obligation to pay an additional 0.5x premium.

Here is a simple example.

If an employee with 8H contracted daily work takes a 4H half-day leave and works 6H:

  • In terms of total recognized work hours, 10H of work was performed, resulting in 2 hours of overtime

  • Since the actual hours worked (6H) are below the statutory daily limit of 8H, the 2 hours of overtime are calculated as intra-legal overtime, not regular overtime.

If an employee with a 40H weekly contracted schedule takes 1 day of annual leave, works 8H on each of 4 weekdays, and works 4H overtime on Saturday:

  • In terms of total recognized work hours, 44H of work was performed, resulting in 4 hours of overtime.

  • However, the actual hours worked are 36 hours, which is below the statutory weekly limit of 40 hours, so the 4H are calculated as intra-legal overtime.

What is cycle overtime?

A cycle refers to the reference period used to determine contracted work and overtime.

If an employee's contract specifies 8H per day and 40H per week, the cycle would be day/week.

For a monthly selective work type, the cycle would be one month.

Therefore, cycle overtime refers to work records that indicate whether work is overtime when evaluated on a cycle basis. A common example is work on Saturday, which is a non-working day.

If an employee has completed the standard 40 hours during the week, Saturday work can be counted as overtime.

However, if an employee who has not completed 40 hours works on Saturday, it cannot be considered overtime.

Therefore, cycle overtime is displayed on the 'last day of the cycle' in the daily attendance records.

This day may be Sunday, or in the case of monthly selective work, it may be the last day of the month.

Is it possible to download work records for only a specific employee?

Currently, the feature to download work records for only a specific employee is not available. If needed, please download the daily or period report and use the filter function within the Excel file to edit it separately.

I want to download the work report but cannot select a date.

If you are unable to select a date when downloading a daily or period report, please check the following.

When downloading employee work records, the query period may be fixed to 2-month increments. Please click the [Reset] button in the upper right corner of the date selection screen to set the query period again.

I want to download a full year of work records.

Both the employee work records and overtime records reports can only be downloaded in maximum 2-month increments to ensure data stability.

If you need to download work records for a year or longer, please download them in 2-month segments!
