If you have already completed report creation, you can share the created report with members, as well as edit and revoke it.
Creating an Evaluation Report
Click on the template you want to share the evaluation result report for, then click [Add Evaluatee] at the bottom.
From the add evaluatee list, select the person(s) for whom you want to create an evaluation report, then click the [Add] button at the bottom.
Once you add evaluatees, their reports will be generated. Report generation may take a moment, so please wait.
If report generation fails, you can click the [Retry] button in the top banner to regenerate the report.
If you want to preview the generated evaluation report before sharing it, click on the member's name area to view the generated report.
If you want to edit the AI-generated draft or if the AI draft text is turned off and an admin needs to add a diagnostic comment, please refer to the section below!
Editing AI Draft Report Content
After editing, click the [Save] button at the bottom to apply the changes to the report.
If you want to discard your manual edits and restore the AI-generated draft, click the [Revert to Draft] button.
Writing Evaluation Report Diagnostic Results Manually
If the [Generate AI Draft Text] setting was disabled in the evaluation report template settings, after generating the report, an admin can manually write the grade result interpretation for each evaluatee's report.
After entering the overall evaluation content, click the [Save] button at the bottom to save your entries.
Scheduling Evaluation Report Sharing
Once you have finished generating the report and reviewing all content to be included, you can use the report sharing schedule feature to
set who to share the report with and when.
Before sharing the evaluation report with recipients, be sure to do a final review of each member's generated evaluation report before sharing!
You can add a sharing schedule specifying who to share the report with and when. Up to 10 sharing schedules can be created.
Once the sharing schedule is set, you can check the number of scheduled entries from the [Schedule Sharing] button at the top. You can modify the sharing schedule settings until the report is sent.
When using the report sharing schedule feature to bulk share evaluation result reports with members' team leaders,
an in-product notification and email notification will be sent to the team leaders.
By clicking the notification that evaluation results have arrived, team leaders can view the evaluation reports of their team members and navigate through the member list on the left to review each member's evaluation report.
When multiple report templates have been shared with a recipient such as a team leader, the recipient can click the dropdown on the right side of the title area at the top of the report screen to view the list of shared reports.
For example, if two or more report templates have been shared based on the same evaluation results, the user can select the desired report from the dropdown to switch between and compare the contents.
In other words, even for the same evaluation results, if multiple report templates have been shared, each report is displayed separately, and the recipient member can select a report template to view the evaluation report.
Sharing Evaluation Reports Individually
Before sharing the evaluation report with recipients, be sure to do a final review of each member's generated evaluation report before sharing!
After the report is generated and all content has been reviewed, click the dropdown button in the report sharing area to select the recipient and share the report.
Reports are not automatically shared immediately after generation; members can only view the report after the admin designates a sharing recipient and shares it manually.
Clicking the [Share Report] button displays 5 default sharing target groups (Self / 1st-level Team Leader / 2nd-level and above Team Leader / Downward Evaluator / Evaluation Manager). Select a default sharing target group and click the [Share] button to share the report with the selected recipients.
In addition to the default sharing target groups, you can search for a member's name to add them as a sharing target, allowing you to individually share the report with a third party.
If the report template is separated into versions for members and team leaders, you must select recipients that match the template when sharing. Sharing with the wrong recipient may result in an unintended report being delivered, so please verify before sharing.
If you need to add or modify sharing recipients, click the dropdown button in the report sharing area to add or remove recipients.
Once sharing is complete, you can check who the report is currently shared with from the [Sharing Recipients] list.
Revoking and Deleting Evaluation Reports
If you need to revoke a report, click the More (···) button on the right side of the sharing recipients list, then select [Revoke Report] to revoke the shared report. Note that email notifications or in-product sharing notifications that have already been sent cannot be recalled.
As soon as the report is revoked, the recipient can no longer view it. Also, if a recipient tries to access the report through a previously received sharing notification, they will see [Deleted Report].
If you need to revoke at once a report shared with multiple people, select the checkbox to the left of the name in the sharing recipients list, then click the [Revoke Report] button at the bottom.
If you need to delete a generated or shared report, click the More (···) button on the right side of the sharing recipients list, then select [Delete Report] to delete the generated and shared report.
When a report is deleted, it is also removed from the evaluatee list, and can be re-added from the person icon if needed.
FAQ
What is the scope of 2nd-level and above team leaders for an evaluatee?
What is the scope of 2nd-level and above team leaders for an evaluatee?
When the evaluation result report is shared with 2nd-level and above team leaders, the scope of 2nd-level and above team leaders for the evaluatee is as follows.
For example, Development Team 1 Member 2 belongs to the following structure based on the flex org chart.
Development Division (3rd-level team leader: flex2)
└─ Development Team 1 (2nd-level team leaders: Lee Do-kyung, Kim Team Leader)
└─ Member (1st-level team leader: Kim Ga-young)
For this member, the 1st-level team leader is Kim Ga-young, the 2nd-level team leaders are Lee Do-kyung and Kim Team Leader, and the 3rd-level team leader is flex2. Therefore, "sharing with 2nd-level and above team leaders" means excluding the 1st-level team leader and sharing the report with 2nd through Nth-level team leaders based on the organizational structure.
