You can freely customize the Excel format for ERP uploads to fit your workflow!
From standard formats to the Douzone iCube dedicated format, manage your journal entries more conveniently with a variety of options and a preview feature.
Accessing the Journal Entry Export Excel Format Settings Menu
Click [Expense Management] in the left menu → [Settings] in the top right → [Journal Entry Export Excel Format Settings].
Click [Add Format] in the top right of the [Journal Entry Export Excel Format Settings] screen to configure the Excel format to export, tailored to the ERP you use.
Journal Entry Export Standard Format Settings
Click [Add Field] at the bottom of the format to add [Single], [Combined], or [User Input] type fields.
When adding a [Single] type field, you can select receipt and journal entry data provided by flex and map it to the field.
When adding a [Combined] type field, as shown in the example below, if you select integration data as transaction type and transaction date respectively, you can see it displayed as transaction type/transaction date.
When adding a [User Input] type field, you can enter content in the field, and the entered content will be populated in the Excel file.
[Integration data] includes payment information, receipt information, expense report document information, journal entry information, and other information — no additional data outside of these can be added.
You can reorder fields by dragging and dropping on the left side of each field, or click a field to rename it. When you change the field order or name, the order and field names displayed in the Excel file will also change.
Once you have configured all the fields, check the [Preview] screen at the very top of the [Journal Entry Export Excel Format Settings] screen to see how the format you are editing will actually be exported as an Excel file!
Journal Entry Export Douzone iCube Format
Click [Add Format] in the top right of [Journal Entry Export Excel Format Settings], then click the iCube format to access the dedicated format that can be uploaded in Douzone iCube\'s [Automatic Journal Entry Processing].
Required fields for iCube uploads cannot be deleted.
Company code, accounting unit, project code, reason type, etc. can be entered manually.
However, values are not entered in all fields — they are automatically populated only in the fields required for VAT processing.
Also, the iCube dedicated format does not support adding additional single, combined, or other field types separately.
Once you have configured all the fields, check the [Preview] screen at the very top of the [Journal Entry Export Excel Format Settings] screen to see how the format you are editing will actually be exported as an Excel file!

Yes. Click the gear icon button in the top right of the [Journal Entry Export Excel Format Settings] screen, then click the three-dot button to the right of the format you want to edit to rename the format. After changing the format name, click the [Edit] button on the right.

Yes. Click the gear icon button in the top right of the [Journal Entry Export Excel Format Settings] screen, click the three-dot button to the right of the format you want to edit, then click [Delete] to delete the format. Please note that once a format is deleted it is difficult to recover, so make sure to confirm it is the correct format to delete before proceeding.

Yes. Click the gear icon button in the top right of the [Journal Entry Export Excel Format Settings] screen, click the three-dot button to the right of the format you want to edit, then click [Set as Default] to set the format as the default.
A format set as the default cannot easily be deleted. If you wish to delete it, please unset it from [Set as Default] first, then delete it.

For most ERPs, you can customize the standard format for upload. Douzone iCube cannot be handled with the standard format, which is why we prepared a dedicated format. If the ERP you use is as complex as iCube, please send us a feature improvement request along with the relevant Excel file via live chat support, and we will review whether to provide a dedicated format.
